I have a layout that I need to be able to display all of the records from another file. The second file has 100 records and will always onlly have a 100 records. I need to be able to have them in a column format (in browse mode) where column1 displays records 1-20, column2 21-40, ect.... . Is this possible? Thanks, Brian

I've created a new look for our IS database which has 3 portals looking into 3 related files: Hardware, Software, Work Orders. If a user uses the portal scroll bar it locks the portal and the other users get the "This record is currently being modified by ..." message. A way to prevent the portal locking is by limiting the access rights to read only but then the record can't be modified. Has anyone found a way around this?

Hello, I am trying to setup a value list so there can be rolling Dates.. so..let's say we open the database on Monday the 16th, the options on the value list would be 16th,17th, 18th...etc.. then the next day, Monday the 16th dropped off and another day would be added to the tail end 17th,18th,19th ect.. I have a HTML form to create a new record in DB1, with coding so a new portal record is also created. The relationship is based on an auto-entered serial number field - when the DB1 record is created, the serial number field is autoentered for both the new record and the new portal record. This was working fine. Then, I started looking into ways to verify that the portal record fields were completed on the HTML form. Due to Javascript problems (outlined in an earlier message, which no one has replied to :confused I decided to define the validation for the portal fields in DB2 as 'required' and let FMPro return and error message if the fields were not completed. How is Quicktime import useful? Ok, I guess it's useful to those who distribute standalone FMP apps, but I'm still frustrated. I want to embed a (very small) QT movie in one layout, and then host on FMServer. Unfortunately, it seems that embedding a Quicktime movie requires that the movie be present on the client machine! That doesn't do me much good. Is there really no way around this? :sigh:: Jack

I need to isolate two out of many contact portal records in the child file for each record in the main file. I have a calculation field for each of the two contacts in the related record which works well in the related record. When placing the calc fields on a layout in the main file I only get results if the match is from the first contact entered in the portal. When placing the calc fields in another portal in the main file I get the results if the match is from the first or second record entered in the portal, because I set up the portal to show two rows, I imagine. Is there a way to get the results no matter what order the portal records are entered?

I need to create a form that has for the most part constant text. But every now and then a custom adjustment is required for that special person's record. As I want this information all in one data base, it seemed that auto entry data made the most sense so that the constant information could always be there and I could add or delete information as needed, but I would have to reformat it everytime I created a new record. How can I format data and still have the flexablility to change it on some forms? I just got back a repaired file from filemaker, but find I have to reconstruct a script. The number of records in the portal that match the common field are correct, but only the first record found is shown, then repeated. I also need a blank record at the end.

I'm developing a standalone FileMaker 5 application that will be in Kiosk mode. People with laptop computers complain that the size (of everything) is too small (it's fine on desktop systems). Is there any way (script or ) to force the window to zoom such that the window will fill the screen as close as possible. Note that I have no way of knowing what resolution in pixels or size in inches the user has set. Any thoughts? Thanks in advance. Tom

I won't my useres to add related records through a portal. The number of related records can vary a lot. On the input screen I have 5 portal lines visible. Is there a way of tabbing through the fields of one portal record and then tabbing onto the next portal row. At present, if I entre my data in the last field of the portal row and then press enter the portal jumps to the first row again, leaving me to scroll right through the portal again to get to the next new record. If this makes sense ? Help much appreciated. Thanks.

I'm building a database for video editors to log info into; one DB has the videos (and data about them) and the other holds their log entries, according to time-code. I want them to be able to enter into that database while being able to view the video (and info) in a portal in the top half of the window. But the video won't play in the portal. I have a lookup field which does the lookup just fine. However, if I modify the looked-up value in the destination file, it also changes the value in the source file. Can I prevent this? The lookup is for a price. I want the price to be looked up; if I subsequently change the price field in either the source or destination file, I do not want it to modify the other. Thanks.

I have a problem making a line appear across the page. I have two fields, first is a serial number, second is a description. The Description field that may contain one to six lines of text. I have to provide space equal to the height of the description field on the right half of the page. I solved my problem by duplicating the description field and specifing the text color to white in hope that the layout would slide up and produce a line under the description and accross the rest of the page. Worked great on my printer, but when I installed at site the laser printer would print the description field with the white characters showing up on the black text. I tried se…

I have a script that compiles a list into a global field. The first line in that field is a headline that I would like to make bold automatically. The only way I have come up with doing this is a through a paste from another field that leaves the Style on what it is pasting in. However, it seems like a waste of a field to only have one constant word in it merely to make a bold headline. so, the question is (finally) is there anyway to control formatting of text in a field (ideally) through a script or in a calculated field?

