i have 2 tables with a common field related in table 1 i have several values in table 2 i have a field with a value list that take the values from table 1, when i update the field on table 1, is not refreshing the value in table 2 that is selected, i have to reopen the list and reselect the value what can i do to update the selected value, both fields are text thanks

I create a layout by selecting a table and then the fields to inculde in the lay out. so far so good. I then go to browse or preview and the fields do not resize them selves to accomodate the amount of text in the record. e.g if my layout includes a a textfield that is 400pxX50px then when you go to preview if the record only has a few words for that field I want the space taken up by the textfield to shrink accordingly. If the text extends beyound the field then I want it to expand to accomodate. Also if I have two fields like firstName and lastName that I want to include in my layout I would like them to appear together like this. Shmoe, Joe Not like…

I'm having trouble getting my brain around how to create a report to show averages per quarter. Let me explain... I am tracking profit data for each customer each month. I have created a layout/report to show total profit data for all customers broken down by sales region. The next step is to take those monthly region totals and average them for the Quarter. Because of the way we track things I can't simply add the months totals. I can't figure out how to create a report that will average the monthly totals instead of the average of the individual records. Hello. First post. Be gentle. I'm totally flummoxed by Sub Summary Reports. I am trying to create a report that will list/print summary totals for a database membership based on two fields [area] [reference]. There is also a unique field should it be required. Something like the following... (I hope the formatting comes out ok) area 11 reference Total W10 52 w11 128 w12 29 ... w20 77 area 12 n10 55 n11 217 ... n49 59 area 13 p22 84 p23 111 area 14 etc. I realise this is a pretty basic type of report, but at the moment it is beyond me. I'm trying to design some simplified forms which can fit into small windows. One of the things I'd like to do is create toggling checkboxes or radio buttons for yes/no fields, so that I don't have to make room on layouts for both "yes" and "no" checkboxes/buttons. (Those of you familiar with MS Access know what I mean.) I'm fairly new at scripting, and I just can't figure this thing out. The value of the yes/no fields are to be used as markers when filtering a mailing list or generating sums, so I've assigned them a numeric value of 0 or 1. So how do I set up such a checkbox? I have a layout with a variety of information on one business. This information takes up more space than can be displayed on one screen. I would like to be able to scroll down through this information while keeping the general business information (phone, address, name, etc.) displayed at the top of the layout. I am envisioning something similar to a "freeze pane" option in Excel. Is there a way to accomplish this? Thanks again for your help.

Hello, My name is Shyam and I am a student very new to Filemaker. I am using 'FileMaker Pro 7' database on MAC OS X (10.4.1) for a project at my university. In one of my layouts I have a pop-up menu. At the time of data entry, this menu displays the contents of a value list of user-ids. However, I want my pop-up menu to display a list of user-names. Once the user selects a particular user-name, I want the field's value to be replaced with the corresponding user-id (that is found by matching the selected user-name to a user-id from another table). I have an employee database. Each employee is either "active" or "inactive" which is defined by a field called "status". In my layout I have a column down the left side the I'm calling employee list. In that column is a portal that lists all the employee names. Is there a way to fine tune the portal so that it can display all employee, active only, or inactive only? I am envisioning 3 tabs adjacent the column like All, Active, and Inactive. When clicked the portal is limited to display only that chose. I have a db woth two tables one is a list of GPs and the other a list of surgeries these are linked by a one-many relationship useing GP practice (ie each surgery can have more than one GP) I wish to do a find based on area and send a standard letter to each GP in the surgeries returned. I have a layout created for the letter but cannot work out how to generate a letter for eacg GP I can do it for each surgery but not for every Gp at the surgery.

I host a database on an internal network and all my users access the database remotely and interact with it throughout the day. to keep the size of the database down, I insert file references (rather than the files themselves) into container fields from the host computer. When accessing the database remotely, however, when i try to download the file in the container field, it says that it cannot find the file. any idea how i might fix this? thank you for your help.

