I have a data entry layout in a Student table which requires the user to select a language in each of 19 different language fields (pop-up menus). 8 fields come from the Student table, 8 fields come from the Parent table, and 3 fields come from the School table. I’d like each Language field pop-up to offer a list of common values (e.g., Spanish, English, French…Other) that will grow when “Other” is selected and new language choices are added. This way, data entry would be a simple process of selecting choices from pop-ups with an occasional new value/language added to the list (via “Other”). I'm trying to create multiple conditional lists on the same layout so that multiple options can be selected in a conditional relationship. I want the same options for each list without duplicating what is in the field above it. Let me try to illustrate: Since countries seems to be popular, I'll use countries. I want one value list to display the continent, and the other to display the countries of that continent, ie. Europe > France Africa > Kenya Europe > Spain Asia > China Etc. Hello, I have a value list with 20 soccer teams....for each team I have a graphic in a container field representing their jerseys...my question, is if I can have FM automatically pull up the graphic of the jersey when I select the team from a pop-up menu. I am trying to make a weekly schedule of the games that would graphically show the team jersey along with the team name when selected. Anyone have any suggestions on how to accomplish this?? Hi, I have been using a couple of FileMaker databases for many years but I've just started to learn developing my own. They were always flat-file db's before. I have several relational db's that I'll be working on, eventually. But right now I have a fairly simple, one-table, db I am trying to get set up. I need to have a couple of fields with a single checkbox in them. When they are checked, then another field or fields would ungray and allow for entry. I am using FileMaker 8.0. I have a database with a value list field whose options are "Yes" or "No". I would like to write a script that will go through all records in the database and change any instances of "Yes" to "No". Is this possible? I tried doing it the following way but was unsuccessful. Hello to all, I'm finishing a small internal FM9 database of hotels, services and prices (I have a tour operator business that organizes tours to Chile and Argentina). At one point, our operators ahve to use several drop down lists with the services that hotels offer (pool, internet,massage, etc). But if they make a mistake and want to leave the field empty, they just can't. How can I do this? Can I somehow create an "empty" value that would appear in the drop down list? I have a table with 20 fields. I want to eliminate 8 of them and add instead two fields to hold the data of the eliminated fields. I think I should give an overview of what I am trying to accomplish. I have an inventory table that has maybe 350 sku's. These skus are a part of a product line, maybe 3 or so different SKUs for different colors of products that are in the same product line. I am attempting to make a quoting module that asks for the customer name, to quote this to, and then display a list of ALL of the Product Lines, prompting the user to choose yes or no for each line, if they mark yes then the SKUs that belong to that product line will be included in the PDF that is generated. I have a text field called Customer_ID_String. It appears on a layout formatted as a drop-down value-list field, with Auto-complete. There is another field, Customer_Number, defined to Auto-enter a calculation based on Customer_ID_String (via a simple relationship to the CUSTOMERS table) Ordinarily it works fine when the user does the typing into Customer_ID_String. Hi does anyone know how to create a simple list of numbers that dwindles as you choose them. I have one number field with a drop down list of numbers 1-10 and I want the end user to allocate a unique number to a small amount of records. 14 records max. Hi, I am a MAC user using 8.5. I have a layout with fields each containing their own value list. Everything was working fine until today I entered a new record and one of my fields containing a popup value list will not display the list. The other popup lists appear for other fields just fine. My previous records all work fine. The problem only appears in my new records in this one particular field. I checked the field formating and can see no problems. I have Two fields named location. Location_1 and Location_2. Basically when an address is entered a location type needs to be assigned to it. Location field has a value list assigned with 4 possible location types: Main, Billing, Shipping and Other. So when an address is entered the location is chosen. Hi there, I have a checkbox set of several provinces. I have created a calculation field that takes the selected provinces puts them into a list separated by commas. NOW - I am wondering if there is a way to also sort the provinces in alphabetical order. Currently the order they appear in is the order that they were selected. Is there anyway to set up a calculation that will sort the values of my province field? Alternatively, if I could script it that would be fine too. I just need my final result to be the selected values (provinces) in alphabetical order separated by commas for each record. Thanks in advance!

