This is my first post, so, please be kind.

I have a FMP 7 database codebook layout which has 2000 records each containing six fields.

I want to create a new layout where I have only 5 records which are lists of SOME of the data from about 20 of the codebook records.

So, the new layout would have a single record (the list) where I can enter a field value which identifies one of the 2000 codebook records and then it would display other related field values from that codebook record. And then, I want to do the same thing again with a DIFFERENT codebook record but still in the same new LIST record.

I thought I needed a portal to do this, but I can only enter 1 field from the codebook records - if I try 2 or more, it just changes the value from the first.

Any ideas?

If I understand you correctly, you want to create five or so records on your new layout, and have each of them display (in a portal) about four related records from the Codebook table? But at present you are finding that the portal only displays one codebook record at a time...

That being the case, one way forward would be to use a multi-line key field (often called a 'multi-key' field) in the table that your new layout is based on.

What that means is that you enter the values of several key fields (from your codebook table) into the key field in the new table, each value on a separate line (ie separated by carriage returns). When this is done, you will find that the relationship resolves independently for each line and the portal will display all of the corresponding records simultaneously.

A set-up of this type requires that the key fields on both sides of the relationship be defined as Text fields. Number fields can be used as key fields for other purposes, but they do not support multi-line values, so they are of no-use for multi-key matching. :
