Hi and thanks if you can help... (I'm using OSX 10.2.4 and FM6.04). If FIlemaker is not open and I double-click on a database that has some defined passwords and groups, the Filemaker app itself will open, but the database file will not. Once Filemaker is open, however, double-clicking on the same database results in it opening immediately. Interestingly, if I remove the passwords and groups (so there's no protection at all), then when I double-click on the same database, Filemaker will open (even if it is closed) first time every time. I've fiddled with the application and document prefs, to no avail. Trashed prefs, checked permissions, run Nortons, …

This is wierd! A system I have developed over the past four years, which has been running quite happily, suddenly won't let me modify a record if launched from the file. When I launch from the file I get a message that I do not have sufficient access priveledges. If I launch the application (FMP 5.5) and then open the file it works OK.

I'm experimenting with assigning groups & passwords. One problem I have is that my databases fire automatically in the middle of the night (FM 6 files running on FM Server 5.5 on a Win2000 Server box) to go through eight hours of imports and exports. If you have groups & passwords defined, then you must enter, at least, the master password every time you open something. How can I get my opener file (that runs the dozen import/export subscripts) to open via Windows task scheduler and not stop to wait for a password to be entered? Steve Brown

I'm working on a database in which different users can fill in their hours. They should only have access to their own records. I know I can make different passwords and groups to organize this (I did it and it worked) but when the users change, I have to change the access privileges into each database (a lot of relations). Is there an easy way to arrange access privileges without a lot of editing. I tried 'gateway' but I can't get really into the program. (I can open it and see that it works, but I can't see how)

We have a Windows Pro 2000 desktop machine serving out FMPro 5 unlimited in a Uni department. We have small booking databases for car bookings and IT help requests, accessed by a Departmental web page. Since IP restriction was turned on (Windows server) to give some level of security, Macintosh computers can see, but no longer submit bookings, if using Internet Explorer, Safari or any non Netscape/Mozilla based browser. It does not matter if the mac OS is classic or OSX. Netscape or Mozilla work, IE and Safari do not. Does anyone have any idea where the problem may lie?

Hi, all. Two questions from a newbie. I'm trying to set up a default password with limited access. The problem is, when I select "Limited..." from the Edit checkbox in the Privileges dialog box, I get taken to the calculation window. I'm not sure what I need to make the calculation read. Basically, what I'm trying to do is make the entire file read-only except for one field, a "Notes" field. Also, is it possible to create a button that prompts you to ask for a higher level password and can change the access privileges? Any help would be greatly appreciated. - Jesse Harlin Composer

Hi everybody, I am new to Filemaker and worked through the sample files and read some threads here. What I want to do is creating a system with three user levels. Please let me know whether my basic strategy is ok. I have a login file where I assign a password to each user and each password to a group. Depending on the login I direct the user to three login layout. From there the username is pushed to a specific start file (one for each user level). I just hadFfilemaker try a default password when it opens and it was one that restricted access. Now I can't get to a new password window to enter the master PW. Where do I go? Hi Guys, I have Hi Guys, I've created a database with record level security using the Access priviliges in FileMaker Pro 6. The formula limits the user to edit records they have created which is great. My problem is the error message FileMaker produces if the user tries to edit a record they dont have access to "This field is not modifiable". I'm setting up some passwords that use the Browse, Edit, and Delete by calculation. Since that is a new feature to FM pro 5.5, and vesrions below 5.5 can still open the file, this poses some concern. Is this an issue? I've searched around a bit and didn't find much. To make sure, I've put this as the first line in the start up script. I am new to using version 5.5 and I am wondering what happens when you leave the Disconnect from FileMaker Server when idle box checked in the Access Privileges? Will it close the table or will a dialog box show up asking the user to shut down or will the user (if away from their desk for a while) even know that they have been disconnected?

I designed a database to keep people's personnel records. There are 8 members of staff so 8 records within the database. But I want people to only be able to access their own record. I've had a look through the past messages and can't find anything that a) quite matches what I'm doing and : I understand the solution to! This is something I never figure out. I've defined two groups - let's say Management and Staff. I've also got a list of passwords - Nicole, Laura, Aditi. Now Aditi is a manager so when she opens up the file and types in her password, I want her to be able to do the stuff I've assigned to the management group. But when I try to assign passwords to groups it doesn't work. According to my manual, you click on Access Priv/Overviews and that brings up the list of groups, passwords, etc. Theoretically you can then click on a group and then change the bullets of the passwords to asign them to groups. I've created a pretty elaborate dB with a calendar, medical notes, and everything, but I can't figure out how to restrict access. I've set passwords, but how do you get the computer to ask for the password in the first place? To open, I just click on the file on my Desktop and it opens with no PW request. I don't want my secretary, who uses the same computer, to screw up all my good work. I'm sure it's simple but I can't find the instructions anywhere- here or in books. Thanks for any direction.