I created a value list that looks up values from a field in another file with no problems. I then used the results in that value list in a relationship and still had no problem. I then did EXACTLY the same thing with another file and I can only get 4 out of 150 results in my value list. I tried everything over and over thinking that I missed something, and still no resolution. I then did EXACTLY the same thing with another file and had no problems again, proving that I wasn't missing a step in the first place. Hello, I'm designing a database that will include a custom JPEG background. This particular database will be used on an iMac that has an 800 x 600 screen resolution. The Status Area will usually be off. I've tried to size the placed background in Photoshop but can't get the dimension correct. I know that the image can be scaled once it's placed in FileMaker but I need the scaling to be proportional and I'm having fit problems. Wide enough on the side, not deep enough. Is there any optimal background size for a FileMaker Pro database on an 800 x 600 monitor with Status Area off? Also, can I set the window so that it's not modifiable by the user? Thanks, Kelly

Any suggestions? Reason: This is a non-profit membership database, it generates a list of current board members by searching the database for the checked board member option, it then compiles the persons full name and places it into a Global field, it repeats this for all current board members. I then want that global field to be the basis for a value list, so we don't have to alter the value list everytime the board member list gets changed... Thanks

I may be over engineering this one, but I've been working on it for way too many hours and can't come up with a solution that works. The logic for this is sort of baffling, so bear with me... To start with, I have a list of Jobs/Projects. That's the last easy part. Each job has a Job [status] field. The Job's status may list the department a job is in, or the process that is taking place at the time (eg. On Hold, Out for OK, In Mac Dept., etc.). Actually, you don't need to. Just reduce the size of the radio button field until just the buttons show (hide the text for each button). Type the required text on the layout next to the field formatted any way you wish. -bd

I have two files related by the I_CODE, where I_CODE is the key of the main file (say A) and have multiple existence in second file (: In a layout of A, the portal view is: I_CODE="A0001" key_in_B,value_in_B B1, 0 B2, 0 B3, 0 B4, 10 B5, 12 .... I would like to validate a two field combination to ensure that no duplicates are allowed. For example, one field is a color and the second field is an object (i.e. Red balloons, Orange Hats). This is straight forward for one field however, I cannot find a way to accomplish this with multiple fields. If I try to create a combo text field using the calculaiton method only the first field is displayed. I cannot find a way to validate a calculation field as an alternative. Thanks much

We have an FMPro v4 database which has been in use for several years. We recently updated this database to prepare it for web access and in the process changed the value lists used in several fields. After updating the value list the records were then revised to supply field values from the new value list. One particular field uses a Check Box display for it's value list to permit simultaneous multiple entries. Unbeknownst to the end user performing this process, data from the old value list remained in this field with each record. I have a database where I've already entered data into a text field. I want to add a value list to that field so I don't have to type in the information, but some of the information I don't want on the value list. For instance, one of the fields uses the data 001, 002, 003 and so on that I entered in manually. I want the value list to be only 1, 2, 3, and so on. Is there a way to sync up the value list with the similiar data already in the field to change it rather than having to go back and manually change 001 with the value list selection of 1.

I don't know if this can be done, but I've always wondered. You know sometimes you do a report layout in Filemaker, and you have some fields that are bigger than others, so you allow extra space for them, but you also set it that anything below it can slide up based on all above or directly above and reduce the size of the enclosing part. That way you cut down on the number of pages that are printed. Well I've always wondered, if a repeating field is on the layout, and it has say 8 repetitions, but for most of the records they only use the first 3 repetitions, is there some way I can get it do slide up and ignore the blank repetitions, thereby reducing the number of page…

I have an invoice file where line items are records from another file in portal rows. The entries are a little more complex than ordinary sales items so it would be nice for the user to be able to delete a whole row/line when one is botched or needs omitting. I've tried a button which simply calls the "delete portal row" script but there is no response. I've tried to be sure a row is selected when the script is called to no effect. I have two fields, one uses radio buttons, the other check boxes. Problem is that the radio button and check box are extremely faint (in white)when browsed in FM5. They're fine on the web. I recently tried to create a startfile script that resides in its own file so I can mount that on my desktop and hide the rest of the files elsewhere. Among other things, this file opened all of my related files in the right order and maximized the windows. My understanding was that this would allow users to change the window size without affecting the size the next time I open the files. This is not working as I had hoped and the files are still opening the same way they were closed, but I am not sure why. How can I make sure that the files/windows always open the same size and screen location no matter how it is closed? Also, how would I get this startfile to disappe…

