Hello, I've been away for awhile and am having a REALLY hard time navigating this new site structure here...so please forgive me if I am posting in the wrong place - but even with searching the forums I couldn't find another place to post this... My question is about using FMP to integrate with an email newsletter service like Mail Chimp. According to Mail Chimp info people they work well together, but I'm not sure I trust that as they have only a basic tutorial about how the process works that admits the process is time consuming. I just wanted to see if anyone here has any experience with this, or would recommend Mail Chimp or any other on-line mailing list / newsletter management service? Any thoughts would be appreciated. Thanks in advance!

Dropbox for backup, read-only FMP file?

Hi Vaughan, Thanks for your response. I guess I haven't been clear about the proposed procedure. We have our database web hosted, which will be the primary mode of use - so that's working fine for multiple users. When one user has to go off the grid, I will put a backup copy in Dropbox, that he can refer to it JUST for reference purposes. He will not be making edits to the file, just reading contact info when necessary. So NO multiple versions or multiple edits. We will use dropbox just so that he can see the info in the database when he is not online. When he gets back to internet access, he can access the database as usual via our hosting provider. So, unless I'm missing something else, hopefully this will allow us offline access, and we will not run into the problems you elucidated above. Thank you! -

That would be fine. The user will just know not to input new data into the file. So you think that the file should be stable on Dropbox and be openable in the normal way? I have read others warn against the instability of using FMP dbs in Dropbox, but I'm not sure if that is just due to the inherent dangers in simultaneously making edits on the same file from multiple computers, or if there is a basic problem with Dropbox and FMP (like there is with Quickbooks, for example). Dropbox will regularly update itself while in internet access range, and keep the most recent copy of the database accessible later when offline, unlike accessing the FMP through the internet host, which would require online access. Because the rate of our updates is not terribly rapid, it will be suitable to have read-only access to a week-old copy of the db. Does this sound like a reasonable plan, or are there problems accessing back-up DBs from Dropbox? -
Hello everyone, We have our database webhosted by Foxtail Tech, but we will occasionally need to access the database in locations with no internet access (gasp!). If I were to download a back-up of our database, and place it in Dropbox, would another single user be able to access that file as a read-only file? We would not be making any data-entry or edits to the Dropbox file, it would be solely used as reference material (so there should not be any file conflicts). Does anyone know why this solution may or may or may not work? I know that Dropbox is not a sustainable solution for sharing a FMP db, and that is not what we are doing. We do have a dedicated webhost, but want an offline access method as well. All comments appreciated. Thank you!

web hosting and send email/skype scripts?

Yes, we would be hosting it and opening the db as a remote file. So it should work with each user's own Outlook and Skype applications? Great, thank you for the response! -
hello everyone, we are looking into having our database hosted on the web. before i do that, i want to figure out how the scripts we have will function. we have scripted buttons that allow you to click to automatically open skype and dial the number. we also have scripted buttons that create emails with attachments in the user's default email client (outlook). Will having the database hosted on the web mess any of those scripts up? Or will it behave as usual when the db is opened as a remote file? i'd appreciate any advice.

I just tested 68 and 48mb files, and they uploaded fine. We run SC on the local host.

Sorry for my absence for awhile (been ill), but thanks for these ideas! The reason we are using Preview mode is that the viewer needs to look at a list that is sorted by sub-summaries. Preview mode is helpful because it may be printed, and give the user an idea of how many pages they're dealing with, and the option to print only selected pages. In Browse mode of this same list, I had trouble creating buttons to return to the previous layout. For some reason the buttons I create don't appear in Browse mode, though I can see them in Layout (this may just be something I don't know how to do correctly?). So perhaps Preview isn't necessary in all cases, but even if I wasn't using Preview mode, I'm having problems with the list in Browse mode too. Thank you all for the great feedback (and your patience with a newbie)! I will look into using Table view.

I apologize in advance if this is an inane newbie question, but its vexing me and I don't even know how to phrase this to search to find a solution. I have a simple script that takes a user to a list in Preview mode, pauses so that they can look at the document and scroll through the pages, and then 'continue' back to the source layout. My problem is that the 'continue' button up in the top right is so small that my users just can't seem to find it, and they get stuck in the list layout. Not good design on my part. It is so unassuming up there in the top right, and the users are used to looking at larger icons. Does anyone have any secret ways to work around that tiny 'continue' button after a paused script? Could I make the color neon or something to make it more noticeable? All thoughts appreciated!

FMP web hosted - with offline access too?

