Value Lists

What is the best way to allow users to add to a value list on the fly? A line items table with a drop down list that uses values from an items table. If the user needs to add a new item to the value list, what is the best way to accomplish this?

I have a value list for medications in a surgery database that is huge. Is there a way for the user to type in a couple letters and have the value list show only medications beginning with these letters or to actively reorder the valuelist based on these entered letters? Thanks for any help.

Here's the setup. We have multiple database files. one for inventory, one for orders, one for contacts, one for service contracts, etc. for orders, for example, we have to enter the item numbers of the parts. There is a drop down value list that has our inventory item number and the description. I have a Value List assigned to a Field as a Pop-up Menu. The Value list looks at a Field in another Table. That other Table has several Records. What I am trying to do is have a conditional value list on my sites search page. Each client logs in, then when they access the search page they get a value list in the site field showing each site we do work at. The problem is the speed. the database has about 110,000 records and it takes 2-4 minutes to load the search page because each time it needs to gather the value list. I've been swimming circles around this conditional VL problem for a while, and just can't seem to figure it out. I'm attempting to put together a bidding/proposal program. I've got my product line broken down by category and subcategory. What I would like to do when bidding a project is select a category, which would create a conditional VL for my subcategory, which in turn would create a conditional VL of related subcategory products. Hello -- I have a feeling this is going to be simple. I would like to have a table layout with a popup menu at the top. This popup would be populated by a value list. Whenever one value is selected in that list, the layout only shows records that equal that value. The popup would not change any record. In this case, the list would be Semesters. Whenever a semester is chosen from the list, the table only shows classes from that semester. How would I make this work? Thanks for any help!

Hi - I'm creating a small media placement process and have 3 fields - Type, Name, Format. I would like to enable the user to first choose a media type (eg: Magazine) from a drop down list. When they move to the second field - Name - it should show them a drop down list of only the magazine names (eg: Chatelaine). The 3rd field is then format - eg: 1/2 Page Ad. For each of the media types, there are specific Descriptions and formats related just to that media type. Hello, I'm not sure of the correct terminology... If I have a field with a value list called "Countries", and if I choose the United States, I would like the field beneath it to have a value list with the 50 states. However, If I choose the country Canada, I would like the field beneath it to have a value list with Canada's provences. Is this called a conditional value list? I wonder if someone can give me some hint on solving the following problem: For simplicity, I use the following simple scheme. I have an item table with several categories of products, product names of each category, product ID and cost (see Item layout); and a customer layout where I use the conditional value list technique to isolate one category of related items and then choose the correct item from the isolated category. I have set up a field with 2 options for radio buttons. I used a values list of "authorized" and "potential" for choices. The field was defined as text and then in format / set controls I chose radio buttons. When I click where the radio button should be it shows up but can't be selected and then disappears when I let go of the mouse. I've tried setting this up as a check box and no visible boxes there either. tia for help.

However If I change the prices in the other table it changes the values on all the records that have already been created. I had a request to have a print form show the value of a checkbox's 'Other...' choice, and it got me thinking about what the best way to do this actually is. For example, if I have a list of checkbox choices for cars, most of which are available as checkbox choices, but where there may be some that are not available in the value list, so we allow an 'Other...' choice where the user can manually make an entry. I have a very simple database with one record for each hiking trail. I'd like to have a drop-down list on my layout that would list all of the "name" fields I have. When I select a particular name, it would go to that record. Of course when I add a new record, the list must be updated. Not sure what I did before but I got a dropdown list, but when I selected the name it just changed the contents of the name field of the current record to the one I chose instead of actually going to that record. I am having huge frustrations with conditional value lists. I have a very good understanding of how to set up the relationship and how to get the value list to work. Here is my problem. I have a Attribute Index and I want to filter based on attribute type. This works fine (both browse and find mode) if the layout setup is based on the Attributes Table and I get the values from the Attribute Index. However, if you start to go a couple degrees up the relational ladder, it gets funky. I'm very new to FM7 & need help with my Value List. I have set up an inventory DB, I add new product through a purchase invoice by way of a portal. I have "Product ID", "Product Description" , "Product Cost" and Sales Catagory fields. The Sales Catagory field is based on a Value List called Sales Catagory which includes "Grocery", "Pop", "Confection" etc entered as a Custom Value List. My problem is, I need to sort & find the Total Product Cost of all the "Grocery" product, the "Pop" product, the "Confection" product etc. I also need to print this calculated information. I a many to many relationship with three tables, students, courses and registration. A portal in the courses table enters the registred students for every course with the help of a student ID Value list. I want to be able to filter the value list by the first letter of the last name, so I creat a calculation field that does this on the students table and a global key on the courses table. Hi, I've been asked to continue working on someone else's medical database. I'm just wanting to tidy up a couple of appearance issues on the main layout. There is a field called Eye Disease which sources from a value list (using checkbox) of several eye diseases. One of the values is: PDF(Prolif Diabetic Retinopathy) I wanted to change it to: PDF (Prolif Diabetic Retinopathy) That is, simply insert a space bewteen the 'F' and the '(' to keep the same spacing with other bracketed values. I have two tables (contact and group) with at least two fields in each: group and sub-group. I would simply like to press on the down button on a layout on the group and sub-group fields connected to my contact table to select the group and sub-group data from the Group table. Not sure i need a relationship betweeen the two tables but if I did, I am not sure what fields to tie them together with. I have several variations of conditional value lists that work fine in browse mode (fm8.02) However, they do not work in find mode. The simplest one I have is this: I want to isolate class agents in my people database. I check a text field for "class agent". (indexed). I create a calculation called zClass Agent that is a text calculation with the words "Class Agent". I make a TO to filter these values and voila. I get a filtered list of just my class agents. However, you can't search on it in find mode. Is this a common problem in fm8.02 or am I missing some big lightbulb with filtering?