I have a database shared on a network. 2 password: (no password), by default, and administrator password. 2 groups: admin (associated with the admin pass) and user (associated with no pass) Normally if a user log in as administrator the funcion Status(CurrentGroups) returns admin user This way I can check into scripts if the user logged as administrator or logged with no password. I was almost sure that I could restrict users to modify a record flagged with "closed" using Access Privilege. Is it possible with FM 5.5 or do I have to move up to 6.0. I'm stuck here for two hours. I can see the option "limited" in the "Modify" Menu in Access Privilege. It leads me in a calculation box... I set it to If (flag = "closed",0,1)... or Flag # "Closed"... It doesn't work. Another bizarro question... sorry! Is there a way to set up both of these things: 1- Once a new job (record) is created, you cannot change the job number field (it currently auto-assigns when you press "New Job" script button based on the last job number for that client code) 2- Once a job is marked "Closed" and "Billed" (2 different fields) you can no longer edit it in any field, or at least have a warning that the job is closed and billed before being allowed to change any data. Hi! I have a main menu for our Traffic Manager to allow her to navigate all the different layouts in the db. I want other employees to be able to view one layout only. I set up the access and password priveleges to reflect this, but I want FM to do the following: If logging in using one password, go the main menu (to access everything) If logging in using the other password, go to a different menu (that only lists what they have access to). HI, folks. This is my first post, so bear with me if you will. I work for a residential school. We've created several related databases, including "students.fp5," which contains all the info on our kids. In this database, there are (among others) two fields, "nameClass" and "nameHouse." One lists the class a student is in (eg. class one, class two, etc), the other lists the residence the kids lives in (eg. House A, House B, etc.). I want a teacher to be able to browse ONLY the records that contain his/her students. For example, if I teach in Class 2, I should only be able to browse the records of students who are in class 2. I am mostly self-taught when it comes to FileMaker, so my knowledge is limited. I have encountered a security related problem, and I am pretty much stumped: I have a database (running FM 5 Unlimited) allowing users to create and manage their own accounts via the web. Problem is, this solution is not very secure. Someone who knows what they're doing could with CGI requests pull data from any record, including others' user names and passwords. i figured out how to set up the access with groups and passwords. i just have one problem. i set up a client account so they can only see 3 forms or layouts. i set it up so they can only create a record. and only see those 3 layouts. the problem now is that when they go to the next layout they would need to creat a new record everytime. when i gave them browse rights they could just scroll down their record so they would not have to creat a new record. but now they can see everyone elses records. just to clear it up a bit i just have a group that can only access three layouts but not other records. but i need them to have free access to their whole record they t…

Hi, I'm tweaking the access levels of a couple related databases. One is a timecard where each entry (via a portal) is a record in a related database. I have a script which is run after a timecard is filled out which goes to the related records, loops through them and performs a the setfield function and a calculation and, lastsly, "sendmail." When I run it as the non-administrator user it says "Your password does able enable you to do this, or this file is not modifiable." We have been experiencing an annoying FM (bug?). Whenever we change a permission on a given password, FM changes (randomly) permissions for other passwords. It will make some fields unviewable, others unalterable. Similarly, when we add new fields to a protected file, FM assumes we want the highest security possible on those fields, and we have to go in and manually make them available to all. Is this supposed to happen?

FileMaker's shortsightedness makes me mad sometimes. I've got 30 relational databases. All use FileMaker's built-in password support. Changing passwords is a very inconvenient process for solutions with more than one database. The problem compounds when each user is given a unique password. I know there is at least one 3rd party plug-in solution that is supposed to handle this well, but I'm (or my company is) cheap. I have developed a networked requisition program for 6 schools. The secretary for each school has access to create her requisitions. Each requisition contains a product code, product description, price, etc. In Access Privileges I have denied their right to delete to prevent the loss of records. Because this file is related to an accounts balance file that keeps track of their budget balances, I also want to prevent them from returning to a previous requisition record and changing the numbers by which they could return money to their account. Am I correct that there is no way to do a -edit URL or Form without including the -RECID for the record you are editing? If this is the case, considering that the recid is a serial number that developers have no control over, isn't it extremely easy to hack a URL and find data for other users?

