I'm building a DB to manage distribution of my clients product into a network of retail agents. To do this I've created two files. File one contains my six clients. File two contains the details for the retail network of 5,000 agents. I've created a relationship between the two by adding a "key" field on both files which auto adds the letter "A" to the field for all clients and agents. This allows me to create a portal on each agent (file two) record which displays a list of the clients from file one. While all the retail agents are used by all clients they categorise them independantly (A, B, C, etc.) based on sales performance. My problem is this. Is there a way to…

Is this procedure correct? In order to view a manuscript, which contains 12 pages, in the same FM record, I've linked 12 images (GIF files) in a HTML file. Than, I've inserted this HTML file in a content FM field of the same record. Eache image is printable in F4 format. N.B.I don't wont to use PDF file.

Hi there, I've finially figured out that I need a portal to do what I need to do, which is the following: I want to create a notes section for each client in the database, the notes bit would have 3 columns, one would record the user who entered the note, the other the current date of the note, and the final one would have the note itself. Hey all, I need to create a value list to allow users in an invoicing database to select which show (from a shows file) the invoice is coming from. I created a value list based on all the existing shows, but I want to make sure that this value list doesn't grow indefinitely. (I don't want users to have 300 options to choose from in a few years). I would be glad to either limit the number of entries to, say, 10 shows, or to only show shows that occurred withing the past 6 months. The only ways that I can imagine doing this are rather complex, I was wondering if anyone had any simpler suggestions. Thanks. -wald

okay, i'm pretty good with FMP's so-called conditional value lists, but we all know they are actually relational value lists. here's my problem, see if you can figure an easy solution. i've tried both the built-in relational approach and also scripting, but so far no luck and i've hit my "if i can't figure it out in a half-hour" ask someone time! 2 files: Equipment.fp5 and Testresults.fp5. Greets, I'm creating an Interim program for the teachers at my school. I've got a list of behavior in a value list, then the teachers can check off the appropriate behavior selection. The Interim printout allows for three behaviors to be checked off (if more than three are checked, it prints it outside the field on the printout and looks odd). If there a way I can validate that only 1, 2, or 3 checkboxes are marked? -Doug

I would like to know the best way to use Acrobat for .pdf form files in conjuction with my FileMaker Solution. I wish to have various forms print from FileMaker, whereby the data in FMP is passed to an Acrobat pdf form. Is it necessary to export from fmp to the pdf file, or is there some way of placing a .pdf document right onto the layout. What about the data... sharing it between the two?? I've been running Filemaker over ADSL with server and client at different sites, and whilst it works OK I do get 'Synchronous lock error 10001' messages appearing on the server periodically. Does anyone know what this means or how to avoid it? Many thanks Rufus