I can't believe I'm entering this! My customer wants a list of customers sorted on contact name. No big deal. He wants those without a contact name to be last in the sort sequence. No matter what I do, I can't get them to sort with blank contact names last. I thought empty might be a problem so put spaces in the empty ones. I've set up a special Value List with the 'normal' alpha sequence and finishing with a " ". The " " still sorts first. I don't really want to put in an additinal calc field but that's beginning to look like the only option. Any clues?

I have a client ID value list I'm using in a global field for a relational filter, when the user chooses it I tell it to show the second item, the client name, however the (long) ID is shown in the field after they click out. Ok, here's the scoop: I'm trying to create a dynamic portion to my DB for what will eventually be implemented on the web. Basically I will have a series of drop-down menus where the value list of the second drop down menu is contingent on what is selected in the first value. So I imagine I will use the Case function... Case(Short_ID="JAZZ"; result is Jazz subcategories appearing in the Subcategory Drop-down list; Short_ID="BLUS"; result is blues subcategories appearing in the same Subcategory Drop-down list... and so on. I have made a value list to use on a field where the user selects an ID number (the PK for a related table). The value list is set up to contain values from a field. This works fine. I have 400 records, and the value list has 400 items. This is good, except the user has no idea what ID number is associated with which name. So I have also displayed values from a secind field (the name field). This still works fine, except there are 400 items in the list, so it would be nice to sort them alphabetically by last name. I have a data entry layout which includes a language profile (matrix) with 20 Language fields (popup menus) from two related tables. I’d like each Language field popup to offer a list of common values (e.g., Spanish, English, French…Other) that will grow when “Other” is selected and new language choices are added. This way, data entry would be a simple series of selectable choices with an occasional addition to the list (via “Other”). Hello, I have a database of abut 4800 radio programs and 3000 radio stations. I am trying to do a drop-down menu of the programs, however FM8 is condensing it and only showing the first show by that name. For example, "Morning Show", FM is only showing Morning Show for KCTX-FM even though a show by that same name is also on 10 other stations in the US and in my database. How can I stop it from doing this? I added an additional field next to it, the program name and the station it is on, however that station has two shows in our database, so even if I sort by that station, I still only find one show by that station even though there are two. I wanted to add a conditional value list then a lookup to my database, but I have thus far been unable to get it to work. Here is the concept: I have a category value list. After selecting the category, a relational value list is used for the item. I then want a lookup used for description and unit price. However, the lookup happens as soon as I seect the category. Odd problem. I have a list of thirty or so teacher names. When filling out report cards, the teachers select their name and are automatically taken to their class lists. A few times over the past week-- say 4 or 5 times-- the value list has spontaneously changed. Visually it's the same, but when a teacher selects her name, she gets no matching students, even though the student lists show her name in the teacher field. Further investigation revealed that on the value list the name now has an invisible character padded onto the end of the name, so "Ms. Smith" has now become "Ms. Smith ", and a match doesn't occur. Is there a simple way to have one field automatically updated whenever another field has data added to it? I have two fields, a text field and a number field side by side. The second one is often blank, but whenever it has data added it means that the first field needs to be changed too: Field one has a text value list such as "Cancelled", "Waiting", "Possible", and "Submission Number". I've run across an odd little kink that I can't seem to work out. I've created a db with four value lists in a pop-up menu format. Three of these are just run-of-the-mill text lists. The fourth is a dynamic list based on a referenced field from another file. The problem: I can't seem to get any of the pop-up menus to work in browse mode. I've double-checked the field definitions, value lists and field formats and can't figure out what's wrong. In an application that will run from Server8 Advanced, I have a table that is (among other things) used to populate a value list. I want to restrict which values from the table appear in the list, based on the privilege set assigned to the current user. (Some users will see all values, some will see just one or two, others will see most but not all, etc.) I've tried a couple of approaches, but then realized that they will fall apart as soon as there are two concurrent users. They have a value list which they have to change once a year. they will always have to do a find for the FIRST value of the value list. Is there a way to automate this? For example this year the first value of the value list is "greystone" and next year the first value might be "rusty" but I would like to know if it is possible to do a find for the first value in a value list. I have an INPUT layout with a checkbox value list. The 9 values begin numerically ( "1)", "2)",...). In a PRINT layout I have a merge field of the same field/value list as a means to list only items that were checked. The problem is that in the PRINT layout the value list items appear in the order in which they were selected, not in the numerical order in which they were named. Is there any way to correct this?

