Hello, I have a database of the staff of my lab. They belong to various teams (1, 2, 3...), have specific position (technician, engineer, researcher,... ), and other specific information. One of the function of this database is to be used to send grouped emails. For instance, to the staff of Team 1, to technicians, etc. As for now, the users have access to a model (a search form) where they can select the team and the position of the people to whom they want to send the mail. My problem: how can I do to allow my users to select the staff of, let's say, Team 1 and Team 2. Or send a mail to Technicians and Researchers? Of course, I cannot display a check box…

Ive created a table for customers. Whilst entering a new customer record I was wondering how to automatic search to see if the customer exist before committing the new customers record. As it stands at the moment the new record is created at the start so I would have to delete the record if a duplicate exists. Any ideas on doing this and advice please would be appreciated.

I have a database that consists of a table of people and associated information and a table of measured results for various metrics. The tables are linked by the person's name I have a tab layout that shows the individual people and also a tab that shows all the measured results for that individual in a portal I want to go from the measured results tab to a find layout where I can do mulitple finds on the original found set for that individual and produce graphs of the measured results. At the moment when ever I move to a find layout the measured results table re-sets itself. How do I keep the found set ?

I am able to filter a portal based on one field but am unsure of how to filter a portal using 2 fields. I understand that it will require a script using an if statement but do not have sufficient knowledge of which functions I should use.

A Quick Find criteria of C02LPLV5F5N7 was getting a hit of a (numeric-type) field value of: H002557. A second pair of eyes noted that if you remove letters in the criteria, there was a string of 02557, which matched part of the field's value. The field should have been converted to a text field (after the inclusion of a letter (H) at the beginning of a serial number used in a key field), and more so, that field should not have been included in Quick Find results. Problem(s) solved.

Hi there, at first I was struggling to find some data which I knew was present and couldn't figure out why... Data in text field (real example): A 0111 B0111 B0116 TZ0113 [...] Search string (quotes not part of search): "0111" finds "A 0111" but not "B0111" etc. But I figured out how to adjust my search so FileMaker will pick up these records accordingly by wrapping it in stars like *TERM* so it performs partial matching: "*0111*" finds "A 0111" and "B0111" Now my question is: How can make this the standard search mode / feature without extensively writing scripts for every layout? Hello, I could use some help with a find function. I have a table with fields for DateStart and DateEnd for each record. I have been unsuccessful in getting a Find to work when I have a single global date field and then a Find script. I when I enter a date into the global field and then use the find methods below I am not returning the records that fall in between those dates, it looks like I am returning the records that start and end on the date of the global date field? This seems like a simple idea but I can't figure out how to find records between dates based on a single field find script.

This seems so basic, not sure why it is not working. I am searching a database of campaign contributions, the candidate uses several variations. One is People for Jenny Durkan, another is JennyDurkanforSeattle. When I search "Durkan" it finds People for Jenny Durkan but not JennyDurkanforSeattle. FM Help says to use double quotes, what am I not understanding? I am using version 11 on the Mac. Thanks for your help.

I have a field in file A, say, called z I have a field in file B which has, as one of it's fields, fileA::z I have other file A fileds showing in File B as well and have no problem. With filed z, when I do a find for the word "Both", I get 20 records. In reality there are only 4 records in File A with the value "Both" in field z. Out of the 20 I have the 4, but then I have the other 16 with other words or blank. Can't figure this out. The other finds on the other fields work fine. Any help?

