  1. I am trying to build a building space tracking system. My eventual goal is to have a view that shows all the active leases for 2 buildings per month. The attached file will open to a layout that has 2 portals.. one which shows the leases related to the "date" field. and the 2nd portal is meant to show the leases related to the "date_plus_one_month" field.   2. I've got a conditional value list that is currently working. It is set up through a relationship to show only the products that are part of a specific category. Basic schema is this: product_id description category However we are now getting to the point where there are many old products that no longer are valid. I don't want them to be deleted from the database, as they may be needed for reporting purposes so I have added a field to the product database to mark them as inactive.     I am currently trying to adapt the Registrations template that comes built into Filemaker 7. I would like to add a payment piece to it to track multiple payments specific to the contact and to the event. So I would like the payments to show up in the registrations portal and the events portal. To print payment reports for each individual contact and each event. I understand linking and portals and relationships but am having a hard time figuring out the relationship already built into this template. Could anyone guide me through the best way to set this up?   4. How would one go about alterring the appearance of the default vertical scroll bars included in Filemaker Pro 7. In my opinion the defaults look a little grainy and are unnecessarily different from the scroll bars used in almost all standard applications that basic users are now familiar with. Thank you for any help on this matter. ~Chris P.S. I just realized that this post wasn't really specific enough. The scroll bar I am referring to is the one that appears for individual text fields in a layout that are too large to be displayed within their given space, not the scrollbar for scrolling down a layout that does not appear on the screen all at once.

    I'm in the midst of upgrading/converting a FileMaker database that has lived through ver 2.1 all the way to 4.1... and now I'm taking it to ver 8. It has a lot of layouts and it's certain there are a number of them that are no longer used. Is there any method or tool I could use that would help me find what layouts are not referred to by any buttons, scripts, or triggers? Thanks

    Hi, I just discovered that I can display field data by simply using the text tool and typing: <> onto the layout and it will display the data for that record, it even works in IWP. What is this function called? I attached a sample file for anyone interested. It looks like it could be a great way to securly display data on the internet. thanks! barckettest.zip

    I have a call center database. There are 2 tables: CALLS & PRODUCTS. Each call that comes into the center gets a new call record. Each CALL record is related to a PRODUCT record. Each PRODUCT can be related to many CALLS but each CALL can only be related to one PRODUCT. I have been asked to produce a report that shows the top [variable] PRODUCTS that have had the most calls occuring from [variable] thru [variable].   10. Is there a simple way to have one field automatically updated whenever another field has data added to it? I have two fields, a text field and a number field side by side. The second one is often blank, but whenever it has data added it means that the first field needs to be changed too: Field one has a text value list such as "Cancelled", "Waiting", "Possible", and "Submission Number". Field two is a number field whose sole purpose is to describe which "Submission Number" is being referred to, so that whenever it has a "1" or "2" or "1b" in it, the first field should always be changed to "Submission Number".     I'm developing an employee training registration file. I have a portal listing all [color:blue]classes selected by an employee, and a portal listing all [color:red]available classes. My question: How do I remove the [color:blue]classes already selected from the [color:red]available classes portal. After all you can not register for a class that you have already registered for, so I do want them to be able to see it in the available classes portal.

    I've tried changing everything I can think of (and have searched Forums and read FM Help) and my little date calendar won't show in Browse like it does in all the pictures I've seen, even when adding it to new date fields (see attached). It shows in Layout Mode but disappears in Browse. Am I the only one with this problem or am I missing something? I assume it's something very simple. Or can someone give me an FM file where it works so I can see if it displays on my system or try pasting that field into my FM to find out how it is formatted? I might just be due for another break. UPDATE: Oh, Effects is engraved, pen color is black (opaque) and 1 px width.

    Hi, I am trying to create a conditional value list. I have a crew table(among others)and a line item table. the crew table has a crew type field. This is either labor, admin or management. In the line item table i want to have a portal for labor, admin and management and have the pop up list only show those crew types.   14. Hi, I've just separated data in my files, from *all* info in Contacts to 'most' info in Contacts and 'some' info in Company addresses. It seemed like a good idea to have a separate company table, so that any change in a company's details is easily replicated across all associated Contacts.     Attached is an example of "floating text" in portals that occurs on my layouts whenever an individual field contains multiple lines. I've tried various combinations of Format > Align Text and the paragraph line spacing parameters -- and have even tried different fonts. The solution I came up with is less than optimal since it spaces the text out vertically whenever the field is selected. I would prefer it to stay in its compact form (of single-spaced lines).     I am using 8Pro Advanced and trying to send emails that would contain data from portal records. When writing the email script all non-portal fields are going into the email body just perfectly - but, of course, getting all portal records is not. Only the first or last portal record is coming out. how do I get all portal records into that email body? (FYI: has to go into body as text since it will be read by text messagers and a PDF , for example, will not work.) Thanks. Paul