I have been a longtime, but only an occasional, user of FileMaker who has been asked to look into the development of two applications. As a result I have been immersed in the design and prototyping process for the last three weeks. I am stumped at finding a particular interface solution that I hope someone can help me with. Howdy all - I'm in what I hope is the final stage of a database for a small foundation. The database keeps track of donors and donations/purchases (they also have some merchandise). So now I have the task of setting up the invoices part of the database. Currently the donations entry process is scripted to an "Entry" db that only allows these users to see so much and helps to avoid duplicate entries by first finding existing donors, etc. I'd like to keep the rest of the process (entering the donations, etc.) within the same "Entry" database if possible, with the actual databases just being related to it. Hi people I have this invoice type layout where I have a portal in it. The portal has more records in it than it can handle so it uses the scrollbar. The question is - I want to print out the invoice layout. Is their a way to tell the portal to expand so it displays all related records while pushing eveything underneath it down? Please help. OK, I have a growing value list that derives from the current entries in a field. The problem...is that the list has grown so large that the pop-up menu is larger than the available area on the monitor. I know I need some sort of heirarchical pop-up menu - preferable which has "a-f" ; "g-n" etc so that users can quickly get to the entry they need. Okay, I've been steadily reading and reading, but I'm stuck a bit on this one. I have a value list that I am using across a number of fields. They are logically interconnected such that once a particular value had been chosen in one field I want it to disappear from the value list in the next field. Two databases. TASKS & DATES. Tasks uses a portal showing multiple days that the selected task is occuring on. Dates uses a portal showing multiple tasks that occur on that date. A Many to Many, right? Or is there a way to do this without a joining table? The problem is this. I need to create all the tasks in tasks. Then I need to create all the dates in dates. Then in Tasks, I must be able to have a popup in the dates portal to assign any number of dates to the task. I have 2 fields in my database. One is a number and the other a description. A list of the numbers and descritions exist in another realted file. I want the user to choose the value they want for either field as a value list. My problem is that I need the flexibility that if a user wants to enter the number, the description will automatically be looked-up and entered OR if they want to look at a list of descriptions they can click on that field and when they select the one they want, the number will be looked-up and entered into the number field. Okay, I'm pretty new at this, so this probably isn't terribly difficult I just can't get it to work. I have three files -- a main file containing records of sources for news stories, a second file containing a list of states, and a third file containing a list of "areas of expertise." The states and areas of expertise files are simply lists of the obvious with reference ID #s assigned to them (Alababma is 1, Alaska is 2, etc.). The state file also has postal abbreviations. I have two protals Portal 1 and portal 2 linked to a file. In portal 1 I have the values a, b, c, d and in portal 2 I have the values 1, 2, 3, 4 I need to combine these portals in another file so that I will have a 1, b 1, c 1, d 1, a 2, b 2, c 2, d 2,..... I'm going nuts! I saw once in a Mac magazine that you can use external value lists in FM3. It mentioned that the reason all my value lists are named "x" is because there are more than allowed (100 is the max, I think). I can't find any info on it anymore and I have long since thrown out the magazine (by accident, I assure you - that was a valuable article to me). I've even tried searching the TIL at FileMaker.com. If someone knows how to do this, please let me know. Thanks.

In a nutshell I'm trying to create two portals in my solution, past tasks and future tasks. I have two DBs; Tasks and Customers which works fine but I'm having problems with the multikey filtering... I downloaded SmartRanges from www.fmfiles.com and it's a great technique file but I just can't get it to work in my solution. Hi all, I have a very tricky question and I do need some help with it. I have a database system that I'm doing for a company (using FMP 4.x). One of the databases in the system is a transaction database where they record their sales. It contains standard information: Invoice number, date, product, quantity, price, etc. They generate a lot of reports from this particular database. I've seen a template where a custom pattern had been applied to the body of a layout. When I click on the 'body' tab while in layout mode, the custom pattern is shown in the status area's fill color/pattern display. (I hope this is the right place for this question!) We're having a problem where some of our computers a shutting out other windows in Filemaker. Example: they'll be in a certain database, will get into another one, but then can't get out of it or go to another database(can't go under the Window pull down menu...you CAN minimize it, but still can't get out of it without quitting and starting again). There are no scripts, preferences, or anything set up in any of the databases that might effect window size, etc, and this only happens on a few computers (they are on a PC, as am I, but it works fine for me). Just thought I'd ask in case anyone can think of anything obvious…

I found a method for doing just this at layoutmode.com. In FileMaker you make a transparent graphic the same size and shape of your button. Center this over your old button and assign the button function to the new graphic. Now only the shape of the transparent graphic is highlighted on button click. There's probably an obvious way to do this... but I haven't found it, so I'll ask you guys. The retreat centre I work for has an existing Bookings database. I've created a new file that allows them to print off an invoice/receipt for each person that has retreated here or purchased something. The section that we keep has a number of fields to be filled in on how much people spent on our services and products. I'm creating an invoicing DB and have our and clients basic info in the title header and the actual bank transfer template in the title footer. The body only has a portal to "line items". I've set the portal to slide/reduce which works okay. The portal is 50 rows so that all the possible products fit to the invoice. I've set it up so that if all the portal rows don't fit in the body it continues on another page (in preview mode) this works fine if I only have one record in the whole DB. I have an interfacing challenge. I would like to produce a layout (or series of layouts) that give the ability to expand several portals to fit their contents. e.g. Where a list of orders for a particular job contains four orders, when you click on the header (button) the header expands to show the four orders. In other words I need to be able to take the number of records for the portal and use it to adjust the size of the portal. Anyone out there with any ideas?