I have a database that contains a bunch of unorganized info. I want to create a new file to get it better organized. I would like to know how to easily transfer the info back and forth. I would like to be able to enter an employee name into the new file and have it pick up all of the info in the record from the original DB. I should note that there are no value lists in the original. I noticed that when I create a value list based on fields from other files it gives me a nice alphabetized list. I wonder if there is a way to get that info out into a list of its own

I am using a pop-up menu for a list to choose from to fill a cell on a record. What happens is that when I add new records and source data from the list, the old data will change on some of the records. Not all the records just some, like the cell is linked or something. I could handle it if it was all the records but it's only with certain records. The link is constant though, so if I change the data in the cell from the list, thoughs records that are "linked" together will constantly change. What's up with that??

I have two fields in my database, Item Number and Operation descritption which are listed in another related file. What I want to a achieve is, if you click on item number, a value list of all the item numbers comes up and once one is selected, the corresponding operation description is entered AND (and this is the part I can't do) when the operation desciption is clicked on, the list of operations pops up and the item number is automatically entered!! I've tried many, many different things using 1 and 2 join files and I get the same results. I need to build a royalty free cross-platform runtime CD-ROM. I want to use Flash5 for the front-end UI and hook this up to a FM database using XML to exchange data and queries. Firstly, is this possible? and if it is which version of Filemaker do I need to develop with? Note the CD will be distributed to many users and needs to be a runtime stand-alone solution with no licensing costs for end users, i.e. I want to pay for 2 FM Developer licences for Mac and Windows. The plan is to migrate the CD product to the web hence the use of XML and Flash.

I've created a portal between two files in my fmp database. In the define relationships menu I have sort set to sort by company name. Companyname is a calculated field in our customer database which looks up a company's name, it simply holds companyname so it can be used in this file. Anyway for some reason the portal is unwilling to sort on this field and sorts on company ID instead. Thanks for your help.

I'm using an If/Else statement to evaluate 3 parameters in a portal loop, then print the appropriate form. After checking the first row of the portal and performing correctly the script goes to the next record. I'm not sure how to keep the script from getting lost after leaving the portal row to print. I'm using a set field to set a global portal row counter to 0 before the loop begins, then the if/else statements, then using two more set fields. The first is status(currentportalrow), the second adds 1, then go to portal row by field value, which is the global row counter. The go to next record command is the last step before the end of the loop. Any suggestions

Here's the situation: Items.fmp = inventory items Quotes.fmp = quotes for item prices Vendors.fmp = vendors Prices.fmp = inventory items with a quoted price added and an associated vendor In Quotes.fmp, I have three portals. Two list All Vendors and All Items, respectively, with transparent buttons over the portals that Copy IDs and Paste them into the appropriate fields. The vendor ID is pasted into Quotes field(vendor_ID)(one vendor per quote) - this part works flawlessly. The Item ID is pasted in the third portal, prices, into the field Item_ID. I'm having the same problem with not going to the exact related record. My button is inside the portal row. It executes a script that says go to related record (only show related records). The related record is in a file that does other stuff with the records being showed in the portal in the master file. Not only do I want to go to the specific related record, I want it to go to a certain layout in the child file. This works fine with an external script before the go to related records command - but I always come to the first record. Am I missing something?: Thanks in advance, Chris

Being a combo psychologist / database designer I'm always interested in the best user interface. I was wondering if anyone had any leads on some examples of layouts that seem to work well for them. For me it's a toss-up between the new FMP5earthy colors and web page look and the trandional greys with tabed folders for navigation. I'd love to see other's examples.

Alright, have a quick dilemma. Lets say you pull up a record in my database and you click on a portal field which has some options. That portal field is created, than it automatically creates another portal field...and so on. For this single record, I need the portal to give each 'line' and number starting with 1, and continuing +1 with each new record. The problem is, if I create a new record, and begin entering new lines in the portal, it is continuing the numbering from the previous record, but I need to it start over. This may be easy, but i haven't really researched it much. i tried a couple of things with no luck so i thought i'd ask. (YEAH YEAH YEAH, I KNOW I KNOW, I should always be experimenting, put a little effort into the research, yada yada yada, unlike most of you guys, i'm just doing this until my real career takes off, but there is absolutely nothing wrong with this as a career ). Anyway, saying all that, this may or may not be difficult. Is there anyway to alternate row colors in List Mode? For ease of viewing that is. Is it possible to bypass fields when entering data into an invoice? Example: If I enter 2 items on a line item database which has 9 line items to enter. I want to jump to the field past the 9 line items if I enter nothing into the next line item. (If quanty is empty, jump to Labor entry field). I have to use the mouse or hit tab several times to accomplish this now.

