Have a small report card database - students file and report card files. I have kindergarten teachers directed to a specific report card layout based on their log in. They enter in Find mode and select their teacher name from a drop-down menu and "find" their students. How do I restrict that so the kindergarten teachers can only find their students and the primary teachers can only find their students. There are four kindergarten teachers logging in and 10 primary teachers into a database of 400 students. I don't want them to have access to all 400 students, only their own. Any help anyone can give, I'd appreciate it. I am new to FileMaker; and using 6.0.

HELP!! On a cross platform network when a Macos user tries to modify a record in use by someone using a PC, the user gets a message saying: - "[password] is modifying this record. You cannot use it until [password] is finished. ... thus broadcasting your password to all and sundry ! It's not a problem the other way round, as the PC user is given the MacOS user name, not the FMP password. Can anyone tell me how to patch up my defences ... quick. Mike

Using FM6 on both Mac and Win I'm looking for a way to lock users from scrolling through records. 1. Is there non-script way of permanently hiding the status area from users? 2. Even if I hide the status area, users can scroll through records using the rolling button on their mouse. Is there a way to prevent that? I know this has been discussed time and time again but i am still unclear about what to do. Here is my setup. I have a filemaker 7 database with various tables. Users should be grouped into teams and should only be able to view their teams work. There is also the possibility that i will include other databases at a later date. VERY new to FileMaker - basic report card database and I'd like to restrict primary teachers only to the primary layout, without being able to access the kindergarten layout. I have one splash screen; one students file; one report cards file with four layouts. I'd like the teachers to only be able to view 2 of the four layouts on the report card file. How do I do that? If I am trying to restrict record access by calculation, I assumed that the users would only see the found set of records I restrict them to. Instead, they can only see information for the records I choose but see No Access on all the rest of the records. This makes for an ugly interface. I tried creating a filtered TO and evaluating the calc from that TO but it keeps crashing the database. What am I doing wrong?

OK, how do I do this (restrict access to certain records based on the user) in FileMaker 6? I have 8 or 9 users and we all have access to the same "contacts" database. However some of the contacts are "personal" or "private" for some individual users. Others (most of them) are general contacts that can be accessed by all. I currently have a field with a dropdown that indicates which user the current record belongs to. With one of the options being "ALL". Is this the correct way of going about it? AND (to re-cap my question) how do I setup limited access to records based on the user login in FMP 6?

Is there anyway to have a script disconnect any users with the file open? I have a file that is used by about 6 people during the day. Inevitably one of them is always leaving the dbase open when the leave for the night. So this messes up my maintence and backup that runs in the early morning. I have tried to stress to them the importance of closing the file, but they forget.

I set up a find page with different global fields for entering search criteria. I have problems in setting access privileges to users. I want to restrict users from editing and deleting the records of the database. But once I removed the privileges of Edit records and Delete records, users cannot enter search criteria on the find page because it prompted with an error message of "The field is not modifiable". How can I set the access privileges in this case?

I'm a newbie at FM7. But making a field required (not empty under validation) traps the user (account defined as a Data Entry privilege) in a loop where data must be entered. What if the user accidently decided to get into this browse mode layout and decided he/she wanted to cancel and not add a new record? Does all this have to be managed from a script level? My 'cancel' button to go back to the Main Layout is preempted by Filemaker's Error Dialog Message. Any info appreciated. thanks

When you deny an action to a privilege set (such as non supervisors can not modify a record whose status field is "submitted") and the user attempts to perform the action, FM shows their generic message "Your access privileges do not allow you to perform this action." Is there any way I can put up a custom message when this happens, so I dont have a bunch of users wondering what it means....I would rather show a message saying "You can not modify a submitted record." or something like that.

