TO start I am a complete Filemaker database noobie. So please bare with me.

Background: We have a database set up for intakes at my business. That database draws contact information in a drop down box from another database.

Problem: The people that use the intake database are altering and adding information in the contract database, when they shouldnt be.

Questions:Is there a way to make the data from the contracts database editable in its own database so that it can show up correctly in the intake database. And make it so the changes made to it from the intake database do not change the information in the contract database. Or is there a way to make a field read-only?

Thanks in advance.

I'm not really understanding your question.

Are you referring to the Drop Down Menu List?

A Portal?

or something else.

Lee

Hi fcsith,

Welcome to the forums. We'd love to help but to be honest, i'm as stumped as Lee as to what your actual question is.

Remember, while it may make sense to you because you know what's going on, you'll have to dumb it down so we can see the situation and problem aswell :

Let me try to clear it up. On the intake layout there is a dropdown box that you can select a contract from the contract database. For some reason or another if the users dont see the contract they are looking for they type something in. It seems to me that when they do that it is adding an entry into the contract database of the one they typed in and I dont want that to happen.

I believe that this is causing empty records and mismatched information within our contracts database, but this is only a guess.

On a side note. Today we had an old contract show up in the contract database. After I did a "find" and looked through the records I attempted to do the search again and the contract disappeared. I dont know if there is anything related but I am just trying to troubleshoot through this.

I hope this clears up my questions, I am a bit stumped.

Sounds like you need a better drop down list, or force them to verify the keys before they can create, or disallow the ability to create the contracts.

I would start by looking at a Conditional Value List (aka Dynamic Value List) and see if they can narrow it down better that way.

p.s., I moved this to the Value List Topic area too.

If you post a copy with no records I would take a look at it for you to see if I can figure out what is going on.