Hey, I am currently using a value lists for a project and quite new to FM. The value list is getting data from another table first field is our internal product id and also displaying from the same table the name of the product. A product can have the same name but a different id when coming from a different supplier. My problem is when I either sort by the second field or tick the "show valuses only from second field" some of the products vanish from the value list. The ones with the exact same product name but also ones with same product name beginning. Any advice? Thanks

HELP!! FM Dev 7 Have a database with some 70 different customers and some 2900 records that include data such as Country, Type of operation, Process, Equipment, Model number and a few others. Hello all, I have recently implemented a new database solution for our lab, but there are some things that don't work quite the way I want them to. One of them is this. There are a number of tables that want to pull calculated reference names from other tables in a value list. If I set the fields to auto enter text calcs, it will allow me to pull them up in the value lists, however then they don't seem to update if any change is made to the originating related records. We have an employee that is reluctant or doesn't want to use the mouse drop down menu so her dates are always different making searches difficult (she manually enters rather than clicking with mouse). On those fields that are not drop down calendar style it is easy to right click->date format and set my preference (aka override hers) but when there is a drop down format it doesn't give the option when right clicking. I have two database files: Client.fp7 - Tracks time worked on client's case. Phone.fp7 - records phone call message As I get my voicemail messages, I record the information in Phone.fp7. Some messages are related to client that can be found in Client.fp7. I would like to be in Phone.fp7 and have a drop down (or some other tool) that allows me to link the phone message to a client in Client.fp7. There is no relationship between the two table I am using in Client.fp7 and Phone.fp7. Is there a way to remove or not show items selected from a value list? Greetings, I have a file with 3 tables - contacts, events, joiner. The joiner table has the index fields for contacts and events as well as a number of fields I want to be selected by checkbox, for example - accepted invitation, attended, declined, etc. I created a layout where Events is main table and a portal for contact. Greetings, I have a table which has the two fields, Listname and ListID. The ListID is unique per record and auto-entered, the Listname is simple the name. For example a record would have a ListID of "1001" and it's associated Listname would be "Heiroglyphics Today" I created a value list with a pull down menu to populate a global field. Since "1001" doesn't tell the user anything helpful I need them to see the actual Listname. For reasons best not explained here, I want a valuelist that pulls from a table that contains two fields (Name and Order) that will sort the list by order but only display name. I've created an Order = Order self join and set up a valuelist based on two fields to accomplish this, but I can't find a way to hide the order (second) field when selecting from the valuelist, even though the list only gets populated with name (first) field data. Hello all: I have another head banger question here. I have a text field that displays values as check boxes from a value list. On that field I have a button script. I would like to be able to run code if the user has de-selected a checkbox. How can you find out if the checkbox was indeed unselected thru the button script. I tried using pattern count but the value of the checkbox even though its de-selected is still in the list. Is it a question of the record not being committed? I think this might be a strange one, or a simple one, I have no idea. Lets say I have two fields: Payment Amount and Payment Type These fields aren't always used so I can't make either one of them a requirement to fill out. However I would like if they enter a "payment amount" that payment type becomes required. Is there a way to do this? I was thinking a validation calculation? I'm not even sure how to approach this. I have a table called Tenant, it has a field called Property that is a drop down value list which the values comes from the Properties table. In my table Tenant, I also have a field called Unit #, it is a look up field from Properties table. Now that would work normally except when I enter 1126 Brookeridge I would like the Unit # to show a list of the Units there (that would be 1 through 10) but instead it only shows me the first one. I know that when I specified my lookup it says that it will copy the first value from the related item. But I know I have seen other databases do this. Any help would be appreciated.

Following the creation of a new record, I use a value list (showing keys from another table) for the user to establish a link to a pre-existing, but optional, set of information -- and that Popup selection method works well for the users. The problem arises when someone changes their mind and wants to remove/clear the link. Is it possible to have the Popup Menu include a "null/empty" value that they could select to remove any prior assignment? I really don't want to have a "clear link assignment" button for such a minor usage case. And for the obvious reasons, I'd like to avoid having a dummy record with a blank ID, but that's the only way I've come up with. …

Okay, I'm still perplexed. I've read through many of the value-list posts and I am still confused. I want to create a multi-layered value list. The list is hierarchical and has up to seven layers. (The list is the state of California's educational content standards). Items in the last layer (i.e. the seventh layer) are unique and I would like them to be displayed in a portal. I have a contact database that contains customers and some non customers-bill to contacts, load at and deliver to locations. Each entry is assigned a descriptor via checkboxes: Customer Bill To Load At Deliver To Sometimes one entry can have multiple descriptor. I have a Customer table containing about 600 records, self-joined to filter out those 50 or so marked Inactive. I'm using a drop-down list with auto-complete to allow user to select from an active customer name. It works fine except that it's slow (the auto-complete can't even keep up with my typing). The culprit seems to be the filtering relationship: it's snappy enough when I use the unfiltered Customer table to populate the value list. This setup uses an external data table (i.e. a second file) that stores the choices in the first popdown linked to the choices in the second. It works like a charm if I am using FMP8.5 directly. However, when I use this through IWP it doesn't work at all. I make the choice in the first popup and the second remains unpopulated. The second file is marked as being shared, so I don't know why this isn't working? Any suggestions? TIA