  22. Hi, Somewhat new to FM, but have been doing relational database stuff for years. I've got one table, "people" w/PK peopleID, and related table "people new clients referred", with a FK field 'peopleID'. Allow new records is checked in the relationship definition, but when the layout is used, the portal will only allow one record. Clicking on the second row only hihglights the entire row, but won't allow me to enter data in the 2nd record! Anyone seen this behavior? There are two screenshots attached - one of the relationships view, and one of the portal showing the 2nd row highlighted. Thanks! Matt

  24. Hi there, Hopefully this will be an easy one for you 'Gurus'. I have a two tables that have a related ID no. Table1 has a portal to enter data into Table2. The problem is that a new record will only be created in Table2 if I enter something into the portal. What I want is whenever a record is created in Table1, a record is also created in Table2 (with the same ID). Hope this makes some kind of sense! Regards Martin

The following issue has me stumped: I'd like to design a comments feature which has a field for entering the text of the comment on one side of the page, with a portal on the other side of the page which displays all of the comments associated with a record (with no blank row for entry).     I've run across an odd little kink that I can't seem to work out. I've created a db with four value lists in a pop-up menu format. Three of these are just run-of-the-mill text lists. The fourth is a dynamic list based on a referenced field from another file. The problem: I can't seem to get any of the pop-up menus to work in browse mode. I've double-checked the field definitions, value lists and field formats and can't figure out what's wrong. I've got two other db's that use value lists in the pop-up menu format, and I haven't encountered any problems with those. Any help would be greatly appreciated!

For my runtime solution, I use a custom menu that consists of an absolute minimum set of functions, but that includes ALL spell check options: I included Correct Word, but it displays "grayed out" in the runtime. Likewise when a user right clicks to get spelling tools for a misspelled word, the Ignore-Learn-Spelling options are disabled. It appears I'm close, since they are in the runtime's menus; they're just not active. Does anyone know how to activate just these WITHOUT turning on a lot of other functions (that I don't want)? (I've attached a screen example, but I don't know how to cause it to display as part of my post.)

    I have a customer and I have a portal showing the contacts associated with the customer. The portal works on a relationship based on customer id. The portal is scrollable as there are many contacts. The relationship is set to allow creation of new contacts in the portal. Everthing fine so far. I have a 'use' button in each portal row. The purpose of this button is to set a field in the main record with the contact name from the portal. That is not a problem as long as the contact exists.     I have a login script that includes a Install Menu Set. The selected Menu Set does not include any menus. When I run it from a copy of FM Pro on Windows XP, the Install Menu Set script step does not change the menu. When I run this same script step on FMP 8 Advanced the menu set does change. The copy of FM Pro that this is occuring on was installed as an Assisted Install with the ability to create files disabled. I don't know if this matters. Thanks in advance for any ideas.

I want to restrict which values from the table appear in the list, based on the privilege set assigned to the current user. Instead of using filemakers built in tools to draw the boundaries of the app I laid out an image that I can change and insert into a duplicated layout when I need a new layout. Think tabs.     I have a field that is defined as a checkbox set for a particular value list. You can check the first two boxes but that is it. The list has 6 items in it. I have checked the privilege sets, and they seem fine, but the strange thing is that you can check all boxes when logged in as an administrator. Any ideas? Thanks for your help.

    Hi, First, sorry for my english... I hope I can make my self clear. I'm developping a FM layout for a lowyer firm and they are using Time Slice for time spent in jobs. But the data have to be exported to FM, because its where they have the relative data, so that they can input time spent v client costs. I have tried to find a way to make the clock work in FM but no success... It's suposed to have a button to start, another to pause and another to stop.     Hi - I have timesheet history table which stores hours, by staff position (eg: Coordinator, Manager, etc.) againts Projects. Each record also stores the Project ID along with other information. There are multiple records for each project. I've given my buyer full access to edit records, and the sales people have generally restricted access as they only need to view the records. I did make a comment field, that I want to grant the sales guys guest access to be able to edit. To do this, I have to use a Boolean calculation to give access to only this one record.     Sorry for such a stupid question, but... I can't get my default text color, style, size, etc to stay at want I want. I want the text to be a certain font, 12, Plain, Black, etc every time I drag a field from the tool bar or click the text button. I haven't been able to locate the answer to this in the Forums. I have done what I found in the FM Help, and it works for that session, but it switches back to Red, Bold, etc when I quit and come back to the app. I know the answer is simple, but I can't seem to locate it!