As an update, I've been in touch with GoZync/Seed Code, and it turns out that it is possible to use this with FileMaker Pro as well as Go. We are still evaluating if the solution will work for us, as it is costly to get going. -

Thanks for this feedback. SyncDek definitely looks like it requires more of a monthly investment than our small non-profit is able to make. So would the only other solution be that when one user needs to make offline changes, other users can refer to, but should desist from making updates to the database until the offline changes have been uploaded? This is possible, since we don't have many users, but obviously not ideal. I did find this in the GoZync documentation: "• It will zync Pro-to-Pro as well as Go-to-Pro." So perhaps it is possible? Still unclear to me, and no response yet from SeedCode to clarify. Or does anyone know of any better work-arounds for this issue? All thoughts appreciated. -
We are thinking about moving our FMP db to being web hosted; currently we are just using it on our local machines. Problem is that one of our users does a lot of travel to areas where there is (gasp!) NO Internet. So, we want to be able to use the Database offline, and then upload the changes when we have internet access again. I've been looking into GoZync to sync the versions uploaded to the server, but haven't been able to get any responses from SeedCode about how this will work, and specifically if it works without FilemakerGo (which we don't use). Does anyone have any other ideas about how to approach a solution like this? Or anyone have experience with GoZync that might know how it works? We have FMP 11 and operate on Mac Lion OS X. Thanks for reading.

We are thinking of moving our FMP database w SuperContainer to a web hosting service; currently we are just using it on our local machines. As I understand it, the security for the hosted database will be the user log-ins and passwords. Forgive me if this is a dumb question, but would all of our SuperContainer documents be unprotected and accessible to the whole web? I know that no one is probably interested in digging around what we have in our DB, but how secure are SC files that are hosted online? Again, please forgive the newbie question. I'd appreciate any thoughts on this.

Another One to Many to Many conundrum-

comment, thank you so much for this feedback. This structure ended up working out for us. It really helped to have fresh eyes on this. We are testing use of that structure and using the Project and Subproject tables as sources for value list fields in the Content Table. The portals we were trying to use to tag by Project and Subproject ended up becoming too cumbersome to be used for easy data entry so we have switched back to value lists. But this is still very much under construction. Thanks for your help; consider us indebted to you! -

Sorry for my ambiguity - Content includes internal documents, references for books, articles, websites, images, etc. that we use internally in our organization. Projects includes the Projects we work on with various collaborators. We call Subprojects 'Subprojects' and not Events because they are not always events, but sometimes operating programs that happen under the umbrella of a larger project. So a project does NOT have to have a Subproject. Some Content will ONLY have a project, if its relevant to the general operation of a Project, and not specific to a Subproject. I like this suggestion of adding the SubprojectID field to the join table. So you mean to connect both the Projects and Subprojects Tables through the ProjectContent join, instead of our current set-up with parallel occurrences and 2 separate join tables? This outcome sounds like exactly what we would like to accomplish - to have the Content always assigned a project and optionally to have a subproject - but we are having a hard time getting this to work with the 2 Join tables between Content and Proj and Subproj. I will explore this. The other question we've been struggling with is how to limit a Sub-project's selection based on the Project that has been selected first? In our current set-up we are unable to get this working, but maybe with the single Join table it will be more straight forward. Thank you so much for your help, comment. -

A sub-project would be individual events held under the umbrella of a greater project. For example, since we are a non-profit we collaborate with different funders on different projects. The projects then have sub-projects, i.e. Conference 2011, Conference 2012, Fundraiser XYZ. So it would be nice to have tiers of specificity - the Overall Projects, and then the Subprojects within that. Initially I had the Projects and Subprojects as check-box Value lists in the Content Table, but when it became apparent we would need to be able to create lists of content and contacts by Project and Subproject, it seemed prudent to have them as separate table relationships. Then I considered having a Projects table with a Sub-project field, but thought that that would limit search- and reportability by Subproject. Would love any advice you have. -
If anyone can help shed light on these relationships I would be forever indebted to you. With the help of an FMP expert, I’ve been trying to sort out the best way to set up the relationships between 3-4 tables. But we’ve been going around in circles for a while, and it would be great to get fresh perspectives on how best to do this. We are focusing on three tables: Content - Projects - Subprojects. Each piece of content can be associated with multiple Projects, some of which have multiple associated Sub-Projects. We currently have a join table connecting Content- Projects, and a direct relationship between Projects-Subprojects. So the set up is: Content - [Join-Content-Projects] - Projects – Subprojects. Additionally, we have second occurrences of Projects and Subprojects and a Join Table btw Content and Sub-projects, and the relationships are: Content – [Join-content-Subprojects] - Subprojects 2 – Projects 2. This seems to be semi-functional, but it isn’t quite as streamlined as we would like it. We want to be able to A:) Find and Sort Content based on which Project or Subprojects it is associated with. Content will have a Project, but not always a Subproject. B:) We want to be able to set up fields such that when you search for a Project, you can then select Subproject from the related list of that Project’s Subprojects (not the overall list of Subprojects). C:) We want to be able to generate list of Content, and eventually contacts, based on the connection to Projects and Subprojects. In the Content Layout we have portals to the Projects and Subprojects field, but the fact that we can’t put a portal to Subprojects inside of the portal to Subprojects seems to be making it difficult to tag our data properly. We will replicate this relationship with our Contacts table as well, so we want to make sure everything is as solid as possible. It doesn’t seem like an unusual set of relationships, but for some reason I’m having a terrible time wrapping my mind around how to make it work. I would appreciate any and all advice anyone can provide!