OK I understand the basic concepts of the conditional value list. But I still can't seem to be able to filter on TWO conditions. In my Cars database I can lists my years and using the conditional value list I can narrow down my car MAKES to the specified YEAR. But when I try this technique with my MODELS it shows all my models for the MAKE. I need to be able to filter this somehow so that my dropdown list for MODELS shows only the models available for the make and year selected. And then I need to filter my engines by year, make and model. I'm new to building databases and any help would be appreciated. Seems like there should be a built-in filtering system that lets you …

I want to create a Value List from a related table using only some of the records based on examining fields in the related table. The create Value List dialog box only has 3 options: 1). Use values from field 2). Use Value List from another file 3). I have been building a database with training classes. I need to take attendance and keep track of which classes who attended and how long each class was for cumulative hours for continuing education re-certifications. I am able to use pull down menus for enetring names from the personnel database, but this is clunky because I have to scroll through each list of 60 values up to 35 times. I want to develop a checkbox solution for ease of data entry. Needless to say I have been very frustrated! Is what I want to do even possible? Am I missing a simple work around? Does anyone have any advice? HELP!!!

Hi, I see no reference to being able to sort a custom value list in this forum nor can find it in my "bible". I have a Custom Value List that users can update a client list in. I cannot see where (if at all possible) somewhere to sort this custom value list. It may be custom for a reason (hence no sorting) but as users will invariably muck up the alphabetical order I need a way to sort it - even empty it of blank entries. They like the Edit... function at the end of the list so the Custom seemed like a good idea. If I cant sort such a list, can anybody give me a better way to have this list auto sort, but still the ability to update it with the Edit... too…

Hello. The answer to my question is probably already somewhere on this site, but in the half hour that I've been searching I did not manage to stumble across it yet. So... I have a user table with a field for user_ID, user_FirstName, user_LastName, and user_FullName (which is a calculated field from the first and last name). I also have a value list which contains values from the field user_FullName. I have a cond valuelistsystem, limked to 3 fields. A choice in field1 will generate the valuelist for field2 and that for field3. It's working well, no problem at that level. The problem is when the values need to be changed. When a user change the value in field1, and exit the record for whatever reason, the values in field2 and field3 are not correct. They still show the corresponding value from field1 (now changed). Is there a way to set field2 and field3 to empty, the moment the value in field1 is changed ? And to set field3 to empty the moment the value in field2 is changed ?

