I am working with users on both Macs and Windows XP machines and I'm trying to make it easier for them to login to remote databases that require authentication from another server. Right now, when the dialog box pops up for authentication, it autofills the account name either from the windows registry or on a mac, through the FM preferences. I found where to change the automatically filled information on the mac, but I haven't been able to locate where to change it in the registry for windows. Does anyone know the path to the key for this? I don't need to change it with a script for multiple users as most machines are single user machines. Thanks.

I was wondering if it is possible to have a blank username field when the log on window pops up? It currently displays the name that is set in the Preferences. (I think that's where it comes from.) The usernames that are set up for our staff uses things like 'sgaadmin' and 'sgauser' and it's an inconvenience for each person to have to delete their name each time they want to log into a database.

Okay so I would like to have my clients be able to access just their jobs via the web portal. Is there a way to set access by say either a entered number or by a contact name? Also looking to do the same with like a time card so that employee 1 can not see employee 2. Any Ideas?

Okay i am going to start a new one just for time cards. What i have is this I have an auto field that is created by the user account. I have tried this in my limited view: Exact (Account Name; Employee ID ) However it does not block all. I have a find scripted to take the employee to their records but they could find again to see others and I dont want that. Ideas?

Hi all, Is it possible to restrict a user from making changes on a record(all fields) being viewed by another user? So that only the user who first open the record will be able to make changes. Thanks in advance for any clue. Garry

Does anyone have an example of how to build a session table that "locks" the current user to a specific session record? I currently have a users table related to a sessions table that is home to external id fields used to relate a sessions record to all of my other tables. My "Main Menu" sits on the sessions table and it is where I have built all of my navigational controls. My problem is that no matter who logs in, the insert current user step will only insert the same user. I have a critical problem and looking for help. I went to load in a database I use almost everyday (project management) and today it asks me for a password. I have never set a password, at least not consciously. Thinking perhaps that I might have been sleep working, I tried every password I have ever used. I opened other databases and they use "Admin" and blank. I tried that. No worky. I tried logging on as a guest. Even tried "Please Open!" I'm assuming the file got corrupted somehow, which is possible I guess. So I tried to recover the data. It crashes FM but leaves a "recovered" file. That one says its damaged and can't be opened, use recover, etc…

Hi, probably something simple but it's driving me nuts. I have converted a series of databases from FM5 to FM8 and in 5 when you prompted the main password box you had just the password. FM8 wants a username as well but I cant find it, Am I being stupid ? Cheers AlfieC

I can't seem to find anyone else having this problem, so there may be an easy answer. ( I hope!) I manage a large system with approx 100 users, and they all have separate login accounts, but they may use the same machines to access the databases. I have a 'opener' file on each machine to open the ,main database' on our server which the the user can then move between other 'satelite databases'. The problem is though, that I have recently discovered that although a 'log out' script closes all the remote server files and reopens the 'opener' file on each local machine. I converted some FileMaker 6 files into FileMaker 8 files. Made a few entries and all was well. Then I closed the files. I later opened the files only to be greeted by a dialog box asking for the Account name and password. This was not a password protected file. It never had an account name or password attached to it. The dialog box appears with my user name from the computer operating system. What is going on here?

I'm making a database that have some records, and I want to use existing accounts to do this: When I or other user log into File Maker with his account, he can view and write some data, but those records will be visible only for him!!! Hi, I am trying to limit the fields that a user can use and I don't know what I am doing wrong. In privileges under records I have clicked limited and in the calc box titled "Records can be edited when" I have entered Get(ActiveFieldName)= Comments I have made sure that editing is allowed on the layouts but it doesn't work. I have tried using a if statement if(get(ActiveFieldName) = Comments;1;0) but that doesn't work either. What am I doing wrong? Please Help Thanks

One of my users cannot modify, add, or delete records. They have full access as their privilege set. I saved a copy of it on our server. I am able to modify, add or delete records with her user name and password. She does have FileMaker 8 Advanced like I do, but she is using a Mac and I'm using a PC. I'd like to let a few semi-trusted users experiment with creating mail merges. To do this, I need to give them 1. Ability to edit a single layout. 2. Ability to read the relevant merge fields. 3. Ability to define / change fields & calculations. #1 and #2 are easy. #3 I'm having trouble with. Is there a way to let a user define fields in a single table, without giving them any other permissions that are dangerous?