Howdy, folks! Is the Web Security Database re-cursive, i.e. can it be used to control its own access if it is shared through web companion? If possible, how good/bad is this idea? Has anyone done it? We would like to let web users create their own login/passwords in WSD while we assign which databases and levels of access. I have a web database for my clients that I want to require two fields for them to sign in with (name and password fields). I would like to avoid using the Web Security Database for configuration reasons. What I have now is not working properly. All the client has to do now is fill in one of the fields to gain entry to the database. Well, for some reason Created By or Created On fields have no data in them. On Wed some 300 records and duplicates maraculously appeared in a database, which is served on FMS 5.0 from Windows NT Workstation. I am trying to hunt down how this happened, or who created them, and was hoping to avoid digging through Events Log by simply looking at Created By or Created On fields. But they are empty. After implementing a calculation for browse records privleges I noticed a HUGE slowdown when users open my hosted database file. I assume this is because when the database is opened there is a initial find taking place to find records with which the user has browse privleges. I only have about 300 records in my database file, and I cant imagine how long it will end up taking to open the file when there are 3000 records. Is this just the nature of the beast. IF so, YIKES! How do users deal with this? I cant imagine a solution with 30,000 records. It would take an ETERNITY to open the file if there are any browse record privleges set. LR

I have a number of files. I navigate through them with a simple script that hides the current file and opens or goes to the desired file by clicking on a button. I've now set up passwords, programmer, systems manager and TA in each of the files. I used to be able to click on my button and it would take me to the desired file. If the file was already open, it would take me to that file. Now that I've set up passwords, it asks for a password as I enter the destination file and opens up another window of that file if it's already open. I have numerous filemaker files which are protected by default passwords. All files are hosted on one computer and accessed across a network. If I wish to get into a specific file from my computer, which inot the computer hosting the files, I use the shift key to bring up the password dialogue so that I can enter the developers password. Everthing works fine, except that one file will not give me the chance of opening it with the developers password, it always opens in the protected format. We are primarily a Mac shop. I have been running a database solution in which is hosted on one of the Macs here and is accessed by 5 client computers. We just recently added a PC. I noticed that when I open the hosted files on the PC all the related files show up along the bottom of the screen. This makes it a bit confusing to the user, especially if they click and open one of the related files. I was playing with some calcs for the Browse Records section of Privleges. Something like this for comparing one field to another seems to work: If(gGroup 1 = Group 1, "1", "") Or a variation like this works: gGroup 1 = Group 1 But when I try to do multiples like the following it does not work. I am trying to give some 70 or so users access to their own record in a database. My method is: Give a single password to all 70 users. That password has the "Browse records" and "Edit records" Privileges set to "Limited..." with a calculation that matches a field in their record with a global that they enter on opening (e.g., "userEntryCode=entryCodeGlobal"). This method works as far as allowing them to browse only the matching record. But when they go to edit any field, they get the message: "This field is not modifiable." even though the field is modifiable and they are in their own record. What is the problem here?

Hello, I have a filemaker database which has recently run into a major problem. It is a version 4 database, run on FMP server. The problem is that the database has stopped accepting passwords. It will not accept any of the passwords, master or otherwise. I have tried recovering the file with FMP several times, as well as running norton disk doctor on the machine several times. Neither process has yielded positive results. I have also tried password "peeking" type programs and they do not reveal any. I love FileMaker as much as the next person, but every now and then you come across something and wonder what they were thinking. Example: you set the available menu commands to edit only, thus limiting users from creating or deleting records along with other menu commands that are not related to editing. BUT why in heavens name would they include the ability to perform new find requests, duplicate find requests, omit find and the like with this. Here is my situation: I have just recommended that the company I work for upgrade from 5.0 to 6.0 to gain the record-level access privileges functionality in our database. The reason for this is because we are going to be allowing independent contractors access to areas of our database via Citrix. The record level privileges would provide security to make sure the contractors only view the information that they are supposed to view. Is this possible: I have a database solution that I want to distribute. I want a master password that only I will know so as to lock out others from getting into the meat of the database. I made a bit of a boo boo. I set 2 passwords, one with full access, and the other with restricted viewing and actions. Now all was well, until I set it to automatically try the more restrictive password first (for remote connections). I have a small appletalk network. Box A runs FMPUltd5.0. All databases running on Box A are set for multi-user hidden. Since switching to OSX when I try to open a file that is already opened on Box A I get a file not closed properly message, then a warning that says the file can't be opened as read-only in its current state - unlock the file and open it and close it before attempting to lock the file again. Hi I'd like to get some feedback on setting up ssl to secure a filemaker pro solution. I need to secure an application (we use WC not Lasso) with SSl, secure certificate... The database and front end has been already developed (not by new!!) and contents secure information (pass, login and student marks) that could be easily be downloaded with webcompanion alone. Dear all, does anyone know a method for a user accessing through the Web Companion to add a signature to a record which is secure to that user, i.e. is evidence that the user has seen and approved of the record content on the data of the signature. The signature itself does not need to be a graphic, and ideally will be a radio button, but does need to be authenticated as orginating from a specific machine (or user). Cheers, Dave

