We have a number of databases running under FMP11Server. I need to allow a limited group of users to make a link between an existing database and a new one I have written. I chose to do this by building a set of scripts in the old database which display a small modal window containing a filtered list of the records in the new database - the user selects the appropriate record and the link field is updated - this all works exactly as expected. Is there a way to test the access privileges you set up for a user, to make sure they do what you want them to do? Can you somehow do that without logging out of your master account, logging into the other one, and going back and forth until you get it right? I'm trying to avoid having frustrated users tell me that Filemaker won't let them do what I told them they would be able to do. Wish I could test things more easily. Our database is hosted by PointinSpace.com. The trick of holding down the shift key while logging in doesn't seem to work with that.

Hi I have set up a custom dialogue box with a bulleted field to take a user's password (to allow viewing of a form). I can use the Exact script step to match the field's content to another field, but can I use it to match to the active account password? And, if so, how? We have the following problem. In our dbase, a record went missing. Someone must have deleted it as we know it was there before. Most users use a privelege that only allows them to delete via a scripted delete button, and in that case the deletion is logged. The menu item Delete and the FM delete button are inactive for these users. However the log shows no entry of this particular record being deleted (and there are a few more like this). Hello I'm working on a bug/enhancement database. This will be a system that I WANT people to be able to enter data into with the minimum of fuss. One of the features I want it to have is auto-generating user accounts, to enforce record level access restrictions. However I want it to be maintenance free and not require an administrator to set up accounts. Attached is a small demo file that I'd like comments on. Here's what I want to be able to do. If I come upon a record that belongs to me ie) I'm the assigned sales rep, I can see all the fields from the Company table. If I come upon a record that is assigned to another rep, I can see the name of the company but not the address info. Is this possible to do in a privilege set? Or is it an all or nothing proposition. You can either see the record or you can't?

Besides the DDR, is there any clean way to print a report showing the list of users, privilege sets, and who has access to what in a particular file? Obviously this information is available in the DDR, but just the section on privilege sets alone is 222 pages for this particular file, since it lists every single layout for every single privilege set. I'm really looking for something more like the "table view" seen when you're viewing/editing access privileges - more like a matrix of which privilege sets can View/Create/Edit/Delete in each table and any special exceptions. ~Courtney

Hi forum, we would like to protect a runtime we are developing by requesting activation through a webserver we own. Our problem is to determine some unique value for each computer. On windows we can use the volume-id of te harddisk that we get from the troi file plugin, but on mac? We are using the usual troi plugins (dialog, file, text), scodigo's php plugin and some others, but can't find a solution. Anyone out there with a good idea?

I've been using a MS-Access DB for the past 15 yrs (which has worked fine, but the consultant who developed it passed away recently) and so I've got a fairly good grasp of the structure and the elements (including all tables and relationships). I want to set up a web page that can access a database I have written. I want to have different businesses accessing that database and making entries. However, I want each business to be only able to access their own data. Can I do this by setting up different accounts for each business or do I need to have a separate database for each business. Each business will not be loading too much data but each business cannot be allowed to see another firms data.