I have two main questions. First, I have a Pond Info Master File that has portals to a Water Quality file, a Fish Info file, a Fecal Coliform file and 3 others. Due to space constraints, I only have one or two rows per portal. When I do a Find in the fields of a portal, say in the Fish Info portal for Category "Fish Kill" and Common Name "Grass Carp", I get results of every entry for that given pond, not just ones relating to Fish Kill. From the manual, I think I have gleened that there is no way around this but I thought I'd just make sure. Is there any way to conduct a find that only gets results for Fish Kill instead of Sampling, Stocking, etc also. Secondly an…

In my main entry layout for example the company name is formatted with a font size of 18. In other layouts that I want in list view I want the company field to show a 10 font size to match all the other fields. In the second layout I go to field format and change it to 10 but the original large size still shows. How can I force a layout to have the format I want with no regards to what was originally typed in another layout?

Hi all, I have a popup list that is using values from a related field. I have two values showing up in the list - supplier number and the supplier name. The value that actually gets filled into the field when you make a choice is the supplier number. Here's my problem: I have the relationship that the lis is based on sorted by supplier name, but the popup list sorts by the customer number (which I assume is following alphabetical order). Is there a way to get this list to sort by supplier name, or any other field for that matter? Thanks for any help, Chris

I'm having problems getting to filemaker 5 server through a gateway/router. I can't figure out what port the tcp/ip connection is through.. any help would be great!!! thanks

There are many different approaches to help your user navigate. One of the main points of navigation and user interface is to convey to the user that they are not jumping between different modules or files. I have used buttons where each button is in a different state depending on what "module" you are in. IE Customers/Invoices etc. Basically a Tabed interface is no different. I do recommend that you do not over do it with tabs. And do not use more than 2 rows of tabs. And Apple would have you believe that tabs should eminate from the center. In FM5, I am using value lists in File 'A' that are built from fields in file 'B'. Is there any way of determining whether these value lists have any members (i.e. the count is greater than '0')? I want to hide the value lists by using a portal if they are empty. Thanks much.

I have a number of clients for whom I distribute literature to industry agents. While the "pool" of agents is constant, each client has preferred agents which they catagorise as A, B, C, D, E or F. Each client catagorises the agents differently (eg. agent one may by catagorised as "A" by one client and as "D" by another client. I have created two databases: Clients.fmp holds a record for each of my clients. Agents.fmp holds a record for each agent. In Clients.fmp I have created a layout with a portal displaying the agent's names from Agents.fmp. Question 1: Is there a way to force a value list, from a field, to sort other than alphabetically? I need the choices to be grouped by topic. Can this be accomplished? Question 2: Is there any way to get a value list to wrap a single choice on multiple lines rather than on one line that goes on eternally, frequently getting cut off? Several of the choices in my value list, unfortunately mandated by state law, are wordy. I'd love it if I could read more than just the first 10 or so words before having to make a choice and the form layout is predetermined. Hi, I am creating a DB with 3 tables. 1. Company addresses containing: Comp_ID 2. Categories containing: Cat_ID and Cat_Name 3. A link table containing Comp_ID and Cat_ID The reason for the 3rd table is because a single company be associated with more than one category, thus I have a many to many relationship. In my Company DB I want to be able to select and view the categories that company is associated with through a set of checkboxes. I have had some success using a portal to display related categories in a text format. Does anyone know how to achieve this but in a checkbox format? Thanks, Kenny

I have constructed a database for contact with a sub file for order processing.. I have a portal set to show only one row at a time and looking like a 4x5 card. There is a set of buttons outside the portal which navigate to the nest, previous, last and first. They all work well except "next". When first going to this layout, the first click on next does nothing; the second click goes to 2 and all moves after that work unless a selection is made outside the portal; then the double is required again to ge started. I've tried a few things, like having the nest script first go to a field and this seems to work some of the time. Is there a better way? Thanks, Bill FM5/W98

