Importing & Exporting

.... and I can't figure out how to fix it : I have an import to take the ISBN/UPC and get product specs on it. Somewhere along the way I did something (I think) that has grayed out the check box. Please someone... what am I missing? :

I get an warning message when I'm exporting data to Excel when the number of records is above the Excel 2003 record limit of 65536. I appreciate that FM warns me that the data will be truncated *except that* I get this warning even when the records are sorted and grouped by x, so that the real number of records exported is around 300. FM seems to have its warning condition based on a count of the records going into the sorter engine - rather than - on a count of the records coming out of the grouping engine. Is this not a bug? Or is there something I'm missing? TIA Bobbby

I have a script which copies sets of records from reference tables into temporary tables where they can be worked on. So let's say I'm working with the "Priorities" table. I've got 3 records in there. "High", "Med" and "Low" I use the import records script step (pointing it at our server fmnet:/192.168.2.250/Master.fp7) and I've set up the proper import order... The only problem is, the script doesn't work. First it would only import one record. Hello, I have a table of Companies related to a table of Member Dues by an auto-serialized Company ID. Each Company record has a portal that displays corresponding Member Dues. HOWEVER - when I run a find and try to send a report to Excel on Companies who've paid Member Dues in 2008, say, FMP exports every portal row (with dues data from 2006, 2007, etc.). Is there a way to specify a portal row in an Excel export? Thanks!

Error message received: "untitled.xls" could not be created on this disk. Use a different name, make more room on the disk, unlock it or use a different disk. The error message is occuring on the Admin computer. The database is stored on a network external HD. I access the database through the open remote file on a local host and I am able to export to excel without any problems but, the Admin computer has the above reference error message each time. I have increased the file cache to 256 mb and turned off any plug-ins but unfortunately this did not solve the problem. Any suggestions??

I have a folder of PDF files that I want to import into the container field (references, not the file). The PDF files need to be imported to specific records already in the table. The field data from each record was used to name the PDF files (i.e., "Field1_Field2_Field3_Field4.pdf"). I am trying to import a text file with 2 billion records (about 45gb of data). I know I am crazy but wanted to try. It ONLY gets to 62 million records. This is on Leopard. using FM 9.03. Plenty of disk space also. Any ideas?

I have a database file that I'm saving as two separate files, one with some sample data and another with zero records (when opened, script find no records and goes to config routine). I have what is I'm sure a simple problem: I have updated a solution but the prior version exists on a second computer and now has many records. All of the fields, relationships, etc. are the same. I've added a few simple buttons and changed fonts and sizes only. There are about 12 fields and one portal. After placing a clone on the second computer, how do I get the records from the prior solution to the current? I have tried some import and exporting, but I do not get a correct result. Thanks.

I've scripted a two pass import. The first pass imports images with the reference to the location (not imported into db) The second pass imports thumbnails. And I've currently gettting an error on the import of the thumbnails. "Sorry out of memory..." I have a 'Customer' table with a related (one table away) 'Tests' table. I want to store in FM summary data (tests per year/month) for each customer. What is the best way to do this - i have explored many but none seem to work.

This is easily done in FM9, but I need to do this for a FM6 solution. I have a number of tab delimited files, all within the same folder, that I need to import at set intervals throughout the day. The FM database has the name of each file in one of the fields in an otherwise empty record. Is there a way to tell FM which file to import into which record without any user interaction? I am downloading a web page using troi url to get it into a text field - received data - that comes in as Unicode. I then export using field contents to save as an HTML file for stripping. The Unicode is causing havoc! Seems I have some UTF-16 in the field. I don't see any options available using the export field contents to specify the "output file character set" Any ideas without going to a plug-in? I want to get rid of everything that isn't your standard HTML and text. This needs to be automated so manually copying and pasting won't work...

Hello everyone I have two simple databases I need to combine. The smallest one is a list of email addresses and one other text field. I need to import these into a larger database of contact addresses Where the email address already exists in the target table then no import needs to take place. ie a new record is added only where the imported email address does not already exist in the target table. I recently did an update of our DB and when I changed the Import field tag to the latest date it also changed the "created by" and "modified by" fields - how can I stop this from happening?

