I am trying to set up some record level security by creating a privledge set but I'm having problems. I am trying to limit the records users in this priveldge set can see by creating a caculation that says they are limited to viewing only those records where the Category (a field name) is equal to the text "reorder". My calculation looks like:

Category = "reorder"

I have not limited any layouts or fields.

When I try to sign in using a user name in this privledge set all my fields say "no access" although I have noticed that it is showing 1707 of 6326 records, which corresponds to the number of "reorder" records I have in the database.

I think I am missing something simple here and would really appreciate any help that can be offered to get me moving forward.

Hi ccharris,

When setting up the record level access privileges for your new privilege set, you will have chosen the option for 'Custom Record Privileges' and entered your formula (which, by the way, looks fine) in the View - Limited... section at the lower left.

However you have likely not made any changes to other settings, and by default, they will have retained 'no' and 'none' settings. These include, at the far right of the dialog, the field access settings.

I suggest that you return to the Custom Record Privileges dialog for your new privilege set and set the field access privileges to 'all' and see if that resolves your problem. wink.gif

Many thanks for the reply. I had been thinking along those lines earlier and made sure that the field access settings were set to "all" as the problems seems to rest with the access to the fields. Just to be sure I went back into that area today to be sure it was set properly. It is. Hence my dilemma. Any additional thoughts/ideas you might have are much appreciated. I feel like I'm looking right at the problem but can't see it...

Hi Chris,

Are you sure that *all* the records are showing <no access> in the field boxes?

One would expect the records that the privilege set denies access to (the ones where category is not 'reorder') to show <no access>, but the other 1707 records should not. Is it possible that you were viewing some of the 'wrong' records?

Hi Ray,

My thought exactly, so previoulsy I scrolled through the database to see if I could find one where I was allowed access to view the fields, but to no success. I wnet back to the original database and wrote down record numbers that were "reorder" as well as the company names in an effort make sure I was looking at appropriate records....still no luck. For some reason all my fields remain "no access". It just doesn't make sense, there aren't that many variables here but I'm clearly missing something.

Any other ideas? Thanks for your help....!

Hi Chris,

Well, from here you are going to need to work your way throughthe chain of logic from end to end looking for the point of disconnection.

Things you need to check will include whether or not there is more than one field called 'Category (or similar) - lest you have specified the wrong one in your RLA calc. You should also check that the contents of the field *exactly* match the text as you've entered it within the quotes in the RLA calc. You should also confirm that the field is a text field. And you should check that the password you are logging in with is indeed signed to that privilege set etc etc.

Bingo, I've got it! ...I'm embarrassed to say it was a simple matter of the correct field definition. I had looked at it too many times without seeing the obvious.