I am on the trial version of FM8 and have transferred by DBs without problems. Yesterday I was host while another was client. We closed out at the end of the day. This morning I get the following error (no error number) when opening the database. I do not get error when related files open. 906 total error(s) occurred during this operation. 906 record(s) could not be modified because they were in use by other users or your priviledges do not allow you to change them. Maybe I'm just not seeing it, but it doesn't look like there's a script step or function that returns a list of all accounts in a database, regardless of whether or not they're currently logged in. I was hoping for something akin to LayoutNames(fileName) -- like AccountNames(filename), or maybe a Get function.

I have set up multiple accounts (different account names with different passwords) with the same privilege sets. The first account I set up with this particular privilege set is able to access the database. Each consecutive account with the same privilege set has been able to access the database, but receives the error message "No Access" once it has opened. I have set up other accounts and these work fine. Is this normal or do I need to go about setting up new privilege sets? Thanks for any help... Krista

Hi guys, I've got a runtime solution I'll be sending out to all the offices. The runtime solution allows the manager to manage accounts (i understand runtime is a single user system) My question is - Is there a way to produce a list of accounts and privilege sets so the manager can view who's on there, who's not etc. I know of get(useraccount) or get(privilegesetname) but I want to present ALL accounts/privilege sets on their runtime app. The work around I've thought of is as part of the script step to add /delete accounts etc, create/delete a record in a separate table and use that as a quasi account list? Hi... I got a problem.. When I put my file on IWP, in the past it will prompt me to log in. But now it don't. After some try out then i reliase it auto signed in as guest. This may not be the proper forum for this question, but here goes...I have an old customer who is still using FileMaker Pro 4. I haven't done any work for them in several years and they have recently asked for some new features. The problem is that something has happened to the passwords in one of the files. I have only ever used two passwords as full access passwords and neither of them work. There is an app on the internet for retrieving passwords from .fp3 through .fp5 files. I downloaded the trial version and ran it on this file. It actually comes back saying there are no passwords stored with the file...odd since when you open the file it asks for a passwo…

Hi all, I have an .fp7 file I want to share with another FMP user but before I send the file to them I'd like to disable certain views, such as the "Layout View," How would I go about doing that without triggering the need for a password for the other user? I just upgraded to Developer 8 Advanced and have the runtime engines available to me but I'm thinking there is an easier way to disable that layout view, but I'll be darned if I can figure it out. Hello, Can anyone tell me how to allow a record to be created and after it is created to modify it only. I am trying to create a school grading program. I have a student table then my classes, and teacher table. When a student is selected and a grade is entered in say language arts first quarter a teacher can then go back into a the database and enter a grade(record) for the same student and class. thus creating two grades for the same student and class. so I would like this just to be modified after the grade is created. My only other alternative is to create a flat database which I really do not want to do. Maybe my design is way off any help would be appreciated.…

We've just upgraded to pro 8, and some of my users have started asking that their filemaker password be stored so they don't have to input it every time the start up. This is for Windows XP btw. I've had a look around but can't see where this is set. Any ideas?

On two separate occasions I have tried to log in using the full access account name and password that I created and it has mysteriously gone back to the generic "Admin" that is automatically created for the file. When I created my full access information I highlighted the existing generic "Admin" account and clicked Edit... From there I changed it to Admin_Developer and created my password. Twice now in the same file I have tried to log in using my information and a box comes up saying that my username/password can not be used to access this file. I'm trying to enable users to view fields according to their values. Hi all, I am not too sure if this is even possible. I dont think so but thats why I am throwing it out here... A client wants to see if there is a way to find out if someone is logging in with a password with full access privleges. In other words, an employee is logging in with a user name ( not necessarily her user name, so it adds to the problem ) and a password with access privleges to modify certain fields. These fields should not be able to be modified unless you have the password. So, the client has asked if there was a method or plugin that would alert them if users have logged in with that password. Any thoughts? TIA. This is on FM6 btw.

I have set up a Orders Tracking database which enables vendors to create an modify records on both files (Orders, Items)until a field (Invoice Nr)is filled up, thus locking that particular record and the Items in the portal. Vendors are still able to create new records and modify those that have an empty field "Invoice Nr". So far so good, if not for the fact that they can create new records in the portal. Is there something like a Portal Property that lets you create new records conditionally ?

