Question by nomadicstate » Fri Mar 23, 2012 7:26 pm I may be missing something very obvious, but how do you go about creating a purchase order? --------------------- Hello Nomadicstate, Thank you for using FM Starting Point! FMSP does not come with a built-in Purchase Order module. You can easily customize the database to include a Purchase Order layout based on the Invoices module. Simply duplicate the Invoices Detail Printout (L94), rename to "Purchase Order," and make any other changes that you wish. You can add a button to the Invoice detail layout to navigate to there whenever you want to print the PO. This would be the easiest and quickest way to make FMSP more suitable for your needs.   3. Question: by mikeh123 » Fri Jul 09, 2010 2:52 pm Just wondering if there is any required process for exporting and importing. I have the DB up and running and in use but am making changes offline. I exported contacts and accounts then imported them into the new DB. Of course this has really messed thing up (prob with related accounts and contacts - didnt think about that). I'll need to work on it live I reckon but for future reference whats the easiest way to export the whole DB and re-import into a new fresh shell. ?? Thanks ---------------- Hello Mike, Are you transferring records from one copy of FM Starting Point to a new copy? If so, there is an special "Import" feature that you will find in the "Preferences" module under the "Import" tab. Are you transferring records from an old FileMaker database to your copy of FMSP? If so, select "File > Import Records > File..." this will allow you to transfer records directly from one database to the other. OR you can create a script in the "Script Manager". You will need one script step, "Import Record". This will lead you through the same process as importing through the command in the Menu bar, but it will save your import options. Are you transferring records from an non-FileMaker database to your copy of FMSP? If so, follow the second explanation, but instead of importing from a "File" choose the appropriate data source. What i am wanting to do is to not have fm starting point bring up it's own number everytime i click the new record button in the project tab. I want to be able to put in what ever job number I need to input there. How do I make this a regular box that i can type text into?? By doing this I will still be able to search by project number and cross it to a customer and invoice correct?? thanks in advance.  ------------------------- Tjferris, Let me see if I can answer this for you... A fundamental issue for relational databases is data integrity. That means, that generally relationships work as they are intended and data that is entered doesn't "get orphaned"..or attached to the wrong related record. The ID fields...known as "keys"... are serial numbers set up to prevent users for assigning their own numbers, where a user could assign the wrong number, or a duplicate number, causing the relationships to misbehave. For example: If you create related records...such as a related note...to the contact...and then you change the "ID_Contacts" field value for the contact record...all the connected notes...get disconnected...forever. The user would think the software erased their notes. That being said...sometimes the ID fields should not be seen by users...since they don't understand what the field is,etc. Or, as in your case, the user wants an identifier field...that they can edit themselves. In this case, remove the ID fields from the layout (leave the field unchanged in the table and relationships)...and define for yourself a NEW field which the user can input their own ID value. That way...the relational connections between contact, notes, invoices, etc... doesn't get broken. If this doesn't make sense, then its time to get some training materials on relational database fundamentals.   - Richard ------------------------------ OK...sorry...let me strictly answer your question... To make a text or number field enterable... (not a calc field)...on a layout,  (1) Go to layout mode (2) Select the field (3) In the Inspector, go to the "Data" tab (4) Go down to the section, "BEHAVIOR" > "Field Entry" (5) Check off the options for entry into the field in BROWSE Mode and/or FIND Mode. People might be buying three vehicles with same set of accessories but each vehicle has to be on its own invoice. When I click on Duplicate Record none of the line items are coming through which is quite frustrating as I have to go back and forth and copy them one by one. Am I missing something? I'm just wondering, when you created this was the Invoice module intended for purchasing of supplies or sales to customers? I have expanded ID and Description fields to height of 100 but as soon as I add a second line item, the first line overylays and overprints on top of the second line and so forth.  Can I have multiple lines per entry in invoice line items portal? One line invoices work fine and I'm able to print them but as soon as I add another line item it overprints.  I have tried setting "Sliding Up based on Items above" and I have tried it with "resize enclosed part" and without it yet no difference. I have also tried setting the portal to slide up and without it. I have increased the size of all fields but that does not do the trick either.  