OK...newbie here... I have been using FileMaker for sometime, but have never used a portal. Besides the bad instructions on the filemaker help menu.. can someone please explain the benefits or purpose of a portal. I think it will help in my app. I am trying to create a schedule of tasks for various days of the week. I need a popup menu which will list the next three weeks worth of dates and also need a list view which will actually create the schedule...along with summary fileds for each date...

I try to get this work, but it seems pretty complicated ... I like to show -in a 'self related' (timesheet)record- a portal with a list of records from the EmployeeID that is currently active in the browse mode. If that was the problem, I wouldn't have a problem .... But I like ONLY to see a list of records -in the portal- from a partical day, based on a 'date' field. Is this possible?

I have a Portal that has seven rows, but continues beyond that with information. If for example there is 15 rows of info, i want to be able to print all of them. Right now it only prints what is displayed? Am I going to have to write a script to complete this task?

I have a main database that contains business address information of on it. There is also a portal that displays names associated with the business. I want to print a form letter to each of the names in the portal with the appropriate business address on each letter. Right now I can only print one letter of the first name of each business, no matter how many names are associated with it. I know I can print the letters from the names database but then I would have to select each business at a time and print the letters. What I really want to do is print letters to all the names of all the businesses residing in a certain zip code, say, or all the franchises of a fast food …

I have a contact file in which I would like to show a relationship between contacts. These could be family members, business etc. I have tried creating a relationship with a field ContactID to ContactIDGlobal, where ContactID is a serialized number and ContactIDGlobal is a Global field. When I create the portal, I can't get any fields to show. Am I on the right track? Should I approach this differently? Why can't I enter the field within the portal? Any help greatly appreciated

Hi there, I got a form layout with a few global fields and a portal derived from a different global field relation. User "abc" entered his cursor in to one of the global fields. At the same time I tried to click on the portal and got the following error: "abc is modifying this record. You cannot use it until abc is finished" ( but at the same time I can enter into the same global field user abc is in) There are no enterable fields in the portal but some of them are buttons. Hello all, I'm trying to figure out how I can get a calculating field to look at the rows in a portal and compare them to find the highest value in a given field. Then the calculating field should display that highest value. To further complicate it, I only want to include certain rows - the rows to look at are marked with a "1" and the rows to ignore are marked with a "0". (The problem I am trying to solve involves looking at which activity completed by a given person within specific dates involved the most number of hours - if that helps!) - I'm stumped! Is there a way to test if you're in the empty portal row? the portal row for adding records? OR, is there another way to solve this problem... Most my files support "notes"... a portal that has three fields in each row... Date the note was entered, User that entered the note, and the Note itself. To add a Note, you normally just click in the empty Note field at the bottom and start typing. Today's Date and your User name get entered automatically. However, with the fields organized the way they are, I am sure some of my users will naturally try to click in the Date field and type that in. Most my files support "notes"... a portal that has three fields in each row... Date the note was entered, User that entered the note, and the Note itself. The Notes are sorted by Date, descending... so the most recent note is first, and the oldest note is last. Thus, when you add a note, it will naturally be inserted at the top of the Portal. But the blank row you click in is at the bottom of the Portal. The user will find it non-intuititve to go to the bottom to type in a record that belongs at the top. I have a database from which I'd like to create a report. I only want to report three fields. I've got the report made but I have to physically call up ech record myself. Is there a way to have the fields automatically created when I create them in the Parent file without changing the original location to my report and then creating a portal back the file that is now the original? From what I have read on these forums, it's evident you can't have specific nested portals. But I have not yet found a solution to my problem. I have three files: Customers, Invoices, and Products. Customers has all the contact information and orderID, invoices simply has the orderID, productID, and quantity. Products has productID and the product name. In my customers file, I have a layout that presents the customer information and a portal to the invoices file to show the quantity and productid of the orders. I have a field in File A with consecutive numbers on different lines (e.g.) 1 2 3 4 5 etc. In a related file, File B, I have created a lookup that appears as a pop-up of this field. I can click on the field and choose a number from the list and that number appears in the field. I then have another file, File C that has a portal to FIle B. This same pop-up field still acts as a pop-up, but there is nothing in the list! What happened and what can I do to get it to work correctly? Peter

Basically I need a field that will be used as a trigger for other events. I need a field (a date, number text, anything) that will have data that will change in some way anytime a new portal row is created or changes are made to a portal row. As an example: Count(Related::One) Counts the number of portal rows, and changes for each new addition or deletion. But for my purposes I need a field that will indicate changes that IS NOT based on a relationship. This field is being used in such a way that anytime the data in the field changes it triggers another event, but if the field is based on a calc that uses a relationship it wont work for my trigger setup.…

I'm combining two fields which have information originally entered via a portal. Normally, when information is changed in the portal the information in the related field updates automatically. However, I have found that when two fields have been combined the information will no longer automatically update (because it is now a caluclated field?). Is there a way to force an update when a change is made in the portal without a script - or do I need to just keep the fields separate? Thank You.