Hi there: I am creating a storage locator database which takes users to a List Layout once they do a find, and then the individual Record Item (which has each field formated to not allow entry) layout via an invisible button, when they click on the line item. From the Record Item layout there is a button to Edit Record, which navigates to an Entry Form (which does allow field entry). I've created the script as follows to check Status(CurrentLayoutAccess) and to deny entry to those who don't have rights via access privileges to the Entry Form layout, but it's not working. Hi- I have a database in Filemaker Pro 7 on Windows XP. I have one account set up in the Accounts & Privileges that has the built in read-only access. It works like I want it to. When that user accesses the database via a browser and the instant web publishing, the user can read all records and perform a find on all records, can't delete or edit anything. Hi all, We are running a DB with FM5 which has a password when you open the database. I've installed a trial version of FM7 and when I open a DB it upgrades it then asks for a username and password. I know its possible to force the password screen for a normal database when you're opening it by pressing option or apple or something. Is there any way to force a password screen when a database opens a relationship? The problem is it isn't asking at all when it should be. The related database IS password protected, but FM is just ignoring that and not displaying any of the related records.

I created a new FM7 file, and for the time being, have a single full access user setup, with PW. However, I can open and close the file without providing any authentication, the login dialog is not coming up. The account name is the same as the FM owner name, if that makes any difference (but why should it?). No change if I quit FM or logout. What am I missing?

Oh, for the life of me I've looked and looked. I practiced on vs. 6 before we bought 7 and 6 had where I could say a calculation needed to be true and if so someone couldn't change it. It had all kinds of things. I have been all through accounts and privilegs and can't find it. I swear I looked everywhere and even help won't say. I created extended privileges and still nothing more comes up. I feel silly asking because it must be there somewhere but I need it really bad.

Hi, new here. I just found this place because I was looking for something like this. I have three dbs in FM, but they're all password protected. It's probably the same password, but I'm not that sure. I need to get access to these dbs, but I don't have the password. I work with publications, & these pubs were entered into the dbs. Then that info was put into an HTML file & uploaded to the group's website. The group would like their pub website updated, but I need to access the files for that. What I have is multiple databases compiled in Developer to make a program we give to our agents. What I need is for us to send a text file to them (along with the ones we already send them with their data) and checks that file for a code (or anther form of data maybe) and if it does not match exit out of the program. I am not familiar with Developer to add another database to the application to handle this. I am following behind someone who left that created this product. Does anyone have any ideas of how to do this? I do know how to import that file into a field without changing how the database already reads data from another text file.

I have one more question if you please. Networked 3 computers directly (2 users and one host). They have Opener file. There are many things which happen at startup. If I put everything in the opener, those things won't fire if I open when the host is opened first, so I need startup script (set auto through File Optns). I have layout change, window size, setting globals, plugin registration and setting of certain preference fields. Hi, I've just installed FM Mobile 7 and now I can't perform a replace. When I find / replace, it find the correct fields but gives me the message "some fields / records could not be modified becaude they were in use by other users or your priveleges do not allow you...... 27 records were skipped" I /think/ that I have the priveleges, as both admin and guest users have full access, so I think that it's something to do with FM mobile, but don't know enough about it. Hi, I'm desperate here! I've installed Filemaker 7 mobile and now I can't access my database. Worse, I can't find my backup. I tried to do a find and replace, but couldn't because I didn't have access (I'd set no passwords, hadn't played with users, and assumed it was FM mobile somehow. I looked at the access menu and was logged in on a guest account, so I changed the tick box to Account name which was the computer administrator, assuming the password would be my computer admin password. filemaker states that you can synchronize with runtime applications created with FileMaker Developer 7, however i notice that i need to have full access to the runtime database before i can do the settings in fm mobile. doesn't this defeat the purpose of having a runtime database since anybody with full access will be able to modify layout, delete and add records at will? how can i create a read only runtime database, then transfer the database to fm mobile? regards, clifford

I've been working on a rewrite of an FM6 solution into FM7, getting all the structural components incorporated, and really have only started looking at the new security features. I would like to be able to have users be able to create records in a certain table, but restrict access so that they could only edit records for, say, 30 days after creation (and after that, they would be "frozen", except to someone with more access). I've been looking at how privileges are set up, and don't see any way to set up a calculation to test for the 30-day limit, as you could with FM6. Is there a way to do this?