Forgive me if this is a FAQ. I've found some discussion on this topic, but if there's a solution, it eluded my searching. We've got a FM7 Server solution set up with 65 separate files. When we add a new user, I've got to manually add this user to all of them. Isn't there an account manager function for FM7 Server somewhere? Hey I'm a total beginner at filemaker so don't be too harsh. : I'm trying to figure out how to make it so only certain fields can be modified by a given account. Such as "User1" can only modify field1, field2, and field3 but none of the other dozen or so fields. First off, I'd like to thank everyone for helping with Part I of my adventure into FMP7. I have successfully "cracked" the db and managed to discover the admin account and reset the password. All is good, except for one little issue, described below. a) the db is made up of 5 "sections" each of which is a db file. I'll call them db1, db2, db3, db4, and dbMaster. dbMaster is the big daddy with the majority of the fields and important info. c) inside db1-4 I found the admin account and reset the password. I want to limit record access in a table for current / archived records. I created a global and one (indexed calculation) I'll call STATUS that traps whether the record should be current or archived. Then in record access, I limit viewing to global=STATUS. Works fine, limits the records correctly. However, it is slow when processing finds (real slow). I can process the same find with full access and it is lightening quick. I am processing finds on indexed fields too. Argghh. I really want to keep current and archived records in the same table and limit record access but the more records I accumulate, the slower it is going to get. Any suggestion…

Hey all, I have a solution that adds a username and a password to our DB whenever a company is added to our contacts table(whoever add the contact clicks a button). Well, when we converted from FM 6 to FM 7, and added all those accounts, some did not get added. Also, after conversion it took us a bit to realize that the script had not always been adding new users since conversion(or people have not been clicking the button). I understand the comments, however we were all going off what Filemaker stated in the the Filemaker Pro 7 users manual stating that someone has to open the file then other people remote into it. The problem is we are spread out in different offices and it's sometimes impossible to know if someone is in the file or not (hosting it) without going to open remote. I produced a database (read only) with guest access. However when distributed and installed on the end users screen it asks for their username...this is not needed (it shows in kiosk mode). Is there a way to eliminate this prompt for a username?

Hi everyone, We have about 5 people remote into our main database daily. One person becomes the host each day (it is not set who, just whomever opens it first). My question is there a way to allow any user to click on the file itself and if someone is the host it will automatically do the open remote behind the scenes and show the logon dialog? I hate for my users to always see the dialog box telling them the file is open and to use open remote. I'm not even sure if this is possible but thanks in advance for any ideas!

Users want to edit records in a read only table. I've toyed with the idea of creating a copy of the record in a different table that they can then edit, pass it back to me for correctness and submission back into the original table, but not sure how. Really not sure if this is the best solution. Has anyone solved this issue in a different manner?

When the user clicks on one of six DB files (same application) presented from the "Open Remote" window I don't want the file to open. These same files must also be available to web site users (XSLT) that need "Data Entry Only" privileges. I have set up users with limited access (ie. cannot delete records or modify layouts). These users are not able to copy and paste or right click. Any ideas how I can allow the users to do this? I have a training database that lists individual classes (fields) as a checkbox. When the student completes all of the training courses designated and all of the checkboxes have been checked, they are "Qualified" and a calculation field is set as "Qualified". I've been trying to change the calculation field to work with a Value List instead of individual fields, but have not been successful. Is there a way to make custom priviledge sets for related tables? I'm converting a large solution with over 50 files to FM7. I know you can use FMRobot to import tables but it would be much easier if I could just create all the layouts in one file and define the priviledge sets there.

I have accounts and pws created in a file. Another file has a script to go to the former file using "open file" script. If I use this script, there was no prompt to authenticate username, pw. BUT, if I use the "File" > "Open Recent.." method to open the file, then I get the prompt to authenticate username and pw. Maybe I should add something to the Open File script?

Hi, I am going into unchartered waters. I am unfamiliar with more complex access privileges. In the past I have set up accounts with FM6, and accounts with even more limited access with FM7 in my solutions, but I am not sure how to limit it and still give an IT admin to change the privileges. What they want to do is have one database where a small number of people have full access to viewing all the records and the Authors or Principal Investigators entering in their Manuscript/Abstract Info would only have access to their own record entries. I've worked with forexample MS Sql Server where you can set read and commit locking. The problem is that i have a multi-user solution and it turns out that two user can infact change the same value in a record. Which can lead to falty data if the change it at the same time. I have however noticed that FM locks a field sometimes but have not been able to figure out when that is. Have a rather simple database consisting maybe 40 fields, but these fields are on 5 to 6 layouts. Is it possible to lock each record, only after going through all the layouts, inserting data in all or most fields? I suppose I am looking for a lock on/lock off solution, but when the record has been locked, the person doing the data input (who would be able to lock the record) would not have access to the locked record.