My search in the forum shows that not allowing creation of records via the portal relationship will do that but that I need to create the new portal records with a script. How do I do that? I've come across what is probably a design problem ... and I'm far far down the road with my files, so HELP!     Hi, I'd like to create a field that can show data from other fields from other records. The other records are all in the same file. But, I'd like it to be contigent on a series of matching data. So, "record 1" has "field A" and it should show data from "record 2, field X, field Y, field Z" on one line and "record 3, field X, field Y, field Z" on the next line. I've been able to achieve this using a portal and setting up a relationship with the file to itself.     In Filemaker 7, OS 10.4.5, on an Imac, the Geneva 10pt font displays poorly, scrunched up, spaced out, etc. impossible to type correctly, but on other Imacs, powerbook, it displays just fine? Looks good in MS Word, etc. What's up?

I need to compare the text in one field to the text in the same field in the previous record where the order of records changes with each new find and sort. So "active" clients will have a white background and "inactive" clients will have a gray background.     I am having difficulty wrapping my head around a script that will sort a portal in my document. Basically I would like to create button for each one of the column headers above my portal so that it will sort like Table View. I understand that this is done by telling the portal to sort by a special field that is recalculated by the script, but I'm not sure how to set up the script to change that field for each record. When this field is added to the "Model" field it creates a full reference to a jpeg file for viewing which is then displayed in a calculation field "PathForMacUsers" the result being a container.     Among my layouts are letters (text boxes?) built using the "insert merge field" function to bring data from those fields into the letters. These include dollar amounts, name and address info, dates, etc. I have always been unable to format these merge fields when they are numbers or dates. For instance when the merge field has been a dollar amount drawn from the database, I have not been able to format the number as a dollar amount.     Again, I am familiar with Access and new to FileMaker. In Access, I would want to make a Form, and add it as a Sub-form to another form and do it iteratively. So for example I could create a form where I could enter a country, a sub-form to enter counties in that country, which would have a sub-form for the towns in that county. I know that FileMaker uses portals, but don't see how I could create a portal, from another layout (which would allow me to do as I've described above).

    In a portal, I want to add a field that displays the row number. I tried Get(PortalRowNumber), but it displays the selected row, and not the row number. What fuction shall I use ?

    Well, i've decided to jump into this FileMaker app for the first time. I am an avid PHP, MySQL programmer but i cant get a handle on this app. I would like to convert my previous app designed in pure HTML and PHP to the FileMaker app but i have no idea on how to do my first step.     How do I write a calculation to be used in the script step "Go to Portal Row (By calculation)" that would take me to the portal row with the highest ID number? My portal is sorted by a text field (Company), so when I add a new portal row, depending on the name of the new company, the new portal row may be row #2 or #5 or...you get the idea (meaning I can't have the script go to the first, last or next row. It must be a calculation). Since the ID#'s are generated automatically and are unique, I need to find a way, via calculation, of going to the portal row with the highest ID#, which would be the new one just added.   63. Hello, I have a database that tracks items on an invoice using a portal. I can total charges on the invoice using a Sum ( store::price ) calculation. How can I calculate total charges for a subcategory of charges? I want to do something like: if (category == "taxable") Sum ( store::price ) That might work in Python or C, but I'm not sure how to do it in Filemaker. Any ideas? Brandon

    Question for the gallery: I have an inventory system in which i have a list of materials. These materials can be run through production but if all the m aterial is not fully produced we return that material to stock and capture the reason.     Is there any way to add multiple colours to a value list. I am trying to create a list shoing project status (Active, Pending, Inactive, Prospect) and would like to have the colours Green, Yellow, Red and Purple respectively. To date I have overlaid coloured text over the list but depending on the operating system I have seen it shift plus it would be cleaner if I could do it without the overlay. I appreciate any help you can provide and am very appreciative that a forum like this exists as I've been using FM from back in the Claris days of version 1 and am now migrating (from scratch) to 8 ... ugghhh

    I have a double tab layout. One large tabbed control with each tab containing another tabbed control. This works great. However when I place a field (a global, but I don't think that's pertinent) using a drop-down list on a tab of the main tab control and select a value and the zoom level does not show the entire sub-tab control, the layout 'jumps' so that the top of the sub-tab control moves to the top of the window. Zooming out so that the entire tab control is visible prevents this from happening. Anyone else seen this? Server 8 on 2003 server, developing on Adv 8 on XP SP2

  67. I know the new tabs in FMP8 are not for layout navigation, but I tried anyway! They look great across the top of a layout, especially with embossing, etc., and with the "body" reduced to a strip where you could insert secondary navigation buttons under the main tabs. So my idea was to overlay transparent scripted navigation buttons over the tabs. It works, but only on the second click! I don't seem to be able to bring forward the overlaid button above the tab to put it at the top of the stack. The first click is still on the tab then the second on my navigation button. Can anyone see a way round this?