Somewhere I saw a discussion of how to handle multiple portals on the same layout, but now that I need the information I cannot find it. I have defined two portals .. on the same table ... one displays rows 1 and 2 and the other displays rows 3 through 12. So far so good ... the portals display the data correctly. However, I have a script that validates the data - which works fine on the first portal, but ignores the rows in the second portal. How do I specify that I want to access rows in the second portal? And how are they numbered? would the first row in the second portal have row number 1 or row number 3. Or is this mission impossible? Patricia

I have a list of values in a portal. What I am trying to achieve is that if a certain value appears in the portal, this can be used to trigger a relationship. ie. A portal shows all the possible diagnoses a patient has. If one of these diagnoses is "rectal cancer", I wish to be able to recognise this in a calculation - something like Case(portal contains "rectal cancer", 1, ""). The problem I have is that this only works if the diagnosis "rectal cancer" is the first related value in the portal (as I understand it FileMaker only evaluates the first related record). Hi I have a field a with a long value list which is defined to contain only specific values. But the field contains some imported data which includes entries that are not on the list and are therefore not valid and need to be replaced. I would therefore like to do a search to find all non-valid entries so that I can edit them to conform with my list. Does anyone have any suggestions? When a dialog box appears in front of another layout in FileMaker 7, it erases the screen behind it. That is, if a print dialog box comes up and I move it around, it acts like an eraser clearing out everything behind it (thus you can't see what you are about to print). This only happens on WIndows XP (Mac OS X doesn't erase). Is there any way to prevent this from happening?

Hi, Could anyone telle me how comes when i import a form into a layout and then print it, setting the margins to 0 it does not come out as the original A4?? Basically what i am trying to do is put fields over a printed form so that they print in front of blank fields on the actual form..can anyone tell me if maybe that has something to do with printer setup and what size should i set the paper to ?? Ok, can someone help me on this? To make things simpler: i have two tables "People" and "List". I'm trying to have a list of all the people living in the same city. I made a layout with the name of the city and a portal of every person who has this city in their record (The link between the tables is the name of the city, with a unique field in the "List" because I only want one list per city). a question for all the whizzes out there: I would like to structure my database so that if I select an option in a pop-up list, then the database will know to display the record in a certain layout. I'm a new user of file maker pro and I need some help. I'm working for non-profit that is attempting to organize members, donors, sponsors, and volunteers. Can some one help me figure out how to view these different groups of people? I have added a field called "category" under which I have volunteer, sponsor, member or donor listed. The main layout only has first name, last name and category. The problem is that I don't know how to make a new layout that will only show volunteers. One that only shows member. Am i mssing something that is really simple... I have a table that has a couple of related tables hanging off of it. There are times when a user wishes to duplicate the main table AND its related records. I am currently using a script that duplicates the main record, remembers the new records match field and then does a 'goto related records only' step and then loops through each of the related records to duplicate them and give them the new match field! It's painful, clumsy and slow! ANy ideas would be greatly appreciated.

Hello, I have two tables, a customer table and a customer notes table. The customer notes table has a foreign key that is a customer id to relate the tables. I have a field in the customer notes table that determines the type of note. I have 4 different types. I have a portal set up on the customer layout that shows the notes. I'm new to the board but I've been using FMP for years, so I'm not sure if this is the correct forum but there's a problem that keeps bugging me and I thought I'd see if anyone else out there knows of a fix... We keep a database of product information. Information is typically entered manually, as new products come out, by copying and pasting text from web pages into the form layout. The problem is that the text comes in all different sizes and fonts depending on the webpage from which they came. Is there a way to change the order of a value list when defining from a field? I am building an estimating solution and I am having problems validating that an active customer number has been entered. I have a Customer Table with all relevent customer information, then in a separate table I have the estimating information. I have it set up through scripts and a custom dialog box with globals to request a customer number and navigate to the estimating table create the new record and lookup all the required customer information. Hello all! I have an inventory problem that probably has to do with subsummaries. I keep track of every part that leaves our office by serial number. Every part falls under a specific category. Each part also has a price but these prices vary between the parts themselves. What I want is to show that within a specific category, there is a count of how many parts are at price X with a total sum, while the rest of the parts are at price Y with their total sum. I want to avoid giving a specific value for these prices because they vary so often. Hi, I'm new to the Windows version of FileMaker. I was dismayed to find when a window is maximised to fill the application window, no other window can be displayed. If I try to popup another window in front, the background window is reduced in size. I understand this is a limitation built into the Windows version of FileMaker. However, when I then use a smaller window size, which allows for multiple windows, I run into another snag. Is there any way to change the default "standard" layout that Filemaker uses ( the one Filemaker throws at you when you first look at your data in Layout Mode?) I always need to see my data in columnar form, and right now I am creating columnar layouts for each table. In one of the layouts of my file I have multiple portals displayed. I would like to eliminate the "white space" of non-used space in the portals and have utilized the resizing/compress unused space option. My problem is that when I look at the record in preview mode (or attempt to print it) very whacky things occur . . . data from the third portal is missing and it almost looks like there is some sort of overlapping that is taking place. Does anyone know how to reduce the white space when viewing mulitple portals without wrecking the data? Thanks, John