How can you import only found records from one table to another. I'm transferring an "Order" with its accompanying "orderItem" records to a different table pair. I can isolate the orderItem records for import, no problem, but every orderItem record is imported, even though only the related ones are found, creating a bunch a of orphan orderitem records without a an fk of any kind. My stinky workaround "finds" the orphan orderitems and deletes them. So I wish I could just selectively import to begin with. Any ideas?? Thanks Chas

Hi Everyone, Back again... our solution is coming along nicely and I think I've finally make the switch to FMP... awesome! What I need to start looking at now is writting to files... we need to write information from the new FMP database to a file so that we can run it through our antiquated payroll system. And we also need to write to files for logging and audit. Firstly, can FMP write to files? I have a number of found records and I am needing to create a single tab delimited file for each. I've already got the path and the $fileName set. FileMaker apparently exports all the records in the found set- so I will need to be able to script a find of records which have not been marked as "exported" then somehow loop a script which will step through finding, exporting, and marking each record one at a time. I am trying to export data using an XSL filter which works fine. If I hard code the path to the XSL file, it works, but if I try to use the calculation to specify the location of the XSL file, it fails. I can't seem to figure out what I am doing wrong here. I have tried many of the formats, tab, csv, mer, xls, and each one has its drawbacks : - tab and csv are decapitated, no column headers - mer has the headers but Excel needs a schema.ini to understand the data (mistakes numbers for text)... - xls is working ok except that the export step halts with a dialog box when writing to the xls file and tells me something going to be truncated becaue it's too long (!!) and that's no good for a script that's destined to run unattended in the middle of the night. I'm a beginner at FM and am learning how powerful this program can be. I'm trying to develop a relational FM contact application that, when complete, will replace a now existing Excel flat file. All of the data I need to import is in a single Excel file. I've elected to place some of the data (Activities) into a separate table, while the bulk of the contact info is in a Contact's table. I've created a relationship and portal so that the Activity info can be inputted and viewed in the Contact layout. Hello, I have 2 tables: contacts and donations. Any one contact can have made a number of donations. I would like a way to export (to excel) a record for each contact that only shows the info from the most recently added donation entry, i.e. the first portal row. How can I do this? I import scanned photos into FileMaker 7 and then add comments to the resulting records. If I import manually 'File > Import Records > Folder' I get the option to import attribute fields such as image, filename, file path and image thumbnail. However, if I try to create a script to import a picture all I get is the image, not the extra attributes. Am I missing something?

File 1 has orders with each "order #" as a record... so say 30 records. File 2 has same orders with individual records for each item #.... so may be 30 or could be 31, 32, etc. Problem is if someone has 3 items on 1 order the last item # imported is the only one that shows up for that order #. Internally, we use a FileMakerPro app to recrd the data we need for the web sites, so rather than recreating that I would like just to do a daily import. What is the best way to go about doing this? So, I'm working with importing a csv dump from a main frame. Ugly field names. I want to import them. I can set a custom order, and then pick "last order" next time I import. But this is a group database, and I've seen the "last order" get screwed up or lost before. I have no idea if it's stored on a per-database or per-user level. And, I can't export a matched list easily for documentation of what goes to what. I don't trust what I can't verify, and I'd prefer not do adopt the names from the mainframe. I am importing data from a barcode reader. The bar code reader application can generate output in various formats. I have tried csv and xls. The problems i have is that the text file shows the timestamp for the barcode as hh:mm:ss mm/dd/yyyy. When i import this into excel it converts it to mm/dd/yyyy hh:mm:ss which if I import this file works with my calculated fields. If I import staight from the file the calculations fail. Below is a line from the import file. I guess there are 2 solutions 1. Get the import to reverse the order to work with my calcs. 2. Create a calculation that swaps the data around. Any ideas

I am exporting (along with many other fields) a notes portal to Excel that contains free form note taking. Many of the notes appear after export in the Excel with######## instead of the text in the field in FileMaker. I discovered a group of .....( a string of periods) will cause this and deleted them from the field and eliminated many of the problem records,however I still have many left with the same issue. Is there a known group of symbols that Excel does not like from FileMaker that will cause this?

First of all on FM6 when I added a pdf file within a container field I could see the first page of that file. Now I see the pdf icon. Is it possible on FM9 having the first page instead the icon? We've noticed while importing tab delimited text files (which we do on a weekly basis) with dates formatted as 00/00/00 FileMaker transform it into 00/00/0000, but if it is a single digit month or day it will be 0/0/0000, this presents a problem for us, we need all single digit month and days to be stored as two digit month and days i.e. 02/08/2008 Any ideas? -Silas

Hello, I have a db file referencing different pictures for each record that are stored on an IT server. My FM file is located on a desktop MAC and references the images stored in a folder on the server. Remote access to the file results in not being able to see images via a PC, but is OK via a MAC. What do I need to do to get the image viewable on the PC?

I'm importing many folders of JPEG images into a container field, updating existing records in a found set. For some reason, the JPEGs aren't importing in numerical order according to file name - the portrait oriented images (taller than they are wide) are being imported after all of the landscape oriented images. Not sure if this has anything to do with it, but the portrait oriented images were created after the landscapes, so the "creation date" on the portrait oriented images is later than the creation date of the landscape images. Can anyone shed light on the import order of files in a folder?