I am designing a layout in centimeters, and have the gridlines showing to assist placing my lines & boxes. The trouble is that the field will "snap" to the gridlines, which causes some of my objects to not line up exactly how I need them to. Is there a way to turn off the "snap" and just float the fields to where I need them?

If you see the first field repeated in a portal it is a sign that there is a mismatch between the portal relationship and the field relationship. Since you copied the portal from a previous layout, check the field definitions to make sure they use the same relationship as the portal. One other thing: sort order of portals is set in the relationship definition options. You can't have two portals with the same relatinship sort two ways. I suggest you duplicate your original relationship, set its sort according to your second user, and use that relationship for your second user's layout, portal and fields.

In my clients database i have a portal to a Notes database. When I open the Contacts database on my Mac, I see in the Window menu the Notes database in parentheses as hidden. This is fine, but in a Windows environment, the database shows up, although minimized. Is this normal behavior? I prefer my user not see this Notes database, or have access to it at all except through the portal.

I have a list of projects which are displayed via a portal. The portal displays only the entries speficied by a Global field which contains the project managers name. Once a project is completed I require to hide the entry from the portal. Otherwise my users have to go through an ever growing list. I have setup a script which changes the field "assignedto" which is the user name to become "Completed" thus making it disappear from the protal. However when I script this step It seems as if the script will only work if the record I wish to change is the top most record in the portal. Assitance requried please.

I have a layout that contains many enough fields that I have to scroll down to the bottom of the screen to fill in data for the last field. Let’s call this field as “aLast” And the problem is that after I select and fill the data (from drop down list) to the aLast, the cursor jumps to another field that has the smallest tab # and located at the top of screen. I have to scroll down again to look at the data I just filled in for aLast. How do I make that the cursor should stay still in the bottom WITHOUT change the order of tab number? Hi All, I know that most likely someone already asked this question, but...You know you can create a value list to display values from a field in another file. When you set this up you specify the primary value to display, and you can select another field to display as well. Well sometimes this can mean a lot of data. Now when the user clicks on the field and the value list drops down, sometimes it is not wide enough to show all the data. Is there a way to widen the value list? Thanks in advance.

Hi, I'm pretty new to FileMaker, so I hope I can explain my problem. In my database I have portals that contain up to 3 rows. Each row has a "status" field. I'd like to get a summary of one particular value in the field depending weather it is in the first, second or third row. In other words, if the "status" field of the 1st row says "done" and 2nd and 3d rows say something else, I want that to reflect in a separate "master status" field as "done". Same if "done" is in 2nd or in 3d row. Does anyone have an idea if it could be done? k

Every time I copy paste something out of one layout to another, Filemaker (Mac 5.0) always positions it about 20pixels to the upper/lower left, or right from it's original position. Is there a way to avoid this because I have tons of layouts and I'm waisting valuable time trying to align all the objects to match the other layers so that the transition from one layer to another would be seamless. Object grid also seems to vary from one layer to another. This might be a stupid question but I can't think of one logical reason why this would be considered a feature rather than a minor bug. ok.. i have a portal, and one of the fields that is displayed is a calculation field. One of the fields it is calculated from is on the layout with the portal. Now if i change the field i have to click on the portal rows, or change layouts and then go back, or change to another mode and then back again, to get the calculation to update, or atleast display that it is updated. Its probably updating, its just not showing up in the portal. Unfortunatly using a script is out of the question (unless i were to use a plugin to activate the script when the user leaves a certain field, and I dont want to install a plugin on every machine that will be using the database). I'm a newbie so be kind! I recently found a solution to a problem which works though it''s awkward. I was interested if anyone had a more elegant solution. Table A contains a huge list of widgets. One of the fields in this table is the "date" when the widget was made. Table B has a pull-down field where the user has to select one of the widgets from Table A. At first, I defined a simple value list to show the primary key of each entry in Table A, and assigned this to the pull-down field. I was very excited to be able to save in PDF off my CAD program then directly place in FileMaker, which I use to print a plan book. However, Filemaker prints it as screen resolution....so I am back to opening the PDF in Canvas in order to save as a TIF, then place in FileMaker. This way prints fine, but requires extra steps and makes the PDF import worthless for me. Is there any way tp get FileMaker to use the PDF for printing and not print from the screen version?

