Importing Records into Portals

I have two files related by a RefNo field. The main layout shows the second file in a 12 line portal.

However I need to import records into the portal so that when they arrive they pick up the current RefNo and so show up in the portal. The issue I have is how to get the records to import into the file directly from the main layout.

Help please.....