Help! I have 30 products series. Each product series has five to eight colors that can be selected. For example, series 1 has ten colors - black, blue, brown; dark green, red; green, yellow , teal, dark blue and yellow. Series 2 has eight colors - different shades of black, red, dark green; white, dark brown, blue and two additional shades of black and brown. I have a VL called "Contractors" and it is shown by relation. The issue I have is that I use a field called "xStatus" that is set to 0 on creation. I am creating a scheduling solution and would like a drop down menu displaying todays date and the next 13 days ie. a fortnight - this should automatically change every day. I've tried using a calculation for the value list eg. "today + 1 & ¶ & today + 2 etc..." this works but does not update correctly (the oldest date remains in the list) and the list displays the dates in format eg. "14/2/06" but displays "Tue, 14 Feb 2006" when I click off it. I tried various formatting but can't seem to sort it out - I'm sure there is a more elegant solution. Help would be appreciated. I have a value list that references a field that displays all the floors in a building.... Most of the floor fields are numeric, but there are values in there that are actually text, (for example - roof,Basement, Bulkhead) If i make the floor field a text field then the floors arent listed in numerical order (for example - floors 11,12,13,etc come before floor 2), but if i put it as a number field then roof, basement, bulkhead, show up as "?". Is there anyway to do a custom sort order, or any way around this??? I would hate for my value list to not be in order.

Using FM8 Advanced on Win: I have a filtered value list built from records in a Valuelist File. The list is attached to a field called 'City'. If the user enters a value that is not already on the list, when I left the layout via a button, I would run a validation routine that checked the value, and added the record automatically to the filtered list. I'm trying to fashion what I thought would be a simple construct: I need to provide the user with a popup showing up to five numbers for a particular "region" and have them select a "current value" for the region. The five values are held in a repeating field within each region's database record. The values are editable by a supervisor and might change day-to-day for any region. Currently I have two tables, Clients and Jobs. Clients is related to jobs through ClientID. Both tables have an auto enter serial field, ClientID and JobID. Rather than having to scroll through 300 + clients to choose one on entry of new jobs, I want to be able to manually enter a client and have it lookup that client in the value list for the ClientID number. Currently when I enter a new job a new ClientID serial is assigned rather than FM using the previous entry of that client. Any ideas?

Not sure if this is the correct board, but... (FMP7) I'm creating a small database consisting of two files. Students and DormRooms. The DormRooms is a finite list of available dorm rooms for bed assignments. The Students file contains a field for "dorm_assignment". In the students file, I have a field used to assign a room (value list from DormRooms). How do I make that value list dynamic, and allow only the unassigned rooms to display? Using FM8 of a Mac with 10.3.9 I have a Customer DB, the records can serve as Customer, Bill To Contacts, Load At Info and Deliver To info. Customer and Bill To can have same address but different contact (hence the two). Can someone tell me how to count the items in a value list? For example, I want to be able to count the number of males and females in a group (Male and Female are in a value list). I created a filtered VL showing Customer ID (1st field) and customer name (2nd field). My VL filters only if I choose "sort by first field" (eg customID) in the define VL window. If I choose "sort by second field" (eg name), the VL is not filtered. Any idea how to sort a filtered VL by second field? Thks

Greetings! One of my value lists is supplying me with the following message when I attempt to make a new entry: "The length of the selected text (the application automatically highlights the entire list) cannot exceed 30000 characters;" consequently, I'm stumped. Has anyone else experienced this? Is this a global parameter for all value lists (If so, it appears to me to be restrictive for a database program). Presuming I understand what happened here, is there some way to format the list to confirm and/or expand its parameters? Regards, Scottish