    Hi - I have a timesheet data entry screen where I'm using a portal to a timesheet history file. In the portal I have a value list where I want to show the Client ID and Client Name. I'm using the option of showing the second value only showing (easier on the users) and it works great - populates the Client ID and then captures Client Name. The problem I'm having is that I would prefer not to have the Client ID stay showing. I want to the Client Name to appear in that area. I've tried making the Client ID transparent and laying the Client Name field over the top but I keep getting both images when in browse mode. I could just make the value list based on Client Name …

    Hi - I'm brand new to FM Forums and hope that this question isn't too ridiculous. I've built a system to track timesheets. I've designed a weekly report which provides each employee's hours (one page per employee). I wanted to take advantage of the Alternate Background Fill in the BODY part set-up but it's not working. The manual said that even numbered records use the fill background but it doesn't seem to use the actual RECORD NUMBER field. Any suggestions would be appreciated. Thanks Debra

    I have a portal showing LAST NAME, FIRST NAME The relationship is dynamic in that the user can choose via clicking a button, to show only last names starting with A or B or C etc. They can also type in and see all names starting with JONES, SMITH (or any partial letters). All of this works perfectly. However, the portal doesn't always sort correctly.   77. I am designing a template to use on all layouts in a template I am creating in fmp 5.5. This template will be used by many different users/different machines/os. I am creating, buttons, graphics in Photoshop. Are there any standards I should consider regarding use of jpegs, color type constraints (web colours). Should I assume a display resolution of 800x600?     I understand that FileMaker 8 only shows five records at a time in list view on the web. If the status area is showing, you can click the "book" and it jumps the list forward to the next five records. How do I build a button that does the same thing? I want to hide the status area, but any button I make only moves to the next record, not to the next page. Any help would be much appreciated.

Anyhow, the drop-down menu of Window on the menu bar has an item that says "Show window" along with a right pointing arrow which is supposed to trigger another submenu on FM Pro 8 Advanced, however, my copy of FM Pro 8 Advanced does not show anything at all, I am just wondering what is it for? They have a value list which they have to change once a year. they will always have to do a find for the FIRST value of the value list. Is there a way to automate this? For example this year the first value of the value list is "greystone" and next year the first value might be "rusty" but I would like to know if it is possible to do a find for the first value in a value list.     Hi, all - I'm putting together a layout for a report. The reported information includes some fields in other records, which I'm displaying through a portal. In any given report, there may be only a few related records, or a couple hundred. I'm trying to figure out the best way to represent this in the layout. Should I just make a "worst-case" guess for the largest number of records any report might have, and then put the slider on it?     I have an INPUT layout with a checkbox value list. The 9 values begin numerically ( "1)", "2)",...). In a PRINT layout I have a merge field of the same field/value list as a means to list only items that were checked. The problem is that in the PRINT layout the value list items appear in the order in which they were selected, not in the numerical order in which they were named. Is there any way to correct this?

    I recently made the switch from FileMaker 6 to FileMaker 8. In my 6 database, I was able to display a found set as a table in a web browser and then when you clicked on one of the records, it would change to Form View. Now, in version 8, it no longer wants to do that. Is it still possible? How is it done? Displaying in List View is not much help, as version 8 only displays five records at a time. Anyone know a way around that? Thanks!

    I have a row of buttons used in multiple layouts, and I have put individual tool tips on each of them. Trouble is, I have labelled the buttons with a repeating field of names. The tool tips only appear if the cursor is over the edges of the buttons, not in the centre where the repeating field and names lie. Not the easiest for users! Has anyone found a way around this without sacrificing the editing flexibility of naming with a repeating field?

I would like to create a layout that has the found set of a requested date listed and then right next to it show the following dates events listed. Using portals and a self-related table, I can't get this to work. And I haven't had any luck finding a previous post related to this topic. I'm quite sure that it's a result of one of the many gaps in my filemaker knowledge and I won't go into detail because I'm certain someone will recognise the symptom... Basically, I when I fill out a field in a portal row it seems to fill out for *all* records, depending on which table occurence the field is directed to.     I have a portal which shows transactions, in descending date value. I would like the users to be able to add records using the portal. The issue is that the fields where you may add a record appear at the end of what can be a long list. The other 3 fields are called ps1, ps2, and ps3 and they are all radio buttons with the following values: 1, 2, 3, -89, and -99 QUESTION: Where do i code and how do code so that if record status is checked Not Applicable then ps1, ps2, and ps3 will have the -99 radio button checked for all 3 fields?
