how to limit users to only certain layouts

Featured Replies

VERY new to FileMaker - basic report card database and I'd like to restrict primary teachers only to the primary layout, without being able to access the kindergarten layout. I have one splash screen; one students file; one report cards file with four layouts. I'd like the teachers to only be able to view 2 of the four layouts on the report card file. How do I do that? Thanks.

You didn't state which verison of FM you are using. The answer is significantly different in FM6 and FM7 (please fill out your profile). In FM7 you can create privilege sets that control access to a very low level (individual layouts and fields). It also helps to eliminate all manual navigation and use buttons and scripts. In scripts you can check the privileges available to a user and not allow them to navigate to a layout to which they are not allowed access AND show a message to explain why navigation isn't taking them there.

I assumed you are using FMP 6. I made a sample file which is easier than tring to tell you step by step. The password for the developer is Master. I have a password for each group of teachers. Look at the Access Privileges under the File menu. Then look at the startup script & scripts K-1, K-2, P-1 & P-2.

This can be tighten more by locking the status area hidden and removing layout names from layout menu.

IN response to LiveOak - I thought I had added FM 6 to my profile - anyway, I am using FM 6 and have set up groups and passwords and assigned certain layouts to certain passwords, but when I log in with a teacher password, all the layouts are still available, so I figure I am missing a step.