I'm currently outputing a tab delimited file for Google Base uploads. I'd like to convert to another format. Google accepts RSS and Atom feeds. Is it possible to output from FM in this format? am trying to insert the result of an SQL query into a field in FMP 9. Here is my SQL statement (which produces the correct result) SELECT count(*) FROM smart_cd.USAGE_SAS WHERE FTR_SERVICE_TYPE = 'C' I can run the SQL query in a script using "Execute SQL", but I can't figure out how to send the results to a field in FMP. I don't want to hard code the value of the field to equal the SQL statement (as in a calculation), as I want to be able to retrieve this information at will. Any assistance is appreciated. I'm importing data via ODBC and in Filemaker 6.0 when you check the box to preform without dialog it would not pop up any windows with data validation problems. Now in FileMaker 9.0 I'm using the same script and the Preform without dialog is checked but I have to hit OK on 8 validation dialog boxes. The validation problem are not a concern since I'm importing a large amount of data and only getting 8 issues. The problem is I don't wait to babysit the import process. How do I stop the dialog boxes?

We've had this old payment system that is not working well for us. The person who set it up, made 5 repeating fields. The pmt amt, the pmt date, the receipt number, the pmt method and finally the initials of the person who takes the pmt. As a result the daily reports are only based on the final value in each repeating field and has limited us greatly as to how we can run reports. I am wanting to set up a spread sheet in Filemaker with these 5 criteria but have no idea where to start. I also want a report that summarizes each five fields at the bottom of the report. I've just come across this bug, after many months of it working just fine. It's like this: I scan my bank statements and import the line items in FMPA9 on MacOS 10.5.2. The text files from which I import are UTF-8 encoded, and it worked just fine. I had set up the params for the automated import using the 'Import Records' script step, and had specified from which .txt file, in what import order, and had also checked the 'Perform without dialog' checkbox. Background: I am a real estate appraiser, and minimally experienced in FMP. I have 8.5 Advanced. For years, I have used the preview of each record as a static image in my reports...Preview, then copy and paste into Word. The data is exported to Excel for analysis and its output is paste-linked into the same Word doc. Is it possible to export a preview image (for the lack of a better term) of each of the records I mark and have them inserted into a Word doc as static images?

Hi, Just trying to import files from a prev version db to an updated version. I'm experiencing difficulties in getting 4 fields to be shown when mapping the fields upon import into the newer table. I've checked both exported versions (FM/Excel) and the fields & the associated data is present. I work for a research lab, and I am trying to create a webpage that everyone can access to upload or find information. My ultimate goal is that we have files that contain lots of information concerning plasmids (the extension is *.gb, which i'm sure is not supported by filemaker). I don't want to manipulate the data inside filemaker, but I want users to be able to upload the *.gb file onto the webpage so that other users from different computers can download the file. Is there a way that filemaker can handle this function?

Hello, I have noticed incompatibility problems between FM export function and Mac OS Intel, like this one : MAC OS X version 10.4.11 Processeur 2 GHz Intel Core 2 Duo The Save in PDF script and other export functions don't work on this platform. I have a container field with contact photos and I want to be able to restrict the size of the photos being added to less than 150k. Is there a native way to do this? Obviously the solution would prevent excess file sizes and speed issues.

I suspect this has been asked many times before... I've got a number of URLs in my databases, which I want to be active in an exported HTML file--I've added href tags to some of them. Now when they get exported, all the critical HTML characters (e.g. < & >) are expanded out into HTML entities (rather like they do on this forum). This of course means they're not read as HTML tags by a browser, but as literal characters. Is there a way of stopping this conversion which seems to happen as an inevitable part of the export process, or am I forever condemned to editing them back before I use the HTML as a web page? I have a database with three fields for name, "Title", "First Name", "Last Name" as requested by the customer. Even though I have pointed out on many occasions that I needed to see the source data that they wished to import to the database from the start of the design process, I have only just received it and the "name" information is contained in just one field. And if this was not bad enough the data in that one field is in many different formats like "Mr. Joe Bloggs", "Mr J. Bloggs" and "Mr. J.P. Bloggs" to name a few. I am at a loss of what is causing my databases to randomly crash when exporting. I am doing nothing different when I ran other FM versions, it just started to happen when I upgraded. I am not sure if it's a 9.0 issue but like I said it never happened before. Anyone have any thouhts? Thanks

Hi, I am totally inexperienced when it comes to FM... Nevertheless, I have been tasked with moving all the data (4 GB in 120 tables and 530 layouts) from a database (FM 9) which had to be recovered into a known good clone of the database (previous backups were corrupt). Can anybody point me in the right direction to accomplish this task? Are there scripts available which will do this relatively painlessly. I am not in a position to really create such a script from scratch but would be able to tweak things - hopefully. I don't see an option in FM to transfer all the data at once - just one table at a time. Or, am I just missing something. Any and all …