I assist with a FMP 11 database that manages projects and related data, about 10,000 projects currently. I setup a new tool that tracks a ADL requirement with a simple YES/NO drop down value list. Users choose if the project requires ADL tracking by selecting YES/NO, and we have a layout that lists all 10,000 projects with the ADL requirement that shows YES, NO or empty value. Forgive me if the terminology used in the title is incorrect, I'm still getting familiar with this beast... In a nutshell, I am taking measurements on a piece of equipment. I am recording the equipment serial number, date, the increment being measured (about 50 different values, from a value list based on a table), then 10 measurements for each increment. Hi, I have solution on a network server. After some forum suggestions we started finding and navigate our layouts under a "zero" record condition. Only showing records that are required when required. When I am in a condition within our scripts to "Delete" the found set, I have noticed that instead of showing "Zero" records after the script deletes ... FileMaker dumps all the records that were not in the found set, which can be significant in some tables ... ?? So I would see 23 / 5000 Found ( Sorted ), then the script deletes, to 4977 Total ( Unsorted ). So what is going on ?? any insight, can I prevent FileMaker from doing this ? Thank you.

Every now and then, for seemingly no rhyme or reason, a script that relies on searching the contents of a field will start to fail with the message "No records match this find criteria." The hang up is, it will not find records even if there are records that match the search criteria. You can look at a table full of fields filled with 1's, but if you search for 1, it will say it cannot find records. Currently, I have this happening on a field based on a self-relationship calculation. Hi guys, Would appreciate your help. I have a database for a university, basically I have students that enroll to a subject and can either : win, homologate, fail, or cancel the subject. I must make a report that shows every student that has failed, canceled or hasn't seen certain subject. The catch is that if the student has seen the subject two or more times and for example the first time he failed it but the second time he won it, that student appears on the report even though he shouldn't because he won the subject on a second try. Good evening at all, I have created a portal where all the agents of a particular brand must be visible. If the agent only has that brand I'm offered to the portal but if there are multiple brands not. I had set the filter as "brand name = agent logo" but I noticed it did not work properly. How can I tell the system also to show me all the agents who have the required other than the other brands? I hope I was clear. thank you.

I currently have a form that contains a portal. In the portal there is a value that will either be "Accepted" or "Rejected". I'm wondering if there's a way to parse through this table to check if any related values have a "Rejected" or if they are all "Accepted". Then using that outcome, decide if the form should display Rejected or Accepted. Please let me know if I need to provide any more information and/or images. I have a table that contains dimensional data for parts. Each record has a unique ID, but also has another field with the ID associated with the part. I have another table that I'll be storing individual inspection data on. I was wondering if it's at all possible to parse the first table, and copy over all records that have a specific part ID to the second table whenever someone starts a new inspection record. I am building a custom solution for my company that tries to replicate the functionality people are used to in a series of text-based documents. One of the things I have been asked to produce is a method for highlighting specific text on screen when viewing historic log notes. In some cases, we have decades of notes for a customer, so simply looking through those records is impractical, and the users want to be able to view the found note in the context of other notes, chronologically, so I can't just have them perform a find for the specific text. I have a value set that goes to a field called "USE" the value set has the following: Patriotic, Contest, Concert, Festival, Broadway, Popular, Folksong, Christmas, Spiritual, Novelty and Mandrigal Is there a way to be able to highlight more than one of these "USE" and do a search? I have a single, unrelated table I am viewing as list in Browse mode (all records showing) I enter Find mode and input search query in one of the fields (I already know there is a record with that value, in fact it only matches one single record). When I hit enter, FM goes to that record but while still displaying the entire list of records (preceding and following my target record). I currently have a few fields that automatically enter the date, time and user when a file is modified. The problem is that when a file is not modified and simply viewed it doesn't show up on the list. Is there a way to auto enter this information when a record is viewed only? Thanks

Hi After doing a search I get 65 records. The records have field [A] that holds 3 values; ONE, TWO and THREE. In the search result (as list view) I'd like to see the total amount of ONE's, TWO's and THREE's. I can self relate to get that value but isn't there a more elegant way to count N occurrences in a found set? Thanks