Help! I have a DONORS db (parent) and a related db of Donations (child). In a portal (of donations), I do a find in the donation date field for all donations made during the year for DONORS. The found set of DONORS includes anyone who has donated during 2002, which is great, but the portal also lists all the pre-2002 donations. How do I omit these pre-2002 related records so I can print a YTD tax receipt for each DONOR. DONOR db -has name, address, phone, etc. Donation db -donation amount, cc number, date, etc. Relationship as follows: ID key field in DONOR db =:: ID field in donation db. I have two portals in the same layout, both are related to the layout, but not to each other. Only one shows up when I go into browse mode. All of my fields are easily inside the portal. Portal B is set up exactly like portal A. In fact, both have the same type of information (Phone, Address, etc.), just coming from different files (employee residence while at school, employee residence while at home). Any clues as to why Portal B's not showing up?

Hi, I have two Qs about portals in a self-joining relationship: 1) How can I omit the record "itself" from its own portal? 2) It seems that the portal only looks at the first related record. Is this true? If so, this self-joining relationship is not as helpful as I would have hoped (it can't relate one record to several others; it can only relate one record to one other record? I have a client database and a comments database in filemaker 6 on win 2000 and mac os9 and osX. In the client database I have a layout with a portal that shows all of the comments associated with this client as individual rows in the portal. Many of the individual fields in the portal are pop up menus with fixed value lists, just to set the stage. I would like to specify values in two or more of the fields in the portal to do a find that would perform like a boolean AND search. I saw an example of this...but not quite sure how it was done. A main job database. Each record represents a job. A second database which contains a record for each contact. The user opens the main database. I'm building a small invoice system. I have 4 databases for client information, product description, delibery invoice and "final invoice". I have a portal in a contacts DB that I would like to display all records with the last name beginning with a, b, c, etc. I have calculation filed which determines the first letter of the last name and scripts which sets a global field to specific letters. My portal is based on the relationship FirstLetter = :gFirstLetter What I get is a mess...if I set gFirstLetter to A I get the name associated with the current record repeated the number of times there are A names. I have a DB in which I have a portal showing records in another DB. It basically tracks operations and the times they were performed. The portal shows all of the operations from a certain job. I am building a schedule that will show the last operation from that job. How do I find the last portal record based on time and date of operation. Right now it always finds the first operation.

Have Parent file (Faculty) pulling info via portal from Child file (Commitments). Parent file has two (2) portals - one portal for Commitment Amounts using relationship "commitments" key field ID# and one portal for Expenditures using relationship "commitments paid" key field ID#. Both portals allow entry in related file. All data entry is into Parent file. My problem is when I create a new entry in "commitments" portal a blank portal row is placed in "commitments paid" and vice-versa. Is there a way to correct this. I don't want blank portal rows created in the other portal. Could this be due to using the same Child file?:?

I am putting together a database and calendar in FM and have run into a user interface problem. When my client creates an appointment block at let's say 8 am to 9 am and another at 11 am to 12 pm, I want the daily or weekly calendar view to be able to show the user there is an empty space for the 10 am to 11 am block surrounded by the two appointments. FM Portals with multiple rows don't work that way. They like to be consecutive. Has anyone come up with a solution to this problem. For the most part the calendar part works fine, except for this issue.

I came across a portal use that I have not seen before. I was hoping someone could shed some light on it. The first step is pretty straight forward. There is a portal that show 5 different line items (5 different related records). At the beginning of each line is a button. Now normally if I was doing this the button would have a script, click on the button and it would open up the related database and go to the related record. This button did it a bit differently. Clicking on the button stayed apparently stayed within the same database file, went to a different layout, and showed a larger portal with 20 or so fields of detail for just that record. I can't q…

Hi people, I've got FieldA that has the following checkboxes - "Skoda", "Lada" and "Ferrari". What I need to do is have a portal that views all records that have both "Skoda" AND "Lada" checked. Hi all, Yet another question that is probably ridiculously simple - I want users to be able to add a related record directly into a portal, which I know is possible, but for some reason it's not working. I have "allow creation of related records" checked (as well as allow deletion of related records, which does work). What am I missing? I am using a barcode scanner to scan product information into a portal. Among other information, the price for each item displays in each line of the portal. Is it possibel to have a field outside of the portal display just the price for the last item scanned (a specific field in the last row in the portal)? I believe I would have to use a calculated field as I do not know if I have a means of executing a script after each barcode scan. I would like to have the price displayed in a much larger font so that it is easier for the user to read. I have been unable get a calculated field to work properly. Thank You.