hello. I am new to this board, and not incredibly skilled with FMP--yet. I just got stuck, and I am looking for help: I am creating a layout to display bookings for my computer lab. I would like the bookings to be displayed such that each day is in a seperate column (1 week visible), with times in rows. I have a single DB for student records. When you bring up a specific student there is a portal that shows who that students siblings are. To accomplish this I created a field called ID1 which is defined as: Student Last Name & Right(Primary Home Phone,4) so that any students that share a common last name and the last 4 digits of their phone number are considered siblings. Then I created a self relationship where ID1:ID1 and I place this in a portal. It brings up the siblings but it also lists the current record. So that the current student shows up as his/her own sibling. Is there a way to elimanate the current record from the list?

The sample I am looking for is a regular invoice db, with a portal of multi items, found on a relational db with multi records. of cource it will not print correctly, so I am looking for a script that will copy the informaion of the portal and paste it in to another layout for printing. I have two Databases: AnnualReturn and Director AnnualReturn has the fields: ClientNumber, AGMDate Director has the fields: ClientNumber, ElectionDate and ResignationDate In the Annual Return Database, I need to generate a report which reflects only those directors from the Director Database serving at the AGMDate. hello, i hope this topic hasn't been covered yet, but i can't find a solution for my problem: i am a student and I have made a database. for a lot of text fields I use value lists like this: big (>10) normal (5-10) small (<5) when i try to find al the records with "small (<5)" there aren't any records found, while there are a lot of record like that. is there a problem with the "< "symbol in the values? the strange thing is that the values with ">" do return results. i don't understand what the problem could be, can anyone help me? thank you very much!

I have set up two files, "Items" and "Invoices". My Items file has a list of all the items we sell by category. I have a conditional value list set up in my Invoices file so that after I select a category from a pop-up menu only the items in that category show up for the next field's pop-up window. This works fine for the first row. In the invoices file I have the category, item, qty., unit price, and ext. amount fields set up as repeating fields (8 rows). Within our POrtal we have many items shown, when you click on the portal row the corresponding relted information is shown to the right. This works fine, However the issue we have is that if we click on a portal row which is way down the list, the list refreshes itself and you lose sight of the record. Can you lock, or hold a portal row, instead of having to scroll back down the list? or better yet get this item to be put at the top. We did have a sort option on the portal but this has been removed. Hope this makes sense. cheers

I Have a Tool Maintenance database, that I have constructed from two files. (Header & Detail). Is there any way I can view a filtered list of the detail file (Sames as Excel) when I bring up a tool number (ie Header Info). I have created a merge letter. . . with in this letter we need to have the guys signature at the bottom of the letter. . . we do not want to lock ourselves into a strict template by pre-placing the signature. . . One of my clients insists on having the portal display the related records horizonally across the screen. Since i know that the users will not look at more than 31 related records at once (one for each day of the month), i could get around the problem by defining 31 relationships based on calculated keys. However, this would seem to be an ungraceful solution to the problem, as the portal naturally displays the correct related records with only one relationship. Suggestions anyone? ~Ati, jedi master