I would like to get out of this prison of 1 line records. For some invoices I'm required by some Custom departments to display certain amount of information that spans three to four lines of text per vehicle. I spend all day yesterday to figure it out and finally had to re-create the invoice in Excel to be able to send it before the deadline. We are a small 2 man startup and this is a really big help to us. I can play and change a bit with FM but am not a developer or even a half decent FM user. Products - What was the intended use for this as I'm a touch confused as it seems to fit really well into two different areas. Ideally I'd like both but seems to be one or the other. I see it as a way to record what stock you have and where you bought it from. So if a customer orders a mac and a network switch I put in details of where it came from how many in stock and cost etc. Brilliant. I create quote, turn into invoices and assign the stock to it. Still great. The other bit you have is the serial number. Now imagine once I've actually got the mac or switch in I then look at the s/n and input and assign to the customer who bought it. Thats also great as I can build up a list by account name of what kit they ordered and the date and serial number for warranty purposes. The only issue this presents is if I have 50 macs sold all the same we create 50 products all with same name and assign one by one so if you go to create a new quote and search for product mac there are 50 in the list all the same. Imagine in a year we might have 200 - 500 products all pretty much the same creating huge lists which become a little unwieldy. Now if I did one or the other it makes sense but what do you think about an inventory sort of approach on items already in the list. Not sure how clear I am with the above ramblings but thought I'd ask to see what was originally envisaged. Apart from that everything is looking really good and very thankful you've put this out there. Thank you for your question and let me explain our philosophy behind FM Starting Point. FMSP was created as a fully functional database with flexability in its operation so that it might fill numerous business applications with different workflows. It was also created using the most simple developer techniques so that any FileMaker user with a limited knowledge of the software would be able to open the database and easily make changes. Because there was no specific business for this database there were several places where we left options open. It is possible for the user to create Estimates and Invoices that do not reference the Products module at all. Some FileMaker users have taken that feature to bill for work time which naturally cannot be kept in stock or categorized in a Products module. Some users might be selling big-ticket items where they would want a record of each indivitual product item and the serial number without inventory for each product. Others would like to have several products where they could keep track of inventory coming in and going out and would not keep track of the serial numbers. I think the last option is what you are looking for. If you would still like to keep track of serial numbers, I recommend entering the serial number directly into the line items for the Estimate or Invoice as part of the "Description" field. Now, here is my question. When making a new invoice, i add articles to the invoice by ID, automaticlly asigned as entered (1, 2, 3...) First i tried to fill this field with my own product code. I failed, can this be done? For example, if i enter a first product item, the ID will be 1, and i want it to be SR1010CR, so i can enter them to the invoice with the product code i need. Second choice, i captured my own product ID (SR1010CR) under serial number field. But now, how can i add products to my invoice based on this field instead of the ID field? Thank you very much! ------------------------- Hello Koshi, Glad to welcome you to the forum and thanks for using FM Starting Point. Here is a solution for your problem. Instead of changing the relationship so that it is based on your custom ID, you can simply hide the system id and have your own id displayed instead. This is how you will do it. 1. Move the current ID field behind the description field. You cannot remove the field or the drop down list will not be displayed. I recommend entering your custom product ID in the "Serial Number" field in products. 2. Create a new field in the line items portal. This field will be the Serial Number field from Products ("T12j1_invoices_PRODUCTS||id_product|::Serial_Number") In this manner you will be able to display your custom ID as well as maintaining the drop-down list for entering new line items. How do you view Accounts and Contacts in FM starting Point? ---------------------------- Answer: This is a fantastic question...so here is our take on Contacts and Accounts: (1) Some Business (including my own company) treat contacts as the primary entity for a business relationship. That means that we probably have 1 to 5 contacts per business, and those contacts are cross related by the company name. That being said, there is extra overhead and effort to maintain an accounts module, and we find that it is a waste of our time to do this. A number of small business agree with this idea. So for these businesses, accounts are not handled separately from contacts. From our perspective, the account module and associated screens may be removed from FMSP. The contact screen can be beefed out a bit to encompass all contact and account data...on a single screen and single table. (2) Some Businesses...certainly all medium or larger business...deal with accounts separately than contacts. So for these businesses, FMSP is ready to go. We built FMSP to support both models. FMSP does not mix the notes between Contacts and Accounts. It certainly could...and maybe it should. This is one of those issues that would need additional discussion...before we changes the template. I assume you feel it should do this. Also...keep in mind, there is no reason you could not make the appropriate changes to FMSP yourself...on your own copy. Feel free to chime in with your thoughts on this. Best Regards, Richard Carlton