I have a database of 550 names consisting of contact information (name, address, telephone, etc...) I have set up a portal to group records based on whether or not they are the same members of a family. Some families only consist of one member, but many have anywhere from 2 to 8 members. Ultimately, I want to print the entire database on a layout that groups the families together. So far, I'm wasting a lot of space because I have the portal set up to accomodate the largest family. Is there a way to make the portal automatically adjust its number of rows depending on the data that it needs to show? M.

Hi, In the previous subjects, I have read that portals aren't always the best things to put on a report, yet i have a report containing 3 portals with 0 to 20 rows. Now the only thing I want to do is to keep the portals together when I print them. So if the 3 portals fit on one page. I d like to print them on one page. If not i want the first to be printed on the first page and then the others on the second. So i want portals not to be cut in half. Is there a way to do this? Hope someone can help me,... Simplifying my situation as much as possible here is my dilemma: Two databases A and B. A is linked to B with 3 different links: Link Z relates to a subset of all the records in db B, Link X relates to a subset of the records related to Link Z and Link Y relates to another subset of the records related to Link Z. I have been in database development for 15+ years but have just acquired a client that is using FM5 to manage some major functions in his business. I know I should do some more research before posting here but time won't allow it. I need to print the items in a portal to a pre-printed form. The pre-printed form has 14 rows for information on each page and my portal can have any number of rows. Therefore, I need to find a way to print only 14 rows at a time from the portal. The information to be printed will be entered via a portal. And since each portal of information has a unique ID, could I sequentially number each item when entered and then have items with numbers 1-14 show initially to be printed? I've got a big database spanning over several files, those files has different fields. All this is linked together via a menu system. But, how do I do a search function that finds the criterias in more than one file? If it was so that every field was unique, this would have been no match, but now, I've got some fields that is unique, and some that isn't. I have a DB that has, let's say, 10 records. I would like to create a portal in that same file that lists a particular field of each of those records within that file, so that I can have a clickable list. Hi, I have set up a layout in a file called orders which has a portal on it, the file also has a relationship with a line items file. When I enter a id in the portal the other fields are filled in via a calculation, which is great. Hello! I have a CDML-based form that displays a master record along with related portal records from a secondary table. Ideally, I would like to be able to edit both the master and portal records from the same form at once. When I submit the form for the master record, I get a 102 error (field name not found). When I remove the portal fields, this error goes away. This must mean that the 102 is generated because FM looks for those field names in the master table? Is there a way to edit the related records? hello i have 2 databases, one which has user,level,mid and another database (say db2) has only user.So i setup portal relation between those 2 db's using user. The field 'level' takes only 3 values say "1,2,3". i have three portals in db2.What i want is all which has level=1 should go to portal1 and level=2 goes to portal2 and so on. how to do that? Hi, I've tried searching threads for this, but really, I have no idea how to phrase the search. * I have 2 files, one with images and the other representing their sales. The sales file draws a related image into the Sales file via a normal relationship (uniqueID) and that's fine. However, I also want to view the related images via a *self relationship* in the Sales file (for a sales report). I just inherited an interesting project. One of the things it does is bring out a 1 to 8 page report.... Using about 20 portals. The good thing is that the author made most of portal share one lineitems database (using dynamic keys method, and not using all fields) so in theory I could print from the line items, but there portals from other databases. so it won't be easy. As well, the author made it so if the portals are empty, they do not print (and shorten the report). I havn't really figured out how he pulled this off. I think he is using print sliding. I have a one to many job_header to job_items. I have a field setup in the job_items db called 'category' which is either P, L or O. I have a calc field of: If(Job Header to items::CATEGORY="L",Sum(Job Header to items::CHARGES)*.6,0) and also If(Job Header to items::CATEGORY="P",Sum(Job Header to items::CHARGES)*.35,0) I finally add these two calc fields together with: tot_com=L_com+P_com to display the total of the fields in the portal out on the form. Okay, I'm an idiot. I am trying to set up a portal to show in list view the inventory from the database (there is only one database). I drag out the portal, select "Item" in the show records field, click okay, drop a field on there, and nothing. The portal shows a list-type box and nothing else. I have a portal that displays a list of documents and has 2 buttons: one to move a document up one row, and another to move a doc downone row. The portal is sorted based on Sequential # (number field). The scripts work for a number of moves and then one or the other screws up, but not always the same one. I can't figure out why. Hello, I am creating an attendance solution for a school. I have 3 files, Students, Teachers, and Attendance. In an attempt to not have to scroll to the bottom of the portal window to create a new record (automatically), I have created scripted buttons that create a new record from the student database into the attendance database and sets the status of attendance. Each one of my records refers to a specific auction number. When an auction doesn't sell, it is duplicated, and the previous item # is put into an "old item number" field. I'm working on a receiving db where I'm getting the raw info from an old DOS accounting system (so I can't set everything up right the first time!). I'm currently importing two files into two dbs. I have a header file (PO #, date, name of vendor, etc.) and a line items file. The line items come to me flagged by a status field as either Open or Complete. I have been using portals for a long time. But - never think of the connecting files as Parent and Child. I just want to make sure I have each one labeled in my head correctly. For this example - I will use Invoices and LineItems. The invoices db has a portal to the lineitems for individual line entry. The parent file would be the LineItems database and the child file would be the invoices databases. Correct? Situation: In my layout I have a nicely sized portal with a number of fields inside, each field has some space around it for legibility sake. Problem: When someone clicks on the row without clicking inside one of the fields, the whole row turns black to indicate it is selected. Similarly, if I change the fill color of the portal to a dark color (it is currently white) a lighter contrasting color will appear. Question: Can anyone suggest a more refined way to handle this, for instance a lighter gray on a white background. Or is this built in and unchangable?