How do you creat a list layout? I can not find any info on how to do this? I have a form layout for my invoice and want to know if I should convert to a list layout. I found this quote in a previous thread: "The other way is instead of creating a form layout on Orders, create a List layout on OrderProducts. Then you make a larger header part with all the related order information, and a trailing grand summary for the order totals etc. You will need this technique if you want to support orders with arbitrarily large numbers of lines, because you can't make a portal spill on to multiple pages nicely. this is a post from the portal thread as well. I am redoing the database, making one table that has all the discrepancies. There are 13 different discrepancies that can be chosen. Dependant on which one is chosen, there can be different variables. I believe I can accomplish this by making different layouts wtih the fields that I want. I don't know how to generate a summary report that would list all discrepancies for a certain date and then list the appropriate sub fields. The problem I see is that since it is all one table, I can't specify out which fields I want at a certain time. I hope someone can help with this and give me some insight. Thanks in advance

How do I easily count items in a value list? I have been using an IF statement field like: if "item" 1,0. Then I use a summary field to sum the counted items. This makes 2 fields per counted item, which really uses up space. There must be an easier way to do this.

when i copy something from the internet and paste it into a field in filemaker, it always takes the font, color, size, etc. from the web browser when i want it to change into the font i've specified for the field. i've made all the changes that i thought would fix the problem (in field behavior setting input method to synchronize with field's font, changing default font in filemaker preferences) but the problem persists. how can i avoid the step of having to re-format bit of text i paste into my database?

I have a database with more then 600 fields. For the users I have made some preselected exports they can select from (nodialogs, straight into a excel-file). But I want them also the have the possibility to choose from a selected list of fields. I have made a custom valuelist with the fields they can select. I have found the method (patterncount, etc.) to see which fields the users want, but then? If I make tmpfields and fill them with set field I have to do that for each record. I've been having problems with repeating fields (up to 100) displaying in an area only 3 rows deep - although I have selected a vertical scroll bar to be displayed, it doesn't. Hello Maybe I'm missing something obvious, but I haven't been able to figure it out yet. Is it possible to get the values of a field in every portal record into a single field in the parent record? I mean, if I have 3 people with their phone numbers (child records) in a portal of a certain group (the parent record), can I create a calculation field for the group so that the result is "Phone (rec1) & Phone (rec2) & Phone (rec3)"? The database works fine until I try and access the pop up list (5000 entries) and type in the first letter of the last name to get to the place in the list I want. Then I get the spinning colored ball of death. I can scroll through this list manually but as it is a big list I want to get to i.e. Smith, James and so I press in "S". I am using OS 10.4.1. and FileMaker Pro 7.0.3 to access a database across a VPN (using OS 10.4.1 built in VPN software) the databases are hosted on a Macintosh G4 with FileMaker Server 7.0.3.