Hi All This is a weird issue the database of a friend of mine who is the historian of a car club was helped to setup a data base and layouts to record view etc..... we can do that no issue .... however we can not add a layout nor see the database in it's entirety.... unfortunately the co author took the security codes to his grave...... Is Filemaker Pro 10 Secure enough to store things like Account numbers, username, passwords, etc? I know there are many "crackers" out there...I want to make sure that if this information is indeed stored in the database that if the file was to fall into the wrong hands that it could not be cracked. I have two sales people. I have assigned each person an employee number, 10 & 50. My question is with permission, I can control what screens, forms, reports they can see. But how do I control that they only see their sales data and not the other sales persons data. One solution I can think of would be to filter the data before each report is generated, but I was thinking there has to be an easier way. Any insight would be very helpful to me? I am trying to limit access of some users to certain records based on a date range. In a calculation I would like to specify a date range of 90 days prior to todays current date and 30 days ahead of todays current date. I am new to FM and currently trying to set up IWP (FM11) and am having a couple of difficulties. am trying to set up additional users with read-only access using either an 8 or 10 digit alpha-numeric password. However I am unable to log in. It works fine for Full access users but the passwords for read-only access are being extended, i.e. the original 10 digits are becoming 20 digits. Hi there, Are there any docs available on the filemaker (fp7) file structure? I'm basically looking to edit (in binary mode) an fp7 file. I need to modify the string in External Data Source box for about 100 UI files. UI files are all the same the only difference is that each points to a different DATA file on the FM server. This happens on an ongoing basis, every time we issue an update. Hello, My goal is to provide the user an Account layout from which he/she can authenticate his/her credentials and create additional credentials for other users. So ideally, as soon as the user opens my project file he/she gets into the Account layout from which he/she can login (with the account and password already provided by me) and/or create additional user accounts. I have already figured out the scripting part related to login, and account creation and deletion from the Account layout. I have a solution which I am now trying to use on another computer. I can open the file using the password, but I can't add records or modify them. I've searched for an answer to this question, but I'm hoping I just missed a topic and someone can point me to the answer. I have a database that is used for placing orders. The customer accounts are in a separate FM databse. I want to limit my salespeople to only seeing their customers. Does this mean I need to apply record-level permissions / Record_Created_By fields on every table in my customer accounts database AND the related tables in the orders database? I've built a neat program that uses FMP's login to build a TimeClock that automatically clocks an employee in when they first login if they haven't yet that day. Then it offers to clock them out whenever they close the program. Works great, and seamlessly and transparently builds a payroll journal. This starts with Get ( accountname ), which I use as their unique UserName. But I can't guarantee it's unique, and thus doesn't work as a primary field. Hi friends!! In my company we're using Filemaker 11 Pro Advanced. But we want to use only one data base (one file *.fp7), placed in one computer. So all the employees will access to this file, but only one employee can modify the data base. So if the employee 'A' access the data base first, and then the employee 'B' access the data base and try to modify it, this employee shouldn't be able to modify the data base, because another employee ('A') is using the data base. We have developed a task management system. It includes a script, which marks all found tasks as "Invoiced". Once a task has been marked as "Invoiced" those with Operator Access cannot make further changes to the task. We would like to create a button to perform the script that marks the tasks as "Invoiced" BUT only want one user (the finance manager) to be able to activate this button. This person would not have Full Access in other areas though. I expect this is a pretty basic priveleges question, howwever it's not an area I've had to address other than Full access or operator access before.

BU is in relation with Projects and with User. Projects is in relation with Tasks (a project is divided into tasks). Hello all I am new to this forum, so saying hi and also asking a question. I am a File Maker newbie, but a seasoned network admin/systems admin, working with Windows and Mac. We run Filemaker 10 pro clients on 3 of our terminal servers and are experiencing an issue where users are not able to access some databases that have a blank account name. They get an authentication error, saying that the password they used cannot be used for that database. We found that in the account name field, there was a leading space. We had the user click in the field and remove that space, and they were able to log in just fine. I have attached a screenshot of where I am talking about.…

I think I'm having a brain freeze or perhaps its the spring like temperature after a long long winter. I'm sure this is a stupid question & I know the answer already but can't grasp it at the mo'. I want the users to be able to enter info in a field upon record creation but not be able to edit that value without a warning of some sort. I didn't want to do it by accounts/privileges. I want this to apply to everyone even full access users. I could make a 2 layouts, one for data entry, one for editing. But it's just one field. The company I'm working with has a large database (in one fp7 file), some of the data is innocuous but there is some data that the company is required to not disclose. We are in the process of outsourcing some development, where developers will access this database over a remote server - what is the typical way of handling this? I use my FMP solution in a medical practice. For this reason, it is very important to keep the data secure. Currently, when I leave the office, I close the database, and store it in a password protected DMG on my mac. I am thinking about using FMgo on my iPad to bring patient information with me on the road. I am not using a server, but rather keep the database local. My question is: How secure is the database? Records are going missing / being deleted from a single file with multiple tables even though security settings prevent this and there are NO buttons or scripts which allow this. Always missing at the end of the day as the daily 11pm backup never shows them. I am designing a database and want to auto enter who created each record. I know later on I'll be dealing with each users privileges and log-ins. As part of the Privilege Set settings, you can 'Disconnect user from FileMaker Server when idle' , which is in conjunction with the 'set maximum idle time allowed' setting in the FM Server Admin Console. What exactly does FileMaker consider to be "idle"?? I've never seen any detailed answer to this. When a FMP client is running an OnTimer Script every X seconds, is that considered idle? Apparently so, as I've got a client that is being disconnected after the idle time as defined in the server console settings, even though a field and variable is being set every 30 seconds under the OnTimer Script step. I can use File-Manage-Security-Privilege Sets-Records-Custom privileges to limit Record access to the user logged in matching the requestor field, for example. I can also run a script to find only records so that the current user only sees records where they were the requestor. However, each user can show all records, although records for other users display <No Access> in every field. Ideally, the records with no access would not even appear and the total number of records wouldn't appear either, although the number of records isn't that big a deal. • It does seem messy having records appear with <No Access> in every field- is there a way to keep …

My layouts include many portal fields, sometimes without a portal (ie showing field for first related record only). Users like using "Replace Field Content" but of course when you use this on a portal field it replaces not just the first related record's field entry but ALL RELATED FIELDS IN ALL FOUND SET! Big big problem. Is there any way to disable the "Replace Field Content" for only portal records? Users don't want to give it up as they are so used to how it works outside of portals. Thanks.

