Help! Estimates to actuals to invoices help. Also, scheduling software

Hi there!

I am at a young creative studio. We are currently using Google Calendar to schedule 7 people in 6 rooms, and we are using Excel spreadsheets to create estimates, actuals and invoices.

I really need a resource scheduling software that allows me to both people and resources available at an easy glance, allows me to see individual jobs, and people can see it on their iphones easily.

Then, I need timesheet software that allows my team members to enter in their hours and it populates a spreadsheet compared to the estimate.

Then once my client has reviewed the actual hours report and we've agreed upon a price tag, I need an invoice to be generated accordingly.

Does anyone have a good video that guides me through a way to do this? Does anyone have suggestions on existing software?