Hi everyone OK I'm desperate at this point. My portal's are not working, and depite my referring many books. HELP Here's the summary Want to have some of the field info from Customers file to show up in a small portal inside "Jobs" file. then be able to select a customer from the portal, so that it gets assigned to a JobID (it's using it's own ID) . This process repeats in the "Log" file with the "Job" info to be assigne d to a LogID. Lastly within the Customer file there are two portals which are suppose to display the Job's and Log's relative to the current customer record being viewed! I want to make one field change its value list based on the selection of the value list field above. IE: If Category "A" is chosen from field 1 then field 2's value list will be sub-category "A". On my invoice layout I have one field for invoice-descriptions (models, photography, dtp etc) and for the amounts I have several field, aligned with the invoice-descriptions. Above all this is the specifications field (how many pages, what kind of paper, binding, etc etc.) But this field is not obligatory, since it's not allways relevant. When it's not I want the invoice descriptions field and the amount field to move up. I know how to do this in theory, the fields do go up, but my alignement gets all muddled up. I tried grouping the amount fields, but this doesn't seem to work. Is there an elegant way to move fields up and at the same time keeping the alignment in…

I've got a problem that I can't figure out: A layout designed to print at quotation: three portals - one for product, one for company costs billed to the client, and one for factory costs billed to the client. In the two portals for costs (which are coming from different files), the portals are shrinking, but they both are skipping a line between each line of data. The portal lines are both the exact height of the single row of fields that contain them. The portal from the product shrinks fine and prints with single line spacing. The other two portals are printing like double line spacing. Any suggestions? I'm truly stuck. Thanks in advance for any help, Chris

I don't even know what to call what I'm trying to do so here it is-- I have a portal that lists records sorted by 'due date' What I want to do is have some distinguishing feature (i.e. a line or symbol) to show when there is a change of date in the list. an example would be: 4/1/01 4/1/01 ------ 5/3/01 ----- 6/1/01 6/1/01 Is there anyway to do this, any terminology that might help me in solving this? Although there are a lot of nice buttons and things to be found on the Net I can't allways implement them in my existing interface. Wrong colours mostly. So I decided to take a look around on how hard it is to make my own.....I found a program called ResEdit on the homepage of The Iconfactory. Gave it a shot, seems fairly simple for simple icons. Up to now... My question is: does anybody know whether ResEdit is compatible with FM? Or is there another program for making buttons in FM? Or am I way out of my league here.... I have a database of survey information (from business reply cards). The information is contained in multiple choice radio boxes. I am trying to create a report that counts the number of responses to each radio box and gives me a list of that information (ie. I have created two databases - one customer dbase, the other contact dbase. I have defined their relationship. On the contact dbase I would like to have the "company" field use the values in the Company dbase. I thought I did everything correctly by defining the relationship and defining the values. The company names do appear in a pop-up list, but I am unable to select one. If I try, the error message "This field cannot be modified until "Company" is given a valid value" appears. I have a list of two hundred tv markets with number of homes in each market. I wanted a pop-up menu to select the market name, and 200 in a list is too long, so I broke it down into 4 sections, 50 names each (A-C, D-J, etc.). I've set-up the portal, defined the relationships, but only the A-C pop-up will populate the the "homes" data field in the portal. I know you can't have a portal within a portal, but how can I have ALL four pop-up menus pull data for the source file and place it in one portal?

I've created a self-join relationship with a portal as the main entry and a second portal for the child records in another database. Along with this I've incorporated a Hilite current record trick and the Multisort trick from the Scriptology book for the self joined portal. The problem is this: When changing the sort field the relationship is based on (to any of my three sort orders), my hilited record moves with the record fine but the selected portal row remains the same. If the hilited record happens to be further down the list, the user can't see the hilite and confusion reigns... I hope I explained this well enough... Help anyone!!

hi, I have a portal with a small graphic in it and a few checkboxes for the user to check. Everytime a portal row is added FM automatically adds the next empty row. For printing this looks a bit messy as there's always an empty graphic in the next empty portal row. Am I missing (again!) a simple solution to this? Many thanks! nati

Hi there, I have created a calculation (number) field called Row Number. The calc is Status(CurrentPortalRow). I thought that if the cursor was in, say, the third row of a portal on the layout, Row Number would show 3. If I clicked on the the fifth row, it would show 5 etc. Whatever I do, it shows 0. What am I doing wrong please?

I have a database that is recording medical findings. An option within each entry is to the finding to the patient. So I have another layout that I want to check the portal, and if it has "yes" checked for report to patient, I would like a series of fields copied over to the letter. The problem is that I can't get the letter to look at anything past the first entry in the portal. Does anyone have any experience that they would be willing to lend to me for this? I must create a summary report of the amount of gasoline used by individual vehicles per month. In a "Vehicle Description" field I created a pop-up list of vehicle identification numbers and then enter amount of gallons in a "Gasoline Amount" field. How would I summarize the amount of gasoline used by each vehicle per month? Could someone enlighten me please? Thanks!
