Inventory List based on Dates to stop updating old records?

Featured Replies

I am still trying to figure out how to stop my records from updating to new inventory level updates that are loaded via auto script from an .xls file.

Either close the fields from updating themselves (which i have no clue how to do) or list inventory based on dates of updating and relate those dates to the day it was used against the inventory for that day. Outside of that i cant think of any other way. Any suggestions?

I update my inventory to Microsoft Dynamics GP and export out into excel. In the morning the script is run and new inventory list is loaded replacing the old inventory. I was hoping that it would update previous records but obviously it does. The problem in adding new records based on date is there are going ot be thousands of items within days... simple thinking tells me it will slow things down.

sic,

I am not convinced that I have followed your logic completely, but this is what I think you want to do. Every morning, you want to import an inventory file to Filemaker to update your inventory counts. This implies that the import data is more accurate than the Filemaker data.

I see two ways to accomplish this. Both ways require that there be a unique inventoryID that will always be populated in the excel file and matches the inventoryID in Filemaker.

Options 1:

Delete all the inventory records in Filemaker, and then import the excel file.

Option 2:

Import, but change the import order to "Update" when inventoryID==inventoryID, add additional records. Now, the excel file will update the existing records. Be warned however, if the excel file doesn't include inventory items that are no longer available, but have a qty in Filemaker, those records will not be updated. For this reason, your excel file should always have all items that you have stocked.

Not sure that this answer is fully understandable, but best of luck!

Yeah thats my issue if i delete the inventory records it updates the usage records where they are selected. So when i go back 3 weeks from now and that inventory item has been updated to 0 the record gets thrown off. I want to stop the stored records from updating is ultimately the goal. However I cant think of how outside of adding a date for each inventory item but then my inventory will contain 10's of 1000's of inventory items... this im sure will slow everything down and be a pain im in my rear