I'm setting up a scripted Quickfind for a project and in the course of testing it find that it is returning case-sensitive results, so for example if I enter "human" in the QF field, it is only returning results that match "human", ignoring "Human". I've used QuickFind before and have never seen this behavior. I know how to create a workaround for it: creating a calc field for fields I'm performing the Find on with the Lower( ) function and doing the same using Lower( Get(QuickFindText) ) for the script step, but I can't figure out why it's only doing case sensitive Quick Finds in the first place. I've got to tabulate the daily interest charges on Loans from Loan inception to current date. I've got a PRINCIPAL_ACCOUNTS table. Each transaction in that table has a date and an amount of increase or decrease in the principal balance, and the updated outstanding balance as fields. This ( seemingly ) inconsistent behavior has struck me as odd and I would sure like to understand the principle behind it. I have two tables - one is an import from an external source which contains the master data set and the other table contains hand-entered data overlapping the data in the first table. Sometimes people make mistakes entering data from the master table and sometimes they miss a record entirely. I have a calculated field in each table which is unique to each record, but which matches across the two tables. We have database which shows line items from the Line Items table in a portal on an invoice form from the Invoices table, and two of the fields in each line item are Staff Initials and Date. Because our invoices are for time billing, we do not want any particular staff member to show more than 10 hours for any particular date across all invoices in our system. For this reason, we want to use conditional formatting to have the date show up in red if that staff member has more than 10 hours billed on that date. I have a dirt-simple inventory DB, just started working on it, basically flat-file so far (i.e., no related tables in use yet), only 800 records, most fields still empty. Quick Find is not working properly for me. If I use the Quick Find field to search for a part of a serial number, e.g., "DBT", I get no results. If I search for a longer string, i.e., more specific, "DBT30" I get one result. If I search for "DBT301" I get two results. Neither record has this string anywhere in any field. I have a pos solution, i need to create a balance report based on current date and cashier account name, so as to be able to get the total balance before check-out at the end of the day. I have a stock module with two fields one Stock Re-order level and one Item Movement. Based on the item sold i want the item movement to be changed automatically for example: ‘Item Movement’ (e.g. Best-seller, Fast, slow etc.) should be based on conditional formula per product item and linked to 'Stock re-order level’. For example, if product A reaches ‘Stock re-order level’ in less than one month, it is categorised as ‘Best Seller'’. If Product A reaches ‘Stock re-order level’ in 2 months, it is categorised as ‘Fast’. If Product A reaches ‘Stock re-order level’ after more than 2 months, it is deemed ‘slow’. I feel like I am about to ask the most rookie question ever... but here goes anyway... I'm performing a find on a calculated field that is supposed to be a non-zero number (it is actually a count). I basically want to find all records where "Needs Review" is true (non zero). I have a layout that has a calculation field for my records. This calculation shows if an order is open or closed. Normally I can use the search feature and type open in that field to show all my open records. Just last week it doesn't search correctly. When I search for all the open records now it will bring up a lot of closed records and just a few open records. To allow users to quickly filter a list of invoices, I wanted to add global fields to the header of the table, which allow the user to choose values which immediately filter all invoices to just those that match the chosen criteria. I'm working with a solution that accesses MSSQL tables using ESS. Some of the scripted searching that's in place needs to search across multiple tables and relationships. For example, when the user logs in, the database is supposed to show them a list of jobs that have uncompleted tasks, with jobs and tasks each residing in their own table in a one-to-many relationship. Hi I am cleaning up a messy list of doctors names and addresses. I have got a lovely clean and accurate its in a new table. The old table is very unreliable, with inaccurate placement of the data for address1,address2,town, post code etc. This means post code could be found in any of the fields or not at all. My idea is to break out the search terms by "exploding" all the words in all the address fields and using these to search in the clean file. I want to score the results so more finds gets a better score. I can then use this as a threshold to match the records and then store a foreign key. After converting my database file from its FMP 11 version to the version compatible with FMP 14, a normal behavior no longer functions as it did. In Find mode, a certain field is supposed to autocomplete the search string based on a specified value list. This no longer happens. Instead it functions like the default, which is that typing a letter scrolls down to the first entry in the value list that begins with that letter but does not use autocomplete. Hi All, Hitting a wall at the moment with performing a find and with those found records, selecting some of the information and then for want of a better word "pasting" that info into another field. My example is: Photo shoot booking has been made. It has numerous related records of the subjects of who will be involved plus their contact details. I am trying to gather the subject name and contact info from this related table and have it available to paste into a secondary program like, word, ical or textedit. I posted back in October about a scripted find that was no longer working the way it used to. I actually just updated the script to find in a different way to get around that problem. Now I have another scripted find that has stopped working as it used to. This one is searching in a calculation field for any records where the value is greater than 0, and it's returning zero results, even when I can plainly see that many records do have a value there. Hi guys, it's that time where I think I am way over thinking something and so I have stopped to ask a question. Put simply I am working on a POS for a small business that may have up to 4 terminals in use at any one time. My question is this as layed out by the following scenario. Terminal 1 and 2 and 3 are in use (for example). All terminals are operating and putting customers stock through the checkout. Terminal 1 and 3 both perform a search for product through a search layout, both have results that need to be returned to the terminal and entered into the current sale they are respectively working on. Is it possible to leverage the usefulness of Filemaker's Quick Find, but to have it within a layout? The reason behind wanting it in a layout is so that I can hide the menu bar and have a cleaner solution for third parties working on the data. If the specific Quick Find feature can't be placed in a layout, can anyone offer another solution? All I really want to do is quickly select a person's record in a large list of contacts. There are currently only hundreds, but it could grow to thousands very quickly and scrolling through is not an option. By the way, in case you hadn't guessed, I'm in list view... Thanks!