Hi everyone I have a graphic in the background of my main screen to create a brushed aluminium effect. I also have a menu of buttons. No problems with the buttons but if I click anywhere other than the buttons, ie onto the background graphic I get a message saying 'This action cannot be performed because the required table is missing' Does anyone know what action this message is referring to. Table CC has a portal from table CCL (L=line item table) that pulls info using pulldown lists from Table P and Table S. Then Table L has a portal from table LL (L=line item table) duplicating (most of) portal from Table CC Workflow of above is create record in CC once that is established you move onto Table L and Create that record from where you create a report or invoice of combined info. ALL ABOVE WORKS FINE so I would think that my relationships are ok! Needed to add another field in CCL table to set rate for each record (this field is a percentage value list). I've attached a value list to a global field on a data entry screen. A click in the field displays the value list. A click on the value enters the value into the field, BUT the pop-up list re displays. It keeps doing this until I click somewhere other than the list. Is this normal behavior? I think I am after the impossible but here goes anyway. I must create one table to handle two different types of records. This is not ideal, I know but I need them to display in the same protal by order of date. I can report on them seperately through scripts though. One type of record has a cooresponding form view and there will be a "goto related record" button in the portal. The other type of record has no form view as the entire records data is easily displayed in the portal. I'd like to offer my users a search page, lookin kinda like this: I want the search to look in many, many different places throughout my database. The only advantage I have is that all the tables to search are related. The search results should always be the same "top" records from the relations graph. The easiest way I could think of to do this is to have one layout with every field -- but I have subrecords and sub-subrecords so I would need something akin to a portal within a portal to see it from one layout. I would like to manualy sort records in a portal by draging the record to the row I want it to be. After that the portal has to sort itself in the new situation. (like aranging lines in a FMP script) The last part (sort) I can figure out myself how to do it. The draging (& release) part I do not know. The closest solution I know is a template file called 'clicksort' for an older version of FMP.

We have a contract form that we want to insert into a layout and then just put the field over the form..the problem is that when printing the image file (photoshop or jpg), it takes ages and does not come in good quality...anyone has any idea on how to do or how to insert this document and keep the quality Many thanx

I have a protal -- really simple one... and it is sorted by last entry on top... But now here comes the probelem -- When I go to print a report which has the portal field on it... the reports prints the first entry not the last. Hello all, I am making my first database and I was wondering if it was possible to create a pop-up hierarchy when searching for itmes. For example i have a bunch of images i need keywods for. Is there a way i can have a first list that is say [airplanes, vehicles, boats]. And when i select vechicles to search, the other list would appear as [cars, trucks, minivans]. It seems like a pretty logical way to search for things. Is it possible? Thanks in advance.

I hope this is the correct place to post this question. I have succesfully been able to get two summary fileds to layout correctly, as in the way they should be seen, but I want to change the way it looks and I am pretty sure it can't be done. Can someone please let me know if I can do this.. We normally have time entries for a client that happen about every to every other day. Which for LineItems is fine. But we want to produce a report for month end showing: Total hours per client, and then a grand total for total hours per employee. I would like for telephone service representatives to be easily able to enter the make and model of certain equipment a customer has when on a call (to check for compatibility). I have just moved a large application from FM5 to FM7 and am encountering a lot of differences. The latest relates to the behaviour of popup menus. The popup menu in question is based on a value list which references the Client file - so what you see is an alphabetical list of client names. In FM5 you could get to the right part of the list by typing in the first few letters - "Jo" for John etc. This isnt there in my version of FM7 - any way of getting this functionality back ?

Ok, I have a portal of only 4 rows. I want to show all the portal records based on and empty field. If portal field has been entered, than it should not show. I have a series of value lists offering a conditional list structure (e.g. Category 1, Category 2, Category 3, Category 4) The first value list (Category 1) uses values from a field in another file and the others use related values from other files. When I open my file as a host it works fine, but opened as a shared user (using another password) on another PC another value list has attached itself to the first field. (Value List for Category 3 now attached to Field: Category 1). Can anyone advise?

I'm a fairly intermediate filemaker user but for some reason I cannot figure this "simple" problem out: I have 2 Files: (Week) (Days) The "Week" file has two fields "StartDate" & "EndDate" --- the "Days" file has two fields "Date" and "Amount". The "Week" file creates records in the "Days" file for however many days are in between "StartDate" & "EndDate" and assigns the "Date" field in the "Days" file to the corresponding date. I created a lovely (OK, more functional than pretty) layout, which looks great in Preview mode, but obviously Preview mode does not allow data to be edited. How do I allow another user to see this nice, sorted layout and edit records without forcing them to use the Browse mode where only a single record shows at a given time (of thousands of records in total) in its current state? Is there an easy way to use a Preview layout in Browse mode, to make managing records easier? I tried choosing this specific layout in Browse mode, but that still just shows one record at a time.