New to FiIemaker so please be gentle. I have as an example a Car database with two fields one is called "Manufacturer" eg Ford, Porsche, etc and the second field is called "Model". When I have a drop down menu highlighting "Porsche" I want the second field to automaticlly let me select the model as being "Boxster" or Carrera", etc. Lastly, I also need to create/delete new manufacturers and models. ... righto im having a small problem... most of my front end value lists are just custom defined static lists and seeing as i figure ill never have to clone my front end, thats not really a problem... the problem is my backend which has pretty much duplicate value lists for the purpose of validation... these however are all dynamic set by field... now the problem ive been having for some strange reason is that while the values in the backend are duplicates, i cant use validate as a member of value list... sigh here is an example... front end yes / no value list... back end... dynamic yes / no list used for validation of front end field... i get an error in the front…

OK, I have a regular field with a pop up list that gets its value list from a relationship with another table. What I need to find a way to do is, in the other table (table 2), along with the name of the records there is another field titled "point value". In the point value field there is just a number. In the first table (table 1) there is the field with the pop up list and another field titled "points". What I want to do is, when I select a record from the pop up field in table 1, I want the corresponding value from the "point value" field in table 2 to show up in the points field. Hi I'm new at FM and I'm blocked again. I didn't find a solution so far, regardless what I tried. And after searching fmForums 3 days, I thought I'll give it a try. May be it's very simple and I'm just looking too far? I have a Value List filled with different Items (in my file called "Kostenstellen"). My idea is to have now on the "Matrix"-Tab a Summary, where it pulls out all Items from the Value List once and shows also on the left side the total of the Costs (total from "AUS Zahlenwert"). I have a database that has tables named Company for Location, Contact, and Location. Each table has its own serial ID field (CompID, ContactID, and LocID respectively). The company table contains the company name. That gets related to the location table to match an address with a company (via CompID). The Location table is related to the Contact table via LocID. I have a contact table with names that I wish to associate with a company. Since a company may have more than one physical address, I want to be able to choose from the multiple addresses associated with a company. This is where I am having a problem. I need to allow the user in a runtime solution to create their own list of values for a checkbox field. The runtime version does not allow access to the Values Lists menu item and I can't configure checkbox fields with an "edit" option. How can I do this? Is there a script step that will bypass the limitation in runtime to allow the user to edit the value list of a checkbox field? I tried to create a global field for the user to input values to be used to generate the value list but it doesn't work because the global field can not be indexed. Anyone know a work around? If a have a value list that shows the related contacts to a company and I want to use it in another file why cant I create a value list in the other file using the value list from another file option to bring it over? I guess one way to do it would be to create a calculation field in the customer file that has the value list based off the relationship but is there any other way? Hi- I have something I am using to Invoice Match to Purchase Orders. I have given the user the option of referencing multiple Invoice Numbers for each PO. This is a repeating field labeled "Invoice #", and next to each line item I have "Invoice Referenced" which should reference a value list of all the Invoice #'s entered for this particular order. So I made the value list set by the field "Invoice #". However when I do this it is pulling up all invoice numbers throughout every record in the database. Can I do something to make it only relative to the Invoice #'s entered for that particular record?? Also, can I default it to the first Invoice number entered? …

I have a value list that auto-populated with records from another table. Since there are about 500 items on the value list, I'd like to be able to search the value list -- as of now, the only "search" capability i have is to type a letter and it'll take me to that point in the value list. Hello, I am quite new to Filemaker and currently building my first relational database, I need users to be able to assign customers to active jobs (of which there are 1 - 10 at any time).I want a valuelist to contain the contents of the job field but only all records that are "active". I would like to specify a record as active or inactive by using radio buttons. Is this possible? any help would be much appreciated.

Layouts, scripts etc. all accept the "-" to be a seperator... what are you meant to use in lists which doesnt let you use a "-" twice and which can get extremly cluttered if not seperated well...?

Attached sample file. I want to pull down my employee field and see a list of employees sorted by their job category not alphabetically. When I ask filemaker to sort by the second field, it shows the first of each category not the whole list. Any way to work around Untitled.fp7.zip

I have a problem with a drop down value list that is not populating. The member table had 10 new records added The fullname field is a concatination firstname& " " &lastname. On another layout (Trip) I have a have a value list that is picking up the values from the the member table via a relationship between the two tables Trip:member_fullname to Member:member_fullname. What is happening is when I enter the field a drop down list shows only the last 10 records (total 65). If I select a name the error message "value list is defined to contain exisating values only.