Hi All, When performing a find (in my case via a script) on a FMS hosted DB, does it make much difference if I first perform a find on an indexed field, and them constrain that find as opposed to performing a find on all wanted fields? To illustrate, I have some 300,000 invoices in the DB, of which only some 4,000 are active (active meaning they have a payment plan being paid off). Finding all active invoices is nice and quick as it's an indexed field. At some point though, I have to use a field that is not indexed (ie an unstored calc). Would it be quicker to find first all active invoices, then constrain the set further using a non-indexed field or would simpl…

I'm needing to do a sub summary report. I've got for this example two Tables.. Orders and Lineitems. In the Orders Table their is orderID and status.b and the lineItems has orderID, sku, qty. With a relationship between the two Tables that match "orderID". The status.b is number filed that will contain a 0, 1 or 2. Deepening on the status of that order. What I want to do is build a report that gives me a sub summary of all the sku items and the qty sum of only the records were the status.b = 0 in the table Orders. From a record in Table A that includes 9 fields, I need to identify the records in Table B (of hundreds of records and include 9 corresponding fields) I can easily define a relationship that retrieves the records in Table B where the contents of the 9 fields exactly match, 9 out of 9, between the Table A query record and Table B records. How do I include the best, but not perfect matches, e.g., 8 out of 9 of the fields exactly match. I can script through all of the table B records and set 9 additional temporary fields with a 1 for exact matches and 0 for mismatches, but that seems cumbersome. I have a problem that I am finding difficult to explain, but here goes, I have two tables, one that stores student details and one that stores effort scores. The effort scores are for each lesson in a week and each student has many effort scores. The effort scores records are weekly so week commencing is what separates each record. Good day, I have a field called "Advert" which is a check box with "allow enter other values". What I need is to be able to search for all records that have value(s) in the "Other" check box. Furthermore, How can I get a list of all values in the "other" check box for all of my records? For example, I need to know what adverts are typed in the "Other" check box over all of my records. I am trying to eventually not have to maintain software on OSX and Windows. I have used a variety of database solutions in the past (dBase, Foxpro, Paradox, and Access) and tried Filemaker 11 several years back, but could not do the data mining I could do easily in Microsoft Access. I'm using repeating Variables to use with finding applicable records to use and then print using a loop. I'm having a problem with the variable I use in the find to pick up the second repetition of a variable. So it steps previous to these, $$PrescriberID and $$PrescriberID[2] exist as seen in the Dataviewer as do the two cases for $$ClientID. But in using the debugger, $FindHCP and $FindClient keep being set with the first instance, not the second on the second go through when $LoopCounter is 2. Why isn't this working? I have a script that does a find with the equal sign to look for all records where a particular field has been left blank. It's been working just fine for months, and between yesterday and today, it now finds all kinds of values, not just records where the field is empty. Any idea why this would have changed? I've been having a problem this evening I was trying to find duplicate customers by finding duplicate mobile (cellular) phone numbers. I performed the find and then sorted all records by that field, my problem is that I am getting a lot of odd records amongst the dupes. I'll have three pairs of repeated records then one record that doesn't seem to match anything then another few duplicates. Why is this happening?