I have a database (1 file with 2 tables) which I plan to make available on my website as freeware for others to download (using FM Developer 7). I know I must get familiar with the Accounts & Priviledges section of FM but there are no books out yet for version 7. I think I found something kind of bad in FM7 regarding record level access privileges.... If a user is allowed to create records but not to edit them, any records created by that user do not obey editing privileges for any user for the life of the record. However, if a user is given create privileges, but severely limited in their edit privileges (put a 0 in the calc dialog, effectively the same as no edit privileges) then the record behaves as one would expect. Hoping someone can help... My Mac crashed and I lost a drive, but I was able to recover my FP file. However, when I try to open it, I get an error (#808) saying that the "access privileges were damaged or tampered with" (and subsequently won't open). I hope someone can help a wretched soul. I converted a FMPro 5 file to FMPro 7 successfully. I then added a password, but, perhaps foolishly, changed the Account Name and Password. I know what they both are but no matter what I try, I can't seem to open the file. I have re-created this problem with a second and third "dummy" file, and the same problem occurs, demonstrating the level of idiocy I have achieved. I have a combined IWP and FM7 client solution for scheduling and resource usage tracking. I am not using FM Server now since I want to use IWP and server advanced isn't out. (Also I have a small group of users.... 3 different resources that each require a FM client and about 80-100 total users that must schedule their usage over the web.) The 5-session limit isn't really a problem since scheduling time is fast and I put a 1 minute idle timeout in the prefs. What I am doing is disallowing access by the full access account over web or fmnet using extended privileges. Hello, I want a login verification, even when the user is "All Users" is filed in the web security database. My problem is when I use "All Users" in the Web Security database with only read capacity they are allowed to go to a find/add section/html page in my solution. At the moment the user (All User) wants to add a new record the login verification pops up. I use a URL that ends with -find or -view. I have a main password that controls everything. I went in and changed one of the users access privleges, and now instead of access priveleges showing up in the file menu, change password does. Help! I have several working dB's for clients, using FM 5. They're published on the web using HTML and CDML. They all have the same problem, but I'll use one for example. I have set the Web Security up to have username "All Users" (with no password or permissions) and the other username and password with browse, edit and create privileges. When the client first accessed the dB it requested his username and password. Now he can access it without going through "Log In" by either using the "Back" button or by a link from his favorites. I trying to replace an custom dbase program that basically runs the company from prospecting for customers through customer maintainence and service and installs. I have developed the 16 data bases so far to take care of the customer service side to include the new federal do not call laws. My problem is that I have employees all over the building through out their normal day and jump on the nearest computer and sign in. I have just converted a FM5.5 file to FM7. A login box asks for my account and password. The account is pre-populated upon opening with the name of my PC. I enter my PW and I am told that the Account and Password May Not Be Used to Access This File. I have tried using 'Admin' as the account, and have also tried both account names using 'Admin' as the PW. But I know what my PW is - it just won't accept it. Hi all, I'm trying to write a script that will automatically change the privilege set for the user on the fly, depending on the user type assigned. Does anyone know filemaker has any option to change the privilege for certain user? The only way I found so far is to make the script Delete the Account, and then Add the account again with new privilege set. The problem with this approach is that account's password will be reset. I have 15 salesmen that access the FileMakerPro 6 database from all over (they use their office computer as well as their own home computer-which limits my use of Auto Enter Creator Name). I have them in a Record_created_by field that has a drop down list of their names(value list). I want them to only be able to access the records that they create. I have tried various variations of limited password protection but everytime after creating a record --they can't see it. FM help shows nothing. I have established Accounts and Passwords but when they log in, it inserts a default name (old name taken from computer somewhere?). Users don't want to keep having to put this in each time. They want it to remember what that computer used last time it logged into FM. Is this possible? It's probably staring me in the face.

