I have a database that records donations. I need to show the calendar to date amount given by each person and the fiscal year to date amount given. These are two separate fields. The fiscal year runs from 4/1 to 3/31. How do I do a calculation to get these 2 amounts?

Hi brzFan2,

I think the hesitation is because there are many ways this could be done. Perhaps letting us know the context and more detail would help us help you find the right approach. Do you want this visible all the time or part of an annual report? Do you want a list of this for all donors, or to view each one individually? Do you want to see many years at once with subsummary by each year, or just a year at a time?

The basic approach will be to identify the fiscal and calendar year, and use that to constrain the donor records. This could be done by creating fiscal and calendar year tables that would hold one record for each year and be related by date range to the donation table. You could also do this as a calculation in the donor file that could be used as a break field for a getsummary function. There are several other methods as well.

I am working on a large database. The main tables are contacts and the donation tables. I am currently planning on have a recap field in each contacts layout that would should how much they gave this calendar year, this fiscal year and also lifetime to date. The lifetime to date was not difficult. I will also need to use that information for year to date tax statements and also for fiscal to date reporting. I haven't starting on the reporting aspect yet. I am just trying to get the information on the layout. This is for a quick look at who is donating and who is not. I have a portal beside the field to recap each donation given by the contact. The donation table is linked to a donation line detail table so the donation can be broken down into the proper accounts.

I hope this helps give a picture of what I need.
