Pulling information from fields not related to current project

One of the features I would like to add to my database is a reminder of actions that need to be done today for any given project.

For example, if I need to contact a specific printer on February 3rd for Project 1, and contact another printer on February 10th for Project 5, then when these dates roll around I want a reminder to appear at the top of the Project layout.

I've set up a table for Special Instructions, and portals in the Project layout to add dates and special instructions notes. I've also set up a calculation field (Reminder) on the Project layout that pulls the content from the special instructions notes field and displays it at the top of the Project layout when today's date is equal to or greater than a special instructions date.

The problem is that the Reminder field only shows the special instructions notes for that particular project. If I move to another project record, then that reminder goes away. Is there a way for a field to show the contents of a field from all records that meet a given criteria, and not just the ones related to that project, so that if a reminder comes up for Project 1, then if I go to Project 4 or Project 50 that the field will say the same thing?

A portal shows only related records. If you want more records to be shown, you need to re-define the relationship, for example base it on matching a date range.
