I am setting up a "People" database for an organization with contacts that serve a range of functions to the organization and one person can serve more than one function. At this point there are about 11 functions laid out.

I would like to set up the database so that there is a field with a checkbox list of the functions that each person serves (funder, film subject, govt contact, etc). If the person entering information into the database checks the box then the section with the necessary fields to be filled in will appear below. If it is not checked the section will not appear. So for example Madame X serves the function of "funder" and "film subject" to my organization. So when the person entering Madame X into the database selects her functions he/she will check the boxes for "funder" and "film subject" and the fields under "Funder information" and "film subject information" will appear. Since the "govt contact" box remains unchecked the section with "govt contact information" and all the related fields below it will not appear. Is this possible?

I attempted to use conditional formatting for this but it does not seem to allow formatting changes for one field based on the conditions of another.

Grateful for any information or any direction you can point me in. Also not absolutely sure I am hip to the exact terminology for what I am trying to do. Any corrections would be appreciated! Thank you!!

My first reaction is to not use a checkbox field at all, because reporting by function will be difficult. Rather, I believe that you need a join table between People and Functions. This will resolve your many to many relationship btw People and Functions.

Your portal on People will be based on the join table's TO.

As for fields that appear and disappear based on function specified, that might be accomplished using the technique where your fields are in a one row portal and when the relationship is valid, the portal row displays. I believe it's called the visibility trick. See this thread