can anyone suggest a way to do the following. I need to be able to create "x' number of related records in a portal where x is the total months between 2 dates. Basically i have a date range from 1/1/2002 to 3/1/2002 which equal 3 months (anyone know how to calc that to reach "3") and then create "3" related records starting with January and ending with March. The end result would be that i select employee A in the portal from a value list, FM would then create 3 records with the same employee name which auto incremented months ending on March. does this make sense? I have two database files. "Contacts" and "Projects". The "Project" database is using two portals to display related entries from two relationships from "contacts" called "primary" & "secondary". For each "Project" Record there are several primary contacts and each primary has several "secondary" contacts related to it. The number of "secondary" contacts for each "primary" is not known but i would like each to be displayed associated with the proper "primary" contact. Theoretically placing a secondary portal in each line of the primary portal. Any help would be appreciated.

Items are dealt with and then deleted from portal but how can we retain the items (archive them) in the Line Items file when they are deleted on the portal? I posted this message in the Define Fields area - but I really think it needs to be in here. I am duplicating invoices - that have a portal on them. When I duplicate the invoice - the general information duplicates, the date is increased via my script, and the inovice number is increased. But - the portal information (line items) does not move over as well. Hello, I've just tried porting a runtime solution to Mac and most everything works okay. One odd behavior; in a portal that shows only one row at a time, the "go to next row" and "go to previous row" scripts do change the row number but the field data remains what appears in the first row. If you click in the fields, they update to what should be in the row navigated to. The full version that I brought to the mac, navigates the portal rows as expected, only the runtime appears not to update portal row data. I have a database with about 10 files, several users, and several automated tasks. I'd like to create an "event log" wich keeps track of items such as "user ID, script name, file name, and results such as: email successfully sent, email successfully received, script executed normally, script error occured, etc." Since i want a centralized file, i figured i'd use a portal. But since i want to do this wish as little adjustment to the other files as possible, what would be the quickest and easist way. I have 2 database tables: The parent database table (Contract) displays related Contract Logs, from the Child database table (Contract Logs) via a portal. From the parent database, I can use the command Goto Related Record to select the relevent record in the Child Database. Is there anyway that once a record in the Child Database is selected, the relevent portal row in the Parent Database can be selected. Everytime I try to highlight a SPECIFIC portal row (by file contents for example), only the first row gets selected. The other portal row option (first,last,next etc) aren't specific. I just recently had a need to print a list through a portal. I noticed that it only prints the shown part of the list. I was wondering if there was a way to have it print the entire list, similar to how a columnar list/report does. I tried making a columnar list and placing related fields in it, but it only shows the first related record, not the entire list. Also, I dont want to just extend the length of the portal because the potential for the list to get longer is high. Thanks in advance for the insight. Ken

I have a main Invoice DB, but related to this I have an InvoiceDescriptionsDB. Related by Invoice number When someone raises an invoice, they may have many parts to the invoice which are created in the InvoiceDescriptionsDB. The InvoiceDB shows all of the descriptions for each invoice within a portal. How do I show a total amount - for all the parts - on the Invoice DB. Hi there, Just FYI, when duplicating multiple layouts, where the portal is based on different relationship, somehow it's not enouph to just double-click on the portal to change the relationship. You have to physically re-draw the portal, then specify the relationship that this portal is based on. At least I had to do it for my solution. My guess is that's the bug in fundamental programming of the object-oriented side of the FM. If anyone has any clues out there, please enlighten me. Biking days are here again.