I access much our data via ODBC from web scripts. When I pull a field consisting of a value list via ODBC I get all checked items in that field separated by spaces. I can then split this out and use it however necessary in my web scripts...for the most part. I have been playing with the attached sample file for the dwindling value list, but have struck a problem in that the dwindling list only displays if there is already a value in the matchfield. If the matchfield is empty (or contains just a pilcrow) the value list doesn't display. Got same problem as another thread. "Customer" record includes "Active" flag: 1 if active, 2 if inactive. Defined new T.O. called "Customers_Active"; it is a self-join on Customers where g_Active = Active. (g_Active is 1 and global.) Defined Value List called "Active Customers" using Name field from "Customers_Active" T.O. Created Invoice layout, containing Name field that uses pop-up list using values from Active Customers. Hello, Where I work we have a database of items, and when possible, we note how things are made. Instead of having people free hand write down what the decorative processes of an item are, we want them to choose from a menu listing the processes (like cross-hatching, stippling, incising, etc). The purpose of this is maintaining vocab control. Is there a way to choose multiple options from a drop-down menu? I have two interrelated tables. One contains an insertion ID (auto serial number), and Media Name (user entry text). The other contains a creative order number (auto serial number), Media Name (value list from first table), and Insertion ID (value list from first table). Hi there I've been using FM now for about 2 years on and off mainly to produce databases primarily to manage my own projects and i'm self taught with no formal training. This is what i'm trying to do. I have two tables "JOBS" and "CONTACTS". One of the fields in "CONTACTS" is "working status". I have a drop-down list which references nearly 20,000 records in a related table. When clicking on the drop-down for the first time in a session it takes about 30 seconds to load the information. Then when I want to select, say, "harry ..." and enter the letters "har", I am taken to the first record beginning with the letters "ar", and only when I then enter "har" am I taken to the first record beginning with the letters "har". Hi folks, Having trouble with this. It seems simple but it just doesn't work. I have a customer mailing list that must be sorted by a specific (Canadian) postal code order, required by Canada Post. Specifically, the first three digits of the postal code, which are ANA (alpha, numeric, alpha: for example J5A) The field itself is a text field, necessarily. I've been checking out my FM reference books for various value list / set functions. I have a field in my database for level. This could be interpreted as grade for the people in my database but not necessarily. I want to write a utility that checks if the level is in my grade value list (is it a valid member of my set - problem 1), what is its position in my value list (grades are not necessarily numeric so I can't add 1 to them - problem 2) so I can change it to the next grade in the value list (problem 3 - easy with the GetValue function if I can take care of problems 1 & 2). I'm pretty sure what I want here is not possible in FMP, but thought I'd double check. I've got a checkbox field that is conditional. Depending on other fields, it'll sometimes show some options, sometimes others. In addition, I want it to sometimes offer no options - in other words, it should sometimes be blank. I can get my value list to be empty when it should be, but then the checkbox field, instead of being blank, shows a single checkbox labeled "no values defined". I take it there's no way to avoid that in this case, without using a layout trick like selectively hiding the field using a portal? (I was hoping to avoid that because the field in q…

I want to make a difference between a main category and a sub-category. When I create a new category, i need to select if it is a subcategory or a main category. Hello All: I am new to this forum. Hopefully I am posting this in the right spot. I have a database with a field that is set to auto complete using previously entered values. I am using this field for the names of current client projects. I would like to delete items from the index when a project is completed. But when I go to the Insert Index menu and try to delete an item, it won't let me do this. Can someone tell me if there is a way to do this? If I need to just clear the entire Index periodically I am okay with that. It will get reloaded as I enter current projects again. Thanks Suzanne

I want to create a value list of dates that will be chosen to view timesheets. I want to start with a date, have the date 14 days later, and so on, but not dates in the future. Today, it should look like: 2/19/2007 3/5/2007 3/19/2007 4/2/2007 But starting on 4/16/2007, it should look like: 2/19/2007 3/5/2007 3/19/2007 4/2/2007 4/16/2007 And I want this value list accessible from different layouts based on different tables. I'm having trouble because I can't base a value list on an unindexed field (ie a calc using Get(CurrentDate)) or a global (ie setting a global to my list of dates on opening). Any ideas?

Is there a reasonably forthright technique to populate a value list using the contents of a repeating field? I have a global repeating field that contains the current acceptable values for a particular user-entered field. The values in the global field can be modified, if ever needed, by a system administrator. There are only six repetitions in the field. I've searched, but haven't been able to find an answer to this simplest of cases. My own efforts have resulted in "this value list will not work because the field cannot be indexed". I really don't want to resort to a dedicated table for this one-field usage. Thanks in advance for any suggestions.

I have a value list (company) that has grown too big and I want to move it to a new table. I didn't know it at the time, but I should have created a separate company with a relationship and a pop-up menu from the project table to the company table. I know how to create the relationship but how do I move the company data to the new Company table and still keep it connected with each original project record. I tried auto-enter, calculated result, COMPANY::company = PROJECT::company but it doesn't seem to work across tables.

Hi, I am a FM newbie. My database is a simple contact list, from which I create mailing labels. I have my contacts categorized for a main category ("category 1"), then a sub-category ("category 2"). I would like to not only sort but create a temporary, isolated or standalone list, so when creating mailing labels, only those relevant contacts are included. I do not want to just rearrange the whole database because quite a few records are irrelevant for certain lists. The sorted listed would only include A and 1, or A and 2, or A and 3. Or B1, B2, B3. This one has me totally stumped. I'm creating a database for Matchbox cars. I have a table name Catalog set up that includes: Number, Letter, Variation, Name, Color, Interior, Wheels, Decals, Etc. I have a table named Car Finder. In this table the user can enter pertinent information to find which car he has. Example: If he clicks in Number he can select from any car number. The scenario involves using Find mode to search for or count records that contain an "Other" value in the checkbox set.
