Newbies

I am new and seem to be having problems with layout I want to create layouts that relate to each other such as writing letters or forms that use the same fields such as persons name and address but when I enter a new layout it ask that I enter a new record and does not carry the persons name and address over to the new layout. I have set up my relationships and can not work out what else I am suppose to do.