In a parts sales operation, I have an Invoices database with repeating fields for Item No, Description, Quantity ordered, and Price arranged straight across as line items. Customers typically order numerous line items per invoice. In a related inventory control database, containing a tracking record for each part, I want to view in a portal only Invoice line items (especially quantities) matching a given Item no. Forgive me...I'm new to Filemaker. I'm very used to Access, so I'm finding that this change to Filemaker is strange at times. In a nutshell, I have five files (or tables?). I am currently setting up a StudentTeacherClasses database using FP.5. Working with 5 files: StudentTeacherClassesRegistrationCourses. In Student layout I have a Portal from Registration which shows the Class ID & Teacher Name. I want to show Course ID & Course Name also, but I am not able to figure out why I can't. I work for a Performing & Visual Arts School for the Disabled. Some cannot read so we use color dots & initials (RH,ST)instead of numbers on a name tag to indicate which classroom they are to go to (10 classes per week. How do I get a summary of records from one file to appear in another file? I am trying to track donation records for a non-profit organization. I have a Donor file which lists all of the personal info on the donors, and a Donations file which lists all of the individual donations that a donor makes. So, I may have 500 Donor files and 10,000 Donation files. In the Donor file I can call up a Donor Summary page and see all of the donations that a person made via a portal over to the Donations file. I have no idea if this can be done? I'll try and explain it. I want to develop a value list based on a relationship with another file. Upon making my selection from that list, I want that information to filter another value list from a separate file/relationship. ie. To create an invoice, i need to select a customer and then the project. After selecting the customer, I don't want it to show all the projects. I only want it to show the projects relating to that customer. I have to create multiple invoices (ie. milestone payments) relating to the project. Any help would be appreciated. Cheers.

There is a weird problem.. I have a portal, which I need to be located in the header part of my layout. Every portal line has a button with an attached script. These buttons are located inside the portal box. The problem is that these buttons don't work! When I click on a button, it doesn't activate. If I move the button outside the portal box, but leave it in the header part, it begins to work. Also, if I move the whole portal to the body part of layout, buttons start working too. So, the problem is clearly related to some "incompatibilities" between portals and the header part of layout.. I would appreciate any help on this issue!! Specifically - what is wrong …

When copying and pasting back and forth between photoshop 6 and FMP 5.0v3. FileMaker gets stuck, I mean you can still use it but you cannot switch to another program including the finder (OS 9.1). I can click the other windows (photoshop) but nothing comes forward. The only way to get things back is to quit FileMaker. I have had it happen on 2 seperate comptuers. Wonder if its a bug w/ FMP/OS or Photoshop.

I'm building an order form to use in our newspaper company to schedule newspaper ads. I've built two FMP files. The first (I'll call the "order form") contains the general (advertiser) information and production (size, color, etc.) information and the other contains the scheduled publications (we have 15+ newspapers) and dates. Each publication requires a new record. I use a portal to bring the scheduling information into the order form much as you would inventory into an order form. The value list for the supplier field is a conditional value list. The condition is based on a relationship to a catalogue-of-goods-db. So it shows only those suppliers who actually sell the certain product. It works perfectly. Each Sponser has many Banners and this is easy to show all the Banners for each Sponsor with a portal. Our Membership Forms were all created in QuarkXPress. Does anyone know an easy way to bring that Quark layout into Filemaker, to use as a template for FM to mirror the same form, substituting the fields where appropriate? Alrighty. Here's the situation: I have two databases. There is a relationship between the two databases between a calculation field "BLUE" in one database and a calculation field in the second. That part works fine. The problem: I have a portal in the second database. In this portal i have a field that is used in the calculation of "BLUE". Therefore, I cannot enter data and create a new record in the portal because the fact that this record is IN the portal is dependent on the field. Does that make sense? So when I enter the barcode/unique number for the item, all of its information comes with it. As a frequent Windows user, I always like to skip between fields with Tab (Next Field) and Shift Tab (Previous Field). It always worked in FMP 4, but FMP 5 doesn't recognize the Shift-key anymore.. it's always skipping to the next field, no matter what. Is the shortcut key changed? And if so, what is it now?