Basically I have two privilege sets (apart from moi (admin)- [color:red]CurrentUser and [color:red]accounts. In this instance, only accounts can run the script "process accounts". I have 2 runtime solutions. One runs in the background and is started with a 'send event' from the other. All files in both solutions have the same user names, log in name, privileges, and privilege sets. The log in name is NOT a full access account. The run times were created in the same account. Everything runs as desired in this account. When run in another account, the background solution runs as expected when started by clicking the application icon in the Finder. i am going to have two UI's for users at my firm, I would prefer to have one "file" that they log-into and from their account name and pw, they are directed towards the correct file. Can this be done easily? I want this, becase I don't want some users knowing that there is other files out there that they can't access. Like the accounting department logs into their file and assistants log into another file. I have learned that is the worst thing, to let others know they can't access certain data.

I converted my windows FM 4.0 database file into a FM 7.0 file. Now I cannot access the file because the password is incorrect. Upon opening the file, I get a dialog box with my name and an empty password box. I have read a previous post with this type of issue and the response revealed enter "Admin" which is the default password. I had just finished importing and then entering some more records in a newly setup flat file in FMP7 on MacOS X 10.4.2; then I proceeded to specify a password and closed the file. heres my table set up. i have an inventory table and costing table related by a serial number. in the inventory we have material that can be owned by a number of companies. I need to be able to restrict viewing of costing information based on an owner code AND a users privalge set. to further explain if you are a user from set A you must be able to see all costing info. however if you are in set B you must be able to see all costing info UNLESS it is owned by company X. any ideas?

I have a 5 file application. All files have been set up with exactly the same account names/privileges. One account name requires no password (general users) and has a defined privilege set. General users can create a copy of the data base and restore from the copy via scripts. Whenever a restore is done, one of the copy files (the last in the chain) insists on requiring a password before allowing the restore to complete. We are using FM Server 5.5 and are trying to set up remote access to our server for 8 different users (offices), each with limited access. We want all offices to see all records, but edit only records from their office. Easy enough, right? We set up a separate password for each office where the access to edit records is limited by the value in the 'Office' field (which contains the name of each of our 8 users). This setup seems to work--I can login with a user password, browse all records and edit only those records that belong to that user. It works for me locally, and remotely from my home computer. FileMaker Pro 7 - Client has been set up to access and edit only certain assigned accounts. When the client opens the DB, all records load including the ones with 'no access'. How do you have records with no access keep from loading? Is there a special script needed? Also, the client can not use 'Find" - it is deactivated, can't locate this in accounts & privileges settings. Thanks for any help.

Has anyone figured out a way to build a 30-day trial period into a FM Pro database such that it will 1. advise the user of the remaining time, 2. disable access after the trial period is up, 3. enable access after a registration code is entered? The hard part, as I see it, is to disable access to the file but not kill it forever, so when the user registers he/she can access the data from the trial period.

I am creating an FMP7 solution that uses FileMakers accounts for all login and database access. I am able to trap who creates or modifies a record by using the auto-enter account method. What I am trying to do is audit at the field level. Any ideas or help would be appreciated.

Hi, I don't know if this belongs in this forum or not. I have a privilege set that is mostly read only. I do have a navigational field that is a checkbox, which determines which records will be viewed in a portal, therefore must be accessible. My question is: I have created a document made up of 9 layouts with records to be added to each layout by the user. Now the users are different and I want them to have individual access, with others not seeing what they are entering in each layout. Is this possible to do with one document, or do I have to duplicate it and give each user their own? Thanks

I have set up a launcher file to open 8 other files. The files reside on the Administrator's Mac. Access is by FTP/IP. All the files except the launcher are set to open Multi-user, Hidden. When the Administrator opens the files, the only one that shows on the FTP file list (visible by everyone that has access to that domain) is the launcher. Good so far. But when another person opens the launcher from a different machine, suddenly all the files become visible on the domain list. Can anyone shed some light on this please? I'd rather not have 30 file names show up in the domain list. Thanks. Kirsten