I started having this problem yesterday, I've slept on it, and I still can't get it working today. It is driving me crazy! I have a script to delete all records from a FileMaker table and then re-import all the records from an external datasource (SQL) into that now empty FileMaker table. It worked like a charm for the first 26 records. Now, when I add a new record into the SQL table and run the FileMaker script to delete/re-import the records into FileMaker, the first 26 records import correctly. Hello again, folks. Well, when I started this, my first filemaker database solution, I was advised to create several separate files for my initial database tables. Since then, I've learned that this was unnecessary and undesirable; the user passwords have to be updated for each of the files independently and that alone is enough to warrant consolidation. What would generally be the best way to go about consolidating many separate files into one database file? Hi there, just wanting to know why I get an error "cannot be imported because they are not the specified file type." when i try to batch import a folder with pdfs inside? yet when i insert a .jpg file in this folder it will import that file. What am i doing wrong???, thanks

Is there a way to natively convert rtf data that has been pasted into a Filemaker text field to be converted to plain text? I have tried the remove formatting and get as text options....neither worked. I know I can save the original text as plain text and then paste it, but I was trying to eliminate the conversion step. I need to automate the import of an excel spreadsheet into two tables separating column A to G in one table(clients) and G to IV(x230 fields) in another table(scores). The row is the match(client name) between the two tables. I cannot massage the data in excell before import as the client will be importing changes daily via a script. I can't search here worth a &^&@ ! Is there an error code generated when the import doesn't have a matching record and comes in as an empty found set? In short I have a database of books. I periodically check sales rank and import through XSL 1 at a time. Sometimes the import doesn't match and the found set is 0... not sure why and can't figure it out... After painstaking one at a time with pause import I see that even though the found set was 0 there was a matching record and if I go to it and start from there it's fine. UGH ! Not fine. i have a container field that holds a JPG image (reference or actual import, does not matter to me). Is there any way to get the size of the image (e.g. 640x480) from that container field, or is there another way to approach it? thanks

I'm a bit rusty on FM but I've been given a project to do in FM 6 and I need a bit of help. The some of the data I need is in an Oracle database. I'm on a win2k platform. I've set up the DSN and that al works great. For a basic test I used the query SELECT "WO"."CL_ID", "WO"."JOBDESC" FROM "WO" WHERE "WO"."WONUM" = '1000' and that works fine. What I want to do is to type a number in a field on my form called WO_NUmber and then click on a button to get the data for that work order. Hi all, I am having problems importing data from one FM6 file to another. My problem is in regards to the time involved in the import. I timed an import of 270 records at 1 min. 48 secs. with a total of 24 fields imported. I conducted a couple of experiments out of my own curiosity. I made an exact copy of one of my files that contained 31,228 records, renamed the "Test" file and deleted the records. I then imported the 31,228 records into the "Test" file from its original file and timed the action at 31 secs. Hi, I need to create a batch file (.bat) from file maker database. I have used "Export field contents" script step to create a .bat file. I am exporting from a "Batch code" field from File Maker database. The batch file is also created successfully. However the batch file created from File Maker does not Runs. I've been away from Filemaker since FM5 and am now running FM8. I used to be able to use LOOKUP to get information from database "A" and populate database "B". It doesn't appear that FM8 will let me do this. The situation is that I have a few reference files such as ZIP CODE that will return geographic information based on a zip code entry (a big time saver on data entry). It doesn't make sense that I would have to include full copies of these files in each of three different databases that need to have access to this information. I have noticed some databases where you are able to open a file inside the database without having to export the field contents, but I cannot figure out how it is done. I work with contracts and want to be able to make a .pdf file and put it in the record. Next, I want to just click on the file and bring it up that way instead of exporting. Any ideas?

I'm exporting from an FM 9 db to create a data source for use with the data merge manager in Word 2004. (I need to create styled Word documents from FM output.) The only way I can get the Word merge to work is to export from FM9 in Merge format specifying either Windows(ANSI) or ASCII (DOS) (but not Macintosh) as the output file character set. But then I either get weird substitutions for high ASCII characters (when specifying Windows (ANSI)) or the high ASCII characters are just missing in the output (when I specify ASCII (DOS)). Is it possible to import indesign files when importing from files from a folder? I can't manage it "out-of-the-box" and was wondering if there was a plugin that expanded the array of files that FMP would play nice with.

I have thousands of receipts that have been scanned and saved as PDF files with a searchable OCR layer. How can I get these into FMP9 so they can be viewed and searched? The FM solution will be hosted on our FMS9A server and accessed by 10 LAN clients (8-Mac, 2-PC) that are all running FMP9.

But we really need Merging features - and I'm afraid I'm not finding what I'm looking for.