My goal is to change the tabs on the navigation bar to the tables I use most often. (Some of which need to be renamed or created) i.e. It would look like this (Bands Contacts Staff Calendar Orders etc...) I thought it would be as easy as duplicating the Accounts table, changing the Primary ID to id band and adding and relating the table occurrences. Everything seems to of worked except the system preferences show as unrelated, thus the System Logo will not appear. Mitch ATTACHMENTS   --------------------------------------- Hey Mitch, Good work with your file. It sounds like you are coming along. OK, I have a little explaning to do about your problem. Don't feel bad. It is a big step for most people beginning in FileMaker to get their heads around relationships. In "Definitions" under "Relationships" everything looks good so don't change that. The problem is that though the field in your layout might be from the preferences table, it is not from the right table occurrence. I will explane how to fix this. 1. Right click on the field and select Field/Control > Setup... (or Option, Command, F) 2. A window will appear, and to the right will be this text, "Display data from:" 3. Below the text is a field listing all the Table Occurrences in the solution. Select the Table Occurance called "T20_bands_PREFERNCES||id_constant|" (the one in your screen shot). 4. In the list of field names select "con_System_Company_Logo" and click OK. Let us know how it goes.  This should solve your problem, but if it doesn't go ahead and include a screen shot of the layout in Layout Mode with your next post. Good Luck! Being a musician myself I am glad to see that the database is being put to use in the music industry. There are a couple things that you will need to check to determine what your problem is. Since I cannot see the layout in Layout Mode I cannot tell you exactly what it is but it is probably one of the items on this list. 1. Check the layout setup and make sure that the layout is related to the "Band" table. If this sounds obvious, trust me; I have spent a lot of time looking for deep problems when they were really as obvious as being set to the wrong table. This can be done in layout mode. In the menu bar go to Layouts > Layout Setup... This will bring up a popup window with the table that the layout is related to. "Show records from..." (your band table). 2. Check the Fields from preferences to make sure that they are from the correct table occurrance for the Preference table.  If you at the Relationship graph there should be your band table T20_BANDS. Then there should be another table occurrance for Preferences (T20a_bands_PREFERENCES_id_constant, following FMSP's naming format). These two tables should be related by the field "id_constant" from each table.  Then go back to you Band List View layout and change the preferences fields so that they display the data from the "T20a_bands_PREFERENCES_id_constant" Preference table. 3. Check the Merge Brackets. The text tha tyou have in you layout for displaying the band name and type (i.e. "<<Band>>" and "<<Band_Type>>" are called merge fields. I am guessing that when you put these in you simply changed the field from "<<Account>>" to "<<Band>>". Unfortunately this does not always work. To solve this problem enter the field and highlight the entire text. Then in the menu bar go to Insert > Merge FIeld... and a popup window will appear with a list of fields. Choose the desired field select "ok" and the text will be inserted. Though it does not look any different, it should work. (You may also do this by pressing Option, Command, M). I hope these instructions will help you. If you still experience problems please tell us about it, and send a screen shot of the layout in Layout Mode. (1) Define a new field (the name is arbitrary)...something like "Flag_Invoice_Locked" (2) You need to limit emailing and printing of the invoice to a script. (3) Once the script to email or print is run...include the line Setfield "Flag_Invoice_Locked" = 1 (4) Define a new privilege set in the security manager in the FileMaker database. This set should allow EDIT of Invoice table to a customer setting. Allow Editing if "Flag_Invoice_Locked" ≠ 1 (5) Make sure the users that will be restricted are using a username and password account...that is running on the privilege set.  This is about a 30 minute exercise for a FM developer...a 3 day exercise for someone who is learning the tool. - RIchard Carlton

Make sure that you have the "SMTP Server" option selected and then fill out the remaining fields with the required information. You should be able to find the information needed in your email client if you have previously set that up to work with Gmail. Otherwise, you can get on gmail and get the information there. And fortunately it will not take much effort to implement the changes. Here is how I recommend making the change. In the Inventory Log Portal change the column header "Account" to "Contact". Then double click the field. Change the Table Occurance (the popup menu at the top) to "T15b1_products_INVOICES||id_invoice|. In the list of feilds select the "Contact_Name" field. Here are some simple instructions on how to do that. When you have FMSP running,  Go to File > Manage > Database...  Bring up the table "TDL_To_Dos" Look for the field "Item". Select "Item" and choose the "Options" button in the bottom right hand corner. In options, check the box "Look-up Value" Your Starting with table should be: "T19_TODOLIST". And your Lookup from related table should be: "T19b_todolist_CONTACT||id_contact|" Copy value from field: "::Name_Full" , press OK. This will set the subject of the new activity as your patients name and you can enter your more detailed appointment information into "Notes". Zachary Church

I think there is something to add, in the script "(905) EST_email_estimate", like "Performs the script - (739) Make Activity From Email - which creates an Activity History record for email sent if the option is checked in the Preferences module" I send the email directly by SMTP. First, Start by duplicating script "(739) Make Activity From Email", and rename it "(0916) Make Activity from Emailed Estimate". Second, Remove the "IF" statement from the Script change all the "Set Variable" steps to refer to fields within the Estimate Module. $Email should be something like [ "This estimate was sent to " & id_contact & " on " & Get(CurrentDate) & ¶ &  Order Total & ¶ &  Notes Internal ] Third, You need to change the navigation so it returns you to the Estimate layout. Last add a "Perform Script" step at the end of "(905) EST_email_estimate" script" the step should refer to the new script (915) that you just creatied. I hope that this has finally answered your question. I really like your idea here, and we may even use it in a future version of FM Starting Point! Let me know if you have any more questions.