I've done something that's probably non-standard in my layout. I've got a sub-summary part (leading), and I made it really tiny (.025 inches high) and just put my summary field barely touching it and mostly overlapping to the body, in order to minimize white space on my report. When I then use the "alternate background fill" property on the body, the fill covers up the summary field in every other row. I've made sure that the summary field is "brought to front" in the layout, but I'm hoping there's a button or checkbox somewhere to fix this little problem. I can live without the alternate background fill, but it sure does make the printed report a lot easier for…

I have set a tab in a text field that contains a numbered list in a series of records, so that the second line can be tabbed to line up with the first letter of the first line. Whether I set the tab in the layout mode or in the browse mode the results are inconsistent - using control+tab, sometimes the tabs moves to the tab setting and other times it doesn't. On some records, the first attempt using control+tab doesn't move the text and on the second attempt it moves past the tab setting. I have removed all tab and indents (not used) which I thought would affect the tabbing, but apparently this is not what is affecting the tabbing.

Given fields: max # of Pieces per bundle # of total pieces Calculated fields: # of bundles needed # of peices in last bundle (always less or equal to than max # of pieces per bundle) These two given value fields are unique according to each record. Hello, suppose you have a value list of say payments. you specify all the ways you can pay for something. The value list contains "master charge, visa, american express, check and cash", the field on the layout is formatted as a check box Set. The user checks off one or more check boxes. How do you know which ones have been checked. for example, maybe you have a button with a script and you want to say "YOu checked this and that and that".. is there a function to do this in FM7? This is probably an easy one for you advanced developers: I've got a database of boats (I work for a boat brokerage in Alaska, remember me?) Boat ID's are set by auto serial numbers. Over the course of the last 3 years, many of the records/boats (IDs) have been either deleted or exported to archives. We want to keep the IDs to 3 digits, and we want the existing boats to keep their IDs. (Sometimes we re-list the same boat and pull it out of archives.) So, out of 98 active boats and 250 archived, I've got 650 ID numbers to dispense. The available IDs are specific (i.e. 108, 109, 113, 119....994, 997). Hi, Has any tried to do a report where they have a form the user enters a start date and a end date from two different fields and create a report based upon the range of information? I am having a time trying to figure out the scripting. I know that if you use one field you could enter for example: 5/1/05...5/31/05 and that will give you the range of dates for the month. Now I want to use two different fields (defined as globals of course!) to get the same report where the user just enters the dates and their criteria selection. Thanks! Chris

I am trying to set up a report that gives a count of records based on a part number and a location (2 fields- where there is 50 or so P/N and 20 locations). Easy enough to get a list, but i would like to veiw it as a matrix where 1 column = a location and rows = part number. Hi guys, Never noticed this behaviour in FM6, so maybe it's new to FM7. I have found that when I Ctrl-shift-drag to copy a vertical line, the object moves up a pixel instead of staying in the same horizontal position. To test this, draw a longish horizontal line. Next draw a short vertical underneath the horizontal and just touching it. Now hold ctrl and shift, click the horizontal line and drag to the left. If you do it several times it will quickly become clear the line is moving upwards as well as across... Has anyone else noticed this? Another bug? Cheers, Sean.

I have several filemaker reports that use patterned shading on alternate rows. Since yesterday, when I print these reports, the patterned shading does not print. If I remove the pattern and use solid color shading it does print. (I am using Mac OS X Tiger, updated the Tiger system yesterday, and am using a HP Color Laserjet printer, which I re-installed today to try to fix this problem) Any suggestions? Do I give up patterned shading? Thanks!

Hi. This is my first attempt at generating reports, and I am wondering if it's possible to use more than 1 subsummary sorted parts in a report. The relationships are simple. I have a set of dockets, and each docket contains a list of civil suit records, which in turn have a list of plaintiffs and defendants within each case with their attorneys. The report will basically give me a list of dockets for a given court date, and between each docket I want to see suit ID numbers, and between each suit ID I want to see a list of plaintiffs and defendants. I have a "flat-file" type of database (ie, only one table) in FMPro 6 (under MacOS9). A (numeric) field contains a calculated result for each record. I have a script which searches for those records which meet a certain criterion, and then displays them in a columnar layout.