It's funny how writing these questions in the forum can make you think of new possibilities. I was agonizing over this one for hours and then I finally figured it out as I was writing the question If you use the Re-Login script step without dialog, and the user's password is expired, the re-login will fail. You can error capture for this but if you run the "Change Password" script step, it will activate for the currently authenticated user. In my case, the dialog wouldn't even show up if the script was set as an open script - go figure - this just added to my frustration in trying to find the root problem! FileMaker is locking me out of most of my files right now. I have no idea what's going on. The thing that triggered this is that I tried to get rid of passwords, so I assigned full access privileges to guest and got rid of the admin account I created. Seemed simple. But now FM won't let me log in as guest. I know the old account name and password, but of course they don't work. I don't think there's any accounts left in the file or something. FM 7.0v2 Dev. on XP Pro. I must be missing something. Say I have a file called "Data". It has one user account with a password that no one else knows. Some evil doer comes along and creates a new file called "Raider". They define a file reference to Data and they can pull out all of its tables, despite the fact that they don't know the password for Data. Isn't there any way from within Data to prevent someone from hacking in with a new Raider file (outside of totally restricting access to the folder at the OS level)? I am trying to find a way to have the password for a database entered automatically based on a persons username. Here is the situation: There is an opening database, we'll call it Login.fp5, where the user logs in. If the user is a valid user it then takes them to Main.fp5 via a script. Main.fp5 has two passwords, Admin and User. When Main.fp5 is opened it prompts for a password. Is there a way to automate this so the user never sees the password dialog? Hello, I use FMP-WEB connector to publish CDML pages on the internet. I also use the FMP websecurity database to secure my databases. If I connect to my database a pop-up window comes up and asked my to login. But I can't logoff if I' am done. The only way (I know) to log off is to close Explorer completely. Hi, I've setup a few databases ... I have my opening file that opens all the other databases needed. I've set passwords so that when I log in I get admin rights ... when the user logs in, the only get limited use. Is there a way to find out who's logged in from the password they type in when the file opens? I don't really want to have to create an user and passwords database just for login. I've got an If statement on the user in the startup script ... so: If["Status(CurrentUserName)="Me""] ToggleStatusArea(Hide, Lock) Etc ... but if I needed to logon to the database on another user's computer ... this won't work, right? I am working on our school's database for a Master's course and want to restrict which records each user can see to just their own students. Suggestions on the best way to do this appreciated. Details: There are 8 users of the database. There are 95 records in the DB, each person needs to see about 10. Some records need to be seen by more than one person. I hope someone can help me figure out how to get this to work. I created a solution which is base on 15-20 databases the interact with each other. I set up a lunch database which basically opens up 2 or 3 databses which contain the information necessary to run the login script (users database, etc...). My login script only check to see if the username exist and match what is in the sytem, and based on that it opens the rest of the databases..... the problem is that I haven't figure out how to setup access privilages(editing, viewing, deleting) for the files, with a scrip. We are encountering a problem with a set of FP 5.5 files. There are several related files...including a "Home" file that has tabs. Each tab opens a different layout within the file. We have set up groups, rights and passwords for each user group. Let's call the layouts: Home, A, B, C, and D. Let's call the users (groups): UserB, UserC, and UserD. I have check some solutions like the gateway but i am new to fm that i dont know where to begin when it come to that that solutions. I am trying to open a database I developed and none of the users/passwords I have for it are working. I've gone through the list of possible passwords systematically (lower case and upper case) and cannot get back into the file. I am sure it is something I (or my client) did. I have called FileMaker and they do not offer a password recovery service for FMPro 7; neither does lostpassword.com. I'm thrilled that FMPro 7 is so secure but dread the idea of recreating 60 hours worth of development work. Does anyone have any ideas/tricks/tools about how to break into a FMPro 7 file? Hi there, A guy gave me a hand to develop this tiny solution to avoid the gray page when a staff enters a restricted file. Instead of ending up with the gray page, it displays a message. Nice 'n Cute. Now I want to add a third password that enable the user to enter the file with the same restriction. I've been playing around with for a while without success. Passwords: Admin = 120 Staff = 1 This solution uses a mix of groups, the Welcome script and a global field. Thanks, bk17

I hope someone can help with this one I run my own small business and we use Filemaker to near enough do all our administration work. My problem is that if someone decides to leave my company (I'm not paranoid honest!) they could just copy the files off the computer drive, use the data and/or use the database to set up on their own. If there anything I can do to prevent anyone firstly seeing the files on the computer and then preventing someone copying the data to another computer and then opening he files. Thanks for your help.