I created a database for a client last year. One of their techs password protected it. He had an ugly falling out with the client and was terminated on bad terms. Hi, I'm not sure this is exactly the right topic in which to post this question, but here goes... I have a field for social security number. Because the database is being hosted over a network, I want to make that information as secure as possible. I'd like to have the entered ssn show up as x's or bullets or something that masks the actual number. Then I'd like to have a separate password that allows access to that information. When I tried to set up a mask for the ssn, it would show up as x's, but if I tabbed into the field, it would show the number again, so I must have set that part up wrong. I don't want to limit access to the database, in general. Anyone who can login to my OSX Macs can access the database. HOWEVER, if someone changes something improperly, I want to be able to determine who made the change. I created a set of related files in FMP 5.5 and established access privileges and passwords for various level of access giving myself full administrtor privileges. When the files were moved to a server running FMP 5.5 server my administrator password is now treated as a guest and I cannot see the menu option for changing access privileges and passwords. Also, the "change layout order" is grey not allowing me to make chages. I called FMP tech support and was told that I must remove the files from the server to access adminsitrator privileges, make the changes, and replace the files on teh server. This seems rather crude for such an otherwise robust DB. Help.

I'm setting up a custom password access system. I have an employees database that holds userID, password, and access privilege codes. This, and the files that I'm protecting, are made with FM5 and hosted on FM server. I just discovered the other day that anyone can start a new FM file and import userIDs and passwords from the employees DB with no problem at all. I don't see any built-in FM way to stop this, so I figure the best way to prevent any problems is to store the passwords in encrypted form (some of our customers want us to start doing this anyway). Hey all, I'm working with a multi-user database and use individual passwords for each person. This not only allows micro-management of user access to certain fields and whatnot, it also allows me to customize the user experience, such as auto-entering their personal user initials, phone extensions, email addresses, etc. I very much like this user customizable system, but I have to rely on the Status(CurrentGroups) function for my relationship to my Users.fp5 database. Hello, Does anyone have experience with record locking through FM server hosted files ?? I created a file where i put record acces through a calculation field. Why ??: because i can edit this calculation without having to close the file on the server. I only have to disconnect all the users on that file. Does anyone know of a plugin with a function that, passed a username and password as parameters, would authenticate (and do nothing else) that username and password in a Windows 2000 domain? I have two related files - File A contains layouts with related fields and scripts performed by buttons; File B contains the data; the relationship is based on record numbers which are in both files. On startup, File A also opens File B. The user then presses a "start" button that runs a scrip that finds all records and sorts them. With no passwords in effect everything works well. How can I ensure that the FMP user name is set to the system name and not a custom name? I think I can get by with just three passwords: Me - master password Edit - people who need to edit the data View - people who need to see, but not edit as long as I can ensure that users can't fake their user name. Getting into the 'access privileges' things rather as a newbie, I started yesterday experimenting with this section.. My intention was to make some lay-outs editable (the MailMerge lay-outs used for printing) and the other lay-outs non-editable. In other words, some with lay-out mode accessible and the others not. As far as I experienced now, this is not possible. You can define for each lay-out the accessibility in browse mode (complete, read only or not at all), but the lay-out accessibility in the way of the Filemaker lay-out mode is a ALL or NOTHING thing. I have a problem and I am really stumped. I created a security access file to be used to open my other databases in FMP 5.5. User name and password as well as privilege levels (restricting what layouts in the databases) and a site number (restricting which files they can access) can be set up by the customer server manager.