These a basic questions as I'm used to simple FM 5 password management. I plan on having 4 types of privilege sets, as there are several of each of 4 types of employees and each type of employee has his or her privilege set. Account name: This is automatically filled in with the "terminal" name. Is it to function like a log in name connected to the user or to employee type? My suspicion is that it should function as a log in name, distinct for each employee, even though some may share privilege sets. I created a solution on one computer then moved it to another. File options and import are greyed out, I can open define database but cannot modidy file and I cannot add, change or delete records. In other words I have only read only access. I change my login name to admin (same as is on the orginal computer), still no access I went back to the original computer and added my name as a user, gave myself full privilages, moved the file to the new computer, logged in with my name and still no access. what am i missing here. I have a relational database for a magazine that I need input from one databse into the main database that I moinitor. I am working with time and date fields. The "Edit Log" (the main log) and the "Cover Log" (secondary log) The Cover log is set up with a portal so that information can be input and viewed by the Edit log. I have what I think is a simple question. We have a Filemaker 3.0v1 database that is password protected. We'd like non-p/w users to be able to print out the records, but not alter them. It seems like now it's all or nothing: With the p/w, you can change anything in the database; without the p/w, you can view the records but do little else. Isn't there some in-between? Can I change the p/w settings so that printing is possible for everybody, p/w or not? Thx - Any help would be greatly appreciated.

I am considering incorporating a User Sessions table. I have searched for 'User Sessions' but can't find examples of it. I have a Global table which is one record with 45 'search' global fields and several system globals and I have a Preferences table which tracks User movement (again using globals). I placed a password and key for one database but not another, and the second database (upon opening) asks for an account name and password, which I had never set up. Is there any way of troubleshooting this so that I can get into the database? I just spent two weeks entering data without without the system ever requiring a password and suddenly it is asking for it. What can I do?

I work in an enterprise, multi-domain environment: A root domain and three child domains. I've gotten external authentication to work for any users in the root domain. However, any users residing in child domains aren't authenticated. This is a HUGE deal. FM support said they "designed it that way." Um, why? When trying to import records into a file with Shared access on another PC, the import works when using the master password but does not with another password (this particular password has all permissions in this file except Print Records and the Design/Security options and no fields/layouts have been restricted and has no restriction to fields in the file containing the records to be imported) and when attempting to import using an import script I get the following message "Your password does not enable you to do this, or your file is not modifiable". I have a DB with a "Main Menu" from this I have it setup so that other DB files are launched when a user selects a menu button. My question is this...is there a way to define how the "other" database files open (ie..privileges) based on what password the user used to open the main file...I want to have an administrative user who can edit and change files...and have those same privileges in the other DB files and clients who can only edit....

Are there ways to prevent users from copying a free standing db file and giving it to an unauthorized user. I assume I can lock down all of the fields and setup the file w/ company ABC's name, etc in the layout, but it seems it would still be able to be used by anyone. Using FM6, but open to upgrading and FM7 solutions. Thanks.

Besides having a field called "locked" and scripting, is there any other way to lock certain records in a table? I have an extremely complex database now and the thought of going back and changing scripts, creating locked/unlocked layouts, etc isn't very appealing.

I am trying to authenticate to a Filemaker DB both over the internet and locally over a LAN. I have tried to authenticate from both Windows 2000 and OS X. I have also tried to administer the DB remotely with FM Server on Windows 2000 and OS X. This DB is my clients DB and we have been asked to do some updates to the system. From HIS OS X system we can login, but using the same login information from any other machine produces the generic "The account and password you entered cannot be used to access this file. Please try again." Help!!!

I seem to have a constant problem where my sales people are trying to do a apple f for find and hit the d for duplicate. I am constantly removing the dups with a script I found here. They have to add records for notes and such, but can I disable the duplicate function? Thanks

I am trying to set up some record level security by creating a privledge set but I'm having problems. I am trying to limit the records users in this priveldge set can see by creating a caculation that says they are limited to viewing only those records where the Category (a field name) is equal to the text "reorder". My calculation looks like: Category = "reorder" I have not limited any layouts or fields. When I try to sign in using a user name in this privledge set all my fields say "no access" although I have noticed that it is showing 1707 of 6326 records, which corresponds to the number of "reorder" records I have in the database.