Has anyone heard of this problem and is there a solution? We had an accident in our office today and lost all the data in our main database because an inexperienced employee accidentally "replaced" our existing database thinking she was "opening" it. She accidentally chose "New Database" from the File Menu instead of "Open." These two options are right next to each other in the File Menu. Our computer expert says that Filemaker Pro does not have a way to stop a user from creating a new database because it's not seen as a security problem. But that is a weak spot in my opinion. I've three computers, call them A, B, and C. A&B are notebooks with fm6. C is a desktop, that I want to use as a server of sorts, that's where the FM Files will reside. A&C run XP B runs 2000 if that's an issue On A, I've created an application. I copied the files to C, and opened the files on A (the computer they were originally created on) all is well. I have a question regarding password protection. I have searched the forums and not found an explanation to what I am trying to do. I apologize if this has been asked before. I have a Filemaker setup where myself and one other person have full access to the Filemaker database. We have assigned 10 or 12 passwords with restricted privileges for other people to use the system to browse and edit only certain documents. I have a 24 file solution in FM5 converting to FM7 for a small office. I am posting this to see if there is a better way of handling security. There are two levels of users, me the developer and the end user office staff. I have full access but the staff has access only to non-dev functions all through buttons. Status area is hidden and locked. The menu bar is disabled as much as FM allows so that that scritps controll all acess. All fields are set to be entered or not on differrent layouts. Hello everyone. This is my first post. My db has a privelege set that allows the password to view records that have the field named [Viewable = "yes"]. My goal is to allow the admin to select the checkbox for Viewable only for records they want viewable. Our system will potentially have millions of users, each one registering and running a script that creats an individual user account (with associated password and privilege set). Hi, I have a contact management database, I want to set permission where if "sales person-1" logged-in as "sales1" he can only view contacts and all invoice history created by himself which is "sales1", not contacts created by "sales2" or any other users. In another word, if the entire database has 100 entries, and "sales person-1" created only 10 entries, he can only view his 10, not the other 90 entries. This way, I'd like to have our 3 different sales people only look at their own customers, order history, and invoice amount. One would not see the other two's customers and how much they've sold. Hi all, this is my first post on this forum. I am working on a time-billing solution that is designed to have two levels of privileges, an Admin level and a User level. I would like to use Filemaker's built-in security scheme, but the solution needs to allow Admin to create User accounts. However, I don't want the Admin level to have [Full Access] privileges. It is my understanding that only [Full Access] accounts can create additional accounts. If there is a way around this rule, I would appreciate any info. Otherwise, I guess I'm going to have to generate my own password fields, password scripts, and accounts to make this happen. Thanks, HampMac

Heres a cut down version of our secure logon system. I've modified one of Filemaker 5.x's generic templates to work with the solution. This is a rudamentary implementation but gives you an idea of how it works. This is a neat little VBScript that pulls the user's logon username, as well as computer number, and saves it to a text file on the hard drive. (Note: Windows only) The script can be executed through a Send Message step when opening the database, and the data can be imported to not only assist in custom file permissions (field-level, if you so desire) but also to create logs of who accessed your database system. I have set up a users file to compliment my dbs so that I can control access and have the user's name in a global field for electronic signatures. I have a script that date/time stamps and adds the user's name per his/her login. Works great, however, our QA dept. wants the script to also prompt the user to re-enter his/her password for added security (in case s/he walks away from the desk without logging out, I guess). I have been unable to open one of my files and therefore performed a file recovery. However when I try to open the 'recovered' file it says the "access privileges are damaged or corrupt". I have looked at the support section on Filemaker's web site but had no luck. Also I tried to open the backup copy of the file which was performed on Friday evening but that is corrupt. I am working on a system that has some very strict password change requirements. FM 7 is a great improvement over the previous versions, but I have a problem. When "Must be changed every __ days" is selected, it appears a user can re-use a recently used password. Is there any solution to this (short of using an external password system)?