Hi, I have been using FMpro10 on my iMac to maintain a database i have inherited. As I needed to run the database on my notebook as well I bought Filemakerpro 11 and installed it on my notebook. Transferred the database via my iDisk but can't open it. It does not accept my username and password. I am still using the same file on my Imac with FM10 so I know it is correct. I know there are issues when connverting very old versions to FM11 but this database has been created in FM10. Any tips on how to open the database in FM11?

Hello Filemaker "Perform find" behaves different when limiting "View" access on a table, than limiting "Edit" access. When I limit "View" access on a table the following happens: I use a script to "Perform find". I use some field from the table, and use a "*"(actually it doesnÄt matter) for search critaria. Result "nothing found" + Quickfind isn't working either When I limit "Edit" access on a table the following happens: The search works just fine. Any ideas?

In my runtime solution, right clicking in an unused area of any layout brings up a single-entry menu with "Copy Record". The feature has absolutely no use in my application and, in fact, is confusing to users. I would like to disable it for the entire application, yet I've found no corresponding entry in the privilege settings -- or even a specific reference to the feature in the FileMaker's Help. So i have a db for student records. Students can sign in, see there own record, and their "friends' " records. All friends are listed in a table. How can i make it so that students can ONLY see their own records and their friends'

I have a list view page of records that I want to sort with a script. For some user privilege sets the user is prohibited from changing records. I have allowed access to the fields the are required for the sorting, along with permission to execute scripts. I have even tried allowing modification of layouts. But I always get the error that "The current access privileges do not enable me to use the current sort order". Can anyone tell me what could be blocking me from sorting? Thanks in advance, RDW

I have a users computer that automatically logs them in when the file is opened remotely. everyone else on the network needs to type in their password, and I am wanting this one to be the same. Under File Options I have "Log in Using" unchecked. Where else should I be looking?

I've played a little bit with the security features and have some questions: 1.After one file is successfully opened via username/password, can another file with the same authorizations (account name/password/privileges) be opened without having to enter username/password for each such file? Hi all. I was wondering if there is anyway to get information about existing accounts via script or calculation. I am currently working on an employee table for our database. I will be giving Administrators the ability to create, delete, activate and deactivate accounts. So for instance, on an employee layout I would like to be able to show if an account exists matching the employee name, what privelege set it belongs to and if an account is active or not. It would also be nice to be able to show a list of existing accounts. Is it possible to pull this kind of information from accounts? Thanks for any help :P

I'd like to have the user have to enter their username and password in order to enter certain areas of the database (For added security). I'm using the re-login script followed by a Go To Layout script but if they press cancel, it brings them to the layout regardless. How can I make it so that if the password is wrong, then the rest of the script stops? IE it doesn't bring them to the layout.

I have found where to create users and set permission levels, ie, full, data entry, etc. The database will be used by different people to enter services and hours that clients recieve for a given month. I'm splitting a file into a main file and a secondary file to store pdfs and the like in container fields. In the Main file, I have seven accounts and 4 privilege sets. In the Container file, I only need 2 privilege sets (User and Admin) and I'd like users to be able to access the file without being asked to log in again. I'm not sure how to set that up. Any advice? I have a script I am writing that needs to be able to let normal, non-admin users add an account to a filemaker database published to the web. The solution that I am working with was original a one file solution and I have created a data and UI file in order to get some data separation. Not having much experience with data separation, I am having issues with users and their ability to access each file. You'd think this would be easy to find, but I am not able to find any documentation showing what characters are allowed and disallowed as a Filemaker account name. I'm trying to make a solution where the account name would be the users email address but based upon what I've seen so far this doesn't seem possible.

I have some password protected files created in FMP5 and converted to .fp7 format. I have been using them successfully in FMP10, but after a recent upgrade to FMP11, my password does not work any more. They want to restrict users to only allow them to view records assigned to their region. Hello, newbie here. I am making a small customer relationship program (CRM) whch will be accessible by two or three salespeople via Instant Web Publishing. Everything is going great so far--I can relate different tasks/meetings etc to the appropriate salespeople, as well as to management. However, what do I need to put in the file opening script so that Mary only sees her tasks when she logs on, and Joe only sees his tasks? At the moment, everyone's tasks come up, company wide. I have a script that needs to be run somewhere between once per month and twice per week (however often the boss wants it!) The script basically locates a number of records, then loops through each one performing calculations, then stores the results in a number of fields in that record. I would like to construct a database for use by several sales people but I would really like to limit the records that each sales person sees to be only those created by or assigned to that sales person. I have read about record level acces but that only seems to allow me to stop someone editing other peoples records. Ideally I would like to create the effect of having multiple databases (one per sales person) but actually housing it all in one single database - such that each persons find reqursts reveal only their records? i am shocked before release of 11 i said database unsafe i saw runtime i thought its safe , recently i got thought full access privleges set account with runtime safe i checked boom its unsafe ---- we can know admin account in runtime solutions too. obviously people will say remove admin account i think it wouldn`t be right advice :