Hi Im trying to contain a found set using part of the string and am not having success using the wild characters. For instance the search result is scholofvet and I wish to constrain my search to vet. My pseudo script is as follows. Custom dialog setting the input (search) text to a global Set Variable to the global Constrain found set of the search field using the variable. Ive tried both adding the "*" during the set Variable e.g. "*"&global and as using it as an operator before the variable in the Constrain find function. Any help appreciated.

I'm not sure if this has been answered before but I'm trying to figure out if there is any way of making a virtual list searchable. I can create buttons that will modify the eSQL search and add parameters to the search in a fairly complex way but I'm talking about just hitting the search button and searching within the table. I know that calculation fields cannot be searched, I have also attempted to make a text field with a calculated result with full indexing and it seems to still not be working. Any thoughts?

What are the best practices for updating records? For example, every three months I receive an Excel file containing data (name, event ID, location time, etc.). These Excel files are set up identically, so it makes it easy to import through a script. I use this information to budget, staff and schedule. However, as each new Excel file is sent to me, the previous Excel file is updated with data (such as number of attendees for each event that occurred). I created new fields to accommodate this information and want to 'add' the new information to the existing records automatically (there are several hundred events every three months and I would hate to update manually). I would like to know if there is a way to search for multiple submissions through a custom dialogue. I have successfully created a script for searching for one submission. Any tecniques out there that allow an "ALL" option using a Value List from Field or something that works like this? Goal is to have a single filter field where user can choose Project Contact and filter records (in list view) by this contact. I have a value list from field for contacts made. I can manage the scripting of this, but don't know how to go about adding an "all" option to list. I will end up with a handful of filters, such as contacts, status, type, and so on. I have imported an extract from a database in Excel. There are 28,000 records and 8 columns. In column A there are at product number in all records. Now I want to find all rows where alle the other fiels are empty. Is it possible to import a CSV list and ask Filemaker (v. 11) to find exactly those records? Or kan I do the same operation directly in Filemaker? FYI: The result in Excel is 8.382 empty rows.

I have a field called TASKS that lists activities that happen on a regular basis at my cabinet shop. A second field called CERTIFICATION lists who is trained to perform any particular task. The second field is populated with a checkbox list with worker's names. I would like to be able to perform a find (based on worker's names) to see what activities a particular worker has been certified at. The problem I have when I use the value list to select the worker is it also by default puts a check in his or box to indicate competency. I'm thinking there is surely an easy answer to this, but I'm not finding it. Is there a way to constrain the found set to just the current record? Or put another way - omit all records except the current record? I can certainly write a little find routine to do this, but I figured there might be something I'm overlooking?

This seems like an easy question but for some reason the solution is escaping me. Say I have a parent and child table where the parent may not have a related child record. How would I go about finding all instances of a parent record that does not have a child record? I can easily find all instances of a parent that DOES have a child record by specifying "*" in the primary id field of the child record but specifying "=" returns no results. I feel like I'm missing something easy here...

Is it possible to search more than one field when performing a find? What I would like to do is start with a string of text and then see if this particular string of text shows up in any of a half dozen fields? Is this do-able or do I need to constrain my searches to one field at a time?
