snackcakes101 Posted February 14, 2003 Posted February 14, 2003 Another bizarro question... sorry! Is there a way to set up both of these things: 1- Once a new job (record) is created, you cannot change the job number field (it currently auto-assigns when you press "New Job" script button based on the last job number for that client code) 2- Once a job is marked "Closed" and "Billed" (2 different fields) you can no longer edit it in any field, or at least have a warning that the job is closed and billed before being allowed to change any data. THANKS FOR ANY INSIGHT!!
LaRetta Posted February 14, 2003 Posted February 14, 2003 Hi snackcakes101! There are several ways to control or lock records and, although we might recommend an option, only you will know the *best* method depending upon your solution. 1) Auto-assign serial numbers, IDs, etc. can be controlled (upon creating a new job, for instance), by setting the field definition on auto-entry to prohibit modification of value. 2) You can control modification of fields by setting a field's format behaviour (if you never want the field modified) by de-selecting "allow entry into field," and then control privleges to a specific layout which contain these fields with "allow entry into field" selected. A potential problem with this method is creating a new layout and forgetting to de-select the property on the field (been there, done it). 3) Fields such as posting to a General Ledger (or closed and billed) can be restricted through Access Privleges on a field by field basis even (using calcs)! This is probably the preferred method for Billed or Posted because it allows Management access to field modification by entering their password. 4) You could even use scripts! For instance, if it's a value list, I tend to favour CobaltSky's solution from his website ValueLock. It's quite slick! If you need help with any of these suggestions, let us know! There are many great people on this Forum willing to help LaRetta