I am just wrapping up moving our company's database from Access to FMP 11. Upon setting up the user accounts I have found an interesting issue. If the account level is anything other than "Full Access" it immediately gives the following message and kicks me back to the login in screen: "Your access privileges do not allow you to perform this action." I though it may have to do with a script associated with the opening layout so I made a new layout that is blank associated with a new blank table and set the file to open with that layout. Hey, This is about granularity and record access. It has turned out that the FileMaker solution I developed requires a more "individual" way of dealing with user rights. The solution holds all sorts of "knowledge management" records (hints for other users, instructions, library entries, and so on). The records of the category "Library" can be viewed by everyone; records of the category "Division A" can be viewed only by the members of division A (same for B, C, D...) Some records cannot be viewed by freelancers, some can only be viewed by the record's creator himself. Many user groups overlap. Hi, I need help with following setup. I have two project databases which has same externaly connected related table from file contacts.fp7 For security reasons each db has different admin password. My question is how to set up all this to login to project database only. Now after successful login to project db FM asks for contacts db password too. Simply told if user logging to any project db has admin privilege so he should gain admin rights in contacts db too. Some kind of privilege set heritage.

Im brand new to Filemaker and not sure if this is the right area for my post, but will see where this leads me... My database has a login screen where users enter their usernames and passwords. From here they go to a homepage from where they navigate to their required area. I want to display a birthday reminder for whoever's birthday is next to all users once they logged in. Hi all. I've read several topics about the potential dangers of using Ersatz security systems and I am pretty convinced about it. What I'd like to know is if there is any simple way to make an intrusion-safe custom log-in screen. In my case, I would benefit greatly because FM is not supported in Greek. Is capturing log-in data in a "blind" layout using globals and injecting those into a re-login script considered safe?

I have created a DB with a button on it that changes the state of a field (lock) from 1 to 0 (1 being default). In Custom Record Privileges I set up the edit column to be "limited" so that whenever the field (lock) is not 0 the record is editable. All of this works but where the issue lies is that when I click the button and it changes the field (lock) from 1 to 0 and so forth the access to the record is not immediately changed until I click somewhere else on the layout. Is there a setting that will correct this behavior?

I am executing this by having the button change a field call "lock" from 1 to 0 and in custom privileges the user is locked out if the field contains "0." The problem is that I have portals on the same layout and I'm unable to lock them out. How might I go about this? I know that I could lock these fields from the custom privileges but I would also like to be able to lock these fields on their own layout as well.

I am using Filemaker Pro v 10. We have users who have an icon on their desktops so all they have to do is click on it and they are logged in as their LDAP ID (which is the same as the Filemaker login) and sent to the right layout. We also have icons (on my desktop) that I can click and I am logged in as our Admin account. However, I can't figure out how this is accomplished. I've looked at the properties of these icons (they are .fp7 files, NOT shortcuts) and I don't see any difference. I have opened them via Filemaker's File-> Open with the script debugger open, and they both, OnFirstWindowOpen call a script that has an Open File call. That's all it does. …

Hi I am just wondering if this is possible: When was browsing the FM Server Access log found couple of instence like the attached screenshot. When I try open a database at first it tries to authenticate using my system user id(Which is my novell user id) which I didn't configure anywhere around FileMaker client(Account Name, User Name). I use a different username to login to the database and my account name is also different. So that means, user's FileMaker client somehow tries to use the system user id and then prompts for user name password. In FileMaker I know I can restrict IP address to my databases that I am hosting using IWP. Can you also do that using FileMaker Server? I have many databases on the server and some are using IWP but not all. I have one that I would like to be hosted using IWP but I need to restrict it to just a range of IP addresses and leave the rest open. Thanks for any help.

I had to create a privilege set for users that can only view/edit information for one client and all it's related work orders. If no initial find is performed the user is brought to the full record list, 95% of which have fields populated with <>. I created an onlayoutload script that will perform a find to weed out these annoying records if the privilegesetname matches the group in question and totalrecordcount = foundcount. It got a little annoying to put this on every layout. And it had to be done on 2 separated files that connects clients to work orders. Is there a better way of handling this? soo here's the deal, I'm new to filemaker, I only been using it for 5 months now. I'm able to create database, and use php assistant, and i also manage to custom the css/html file so the UI looks better for me. Basically i just moving the tables around, no more than that. Now, last week i add a new user with a custom privilege, it works if I open in filemaker, but if i open through the website, I can see i have the data there, it says I have this much of data but all the fields are empty. Anyone know why and how to fix it ?
